Outpatient ClinicClinics function on a general practicelevel. An appointment procedure isutilised to minimise patient waitingtime. Those without appointments aretreated on “doctor availability” basis.Employees can usually obtain same/next day appointments for treatmentby a general practitioner. Of course,scheduling of appointments withspecialists take longer and dependson patient load.In non-emergency situations, it maytake several months to schedule anappointment with a specialist.PharmacyThe Saudi Aramco Pharmacy operatesduring normal working hours andemployees must have a writtenprescription from a Saudi Aramcodoctor to obtain any medication.Prescription drugs are dispensed freeof charge. Some non-prescriptionmedicines (such as cough syrup, etc)may have to be purchased by theemployee.Emergency RoomEmergency care and transportationis available in all communities sevendays per week, 24 hours per day.Company-provided transportationis generally not available foremergencies that may occur outsideof Saudi Aramco communities. Forexample, employees living ‘off camp’in the local community must arrangetheir own transportation to medicalfacilities for emergency treatment.Dhahran Health CentreSaudi Aramco began to offer medicalcare in 1933. In the early 1950s,the Medical Services Organisationconstructed the first Dhahran HealthCentre to provide medical care toSaudi as well as expatriate employeesand their dependents. Today, SaudiAramco continues to provide oneof the largest and most moderncompany directed hospital systems inthe Middle East.Saudi Aramco Medical ServicesOrganisation (SAMSO) includes onehospital located in Dhahran, as wellas four outpatient health centreslocated in Ras Tanura, Abqaiq, AlHasa and Udhailiyah.The hospital in Dhahran has 349beds, a large outpatient service, andcontains some of the most advanceddiagnostic and treatment facilities inthe world.SAMSO facilities have beencontinuously accredited by theUnited States Joint Commissionon Accreditation of Health CareOrganisations (JCAHO) between 1956and 1987. In September 2002 and2005, SAMSO was reaccredited bythe Joint Commission InternationalAccreditation (JCIA).Nursing staff are recruited from allover the world and represent over24 countries, including Saudi Arabia.This diversity in cultural, ethnic andprofessional backgrounds of the staffprovides rich experiences in providingpatient care.OphthamologyIn general, ophthalmic servicesare provided only to those with eyeinjuries or diseases requiring periodicfollow-up. Employees cannot receivegeneral eye examinations or filleyeglass prescriptions through theCompany’s medical services.It is recommended that employeesrequiring eyeglasses or contact lensesbring an extra pair. Prescriptions foreyeglasses and contact lenses canalso be filled in the nearby towns.Dental ServicesThe Dental Services of theSaudi Aramco Medical ServicesOrganisation SAMSO) provides a fullscope of care in company operatedclinics in each community.Dental services available includediagnostic, preventive, restorative,esthetic dentistry, endodontics,BAYSIDE PERSONNEL Engineering & Construction Recruitmentperiodontics, prosthodontics, dentalimplant therapy, oral/maxillofacialsurgery, orthodontics and paediatricdentistry.The clinical staff includes dentalhygienists, general dentists, specialistdentists and technicians. The majorityof this multinational staff has eitherUS or UK qualifications and hasbeen credentialed by the SaudiCommission for Health Specialistsand licensed by the Ministry ofHealth.Approximately 50% of the cliniciansare Saudi Arab graduates of SaudiUniversity Dental Programs (KingSaud and King Abdulaziz).In general, all care is provided byappointment on a fee for servicebasis. The fees are competitiveto usual and customary chargeselsewhere based on internationalstandards.Because of the heavy workloadand long waiting times for routineservices, all prospective employeesand dependents are encouraged tocomplete essential treatment prior totravelling to Saudi Arabia.The waiting time for an appointmentfor definitive care for routine servicesmay range from three to four weeks.New patients coming to dentalclinics for comprehensive treatmentare required to have an initialexam by a Saudi Aramco dentist.This examination will most likelyrequire diagnostic radiographs. If apatient has recent radiographs ofacceptable quality, this requirementmay be waived at the discretion ofthe examining dentist. Following theinitial examination, a conservativetreatment plan is developed, andappointments are made according toavailability.Dental fees are billed to theemployees account and are deductedfrom the employee’s pay at theend of each month. Basic Provisions ofThe Annual VacationPlan For Global PayrollEmployees- The term “bachelor status” refers to anemployee GC 11 who is married butwho does not have Company approvedfamily members residing with them on apermanent basis in Saudi Arabia.Vacation credits are advanced,earned and taken on a calendaryear basis. Employees are advanceda full year’s vacation credits everyJanuary 1. Depending on operationalneeds, they may be used throughoutthe calendar year for random time off,providing that at least 14 vacationdays plus travel days are utilised foran annual repatriation outside ofSaudi Arabia.The following is a summary of themajor provisions of Saudi Aramco’sAnnual Vacation Plan. It is intendedas an aid in understanding the planand its administration.As part of the vacation plan, SaudiAramco provides round-trip economyairfare allowance for expatriateemployees and eligible familymembers who reside in Saudi Arabiato return to the employee’s point oforigin. In addition, the employee isgranted a travel expense allowanceequal to 25% of the airfare.locations generally being eligible forfour days. Travel time is not chargedto vacation credits.Bachelor status employees need toutilise at least 10 vacation days plustravel days for each interim leave.Airfare AllowanceEmployees on single/family statusare granted the cash equivalentof the company approved fullreturn economy class airfare to theemployee’s point of origin. This ispaid to the employee when they taketheir annual ‘repatriation’ vacation.Family status employees also receivethis entitlement for their spouse andchildren living with them in-Kingdom.Employees on bachelor status receivethree airfare allowances (one at thefull company approved economy classfare, which the employee receiveswhen they take their repatriationvacation, and the other two ateconomy excursion fare, which theemployee receives when they takestheir ‘interim’ leaves). They receivethe 25% allowance when they taketheir annual vacation and a 10%allowance for each of their two interimtrips.Travel DaysBased on the employee’s point oforigin, either two (2) or four (4) daysround trip travel time is added to theannual repatriation vacation (andinterim trips enjoyed by bachelorstatus employees). Points of origin inEurope, the Middle East and NorthAfrica generally attract two daysround trip. Travel time with all otherBAYSIDE PERSONNEL Engineering & Construction RecruitmentInitial Repatriation VacationEligibility – Single/FamilyStatus EmployeesA single/family status new hire’sinitial repatriation vacation is takenduring the calendar year followingthe calendar tear of arrival in SaudiArabia, but only after the completionof 12 months of continuous service.A new hire’s initial repatriationvacation may commence beforecompletion of 12 months service ifthe employee’s service anniversarydate falls within the vacationperiod. Employees who complete12 months of service during thelast quarter of a year are allowed todelay commencement of their initialrepatriation vacation until any timeprior to the end of the first quarter ofthe following calendar year.Under such circumstances, theemployee’s eligibility for a repatriationvacation in the following calendaryear is unaffected.Employees are eligible for a secondrepatriation vacation any time afterJanuary 1 of the year followingthe first Saudi Aramco serviceanniversary. Their next vacation will bea repatriation vacation and can betaken any time after January 1 of thefollowing year (subject to operationalrequirements).A bachelor status employee, whoarrives between May 1 and August 31,is eligible for one interim leave in thatyear. Their first trip in the followingyear is classified as an interim leaveand is followed by a repatriation leaveand followed by a second interimleave.A bachelor status employee, whoarrives between September 1 andDecember 31, receives no trips fortheir year of arrival. On January 1 ofthe following year, they are creditedwith two interim leaves and arepatriation vacation for that year.Bachelor status employees mustutilise at least 10 vacation days foreach leave – this includes the annualrepatriation vacation; ie: unlikesingle/family status employees,bachelor status employees do notneed to utilise 14 vacation days to beeligible for a repatriation vacation.Bachelor status employees shouldnote that any change in their maritalstatus should be reported to theSaudi Aramco immediately.Bachelor Status/Teachers/TrainersSpecial provisions apply to teachersand trainers due to the need tomaintain classroom continuity.Vacations are normally scheduledduring Saudi Aramco designatedholiday periods. Teacher and trainersare not allowed to defer any vacationdays from one year to the next. Allunused vacation days, regardless ofthe amount, are bought out on a nonoptional basis at the rate of pay ineffect at the end of the year.Disposition of Credits Earnedin Year of ArrivalVacation credits to be earned duringthe calendar year of arrival by a newhire, are advanced and credited uponarrival date. Operations permittingand with supervisory approval, thesevacation credits are available foruse in the calendar year of arrival forshort leaves.Many employees take short leavesto travel to destinations outside ofSaudi Arabia during the first year ofservice. Credits, up to a maximumof 15 days, not to be used as ofDecember 31 of the arrival year,can be carried forward for use in thefollowing year. Travel costs incurred inconjunction with short leaves are atthe employee’s expense.Vacation DeferralsAll vacation credits are expectedto be used in the calendar year inwhich they become available to theemployee. A maximum of 15 vacationdays may be deferred from one yearto the next (except for teachers andBAYSIDE PERSONNEL Engineering & Construction Recruitmenttrainers as previously mentioned).End of Service CalculationsThough employees are permitted touse an entire year’s vacation creditsany time after January 1 of eachyear, full entitlement to the advancedvacation credits is not earned untilyear-end.When employment in Saudi Arabiaends, a calculation is made todetermine the outstanding vacationbalance. Terminating employeeswho have used unearned vacationdays will have the value of thesededucted from their final settlement.Terminating employees who haveearned but not used vacation creditswill have the value of these creditsadded to their final settlement.Insurance PlansEmployees may enrol in a voluntaryprogram providing life insurance andaccidental death and dismembermentcoverage equal to 12, 18, 24 or 30times monthly base pay. Favourablegroup rates keep the premium low.Short Term DisabilityShort-term disability income benefitsare provided to employees who areunable to work due to illness or injury.The benefit is 30 days full pay and 60days at three-quarters pay in any oneyear period.Severance AwardIn accordance with Saudi labour law,a severance award is payable bySaudi Aramco to employees who leaveafter two years or more satisfactoryservice.The severance award is based onlength of continuous service and finalpay (base salary, standard over baseand annual benefits supplement).The severance award can be asubstantial benefit for longer serviceemployees. Education AssistanceProgram (EAP)Employees hired on family status areeligible for the EAP when they haveeligible dependents. Family statusemployees who live in a Saudi Aramcocommunity are eligible to send theirchildren to the Saudi Aramco Schoolsystem or to a local ‘internationalschool’. The Company generally pays100% of costs.EAP also provides for 90% of tuition,room and board costs (up to anestablished maximum) for eligibledependents to attend boarding or dayschools.EAP also covers travel costs for aspecified number of round tripsbetween Saudi Arabia and the schoollocation.Personal EffectsShipmentSaudi Aramco allows new hires tomake an air freight shipment (E Box)and a surface shipment of personaleffects from the point of origin and/orcurrent work location.Note that in lieu of a Saudi Aramcoarranged shipment of personaleffects, employees may electto receive a cash payment asestablished by the Saudi Aramco.You may consider using the air freightE Box shipment for any additionalexcess baggage required for yourinitial departure to Saudi Arabia. Youshould ensure that you adhere to theairline baggage weight restrictions foryour departure flight to avoid beingcharged for excess baggage as this isnot reimbursable.Please also remember that SaudiAramco does not insure the luggageyou bring with you. It is good practiceto take out baggage insurance with alocal insurance provider.Following is an outline of thepersonal effects allowancesand guidance on packaging andshipping.SC 3-10 Single/Bachelor new hires are eligibleto make a one-time relocation shipment at thetime of hire of up to 400kgSC 11 Single/Bachelor new hires are eligibleto make a one-time relocation shipment at thetime of hire of up to 2,000kgFamily Status new hires are eligible to make aone-time relocation shipment at the time of hireof up to 5,000kgIf you intend to send a shipment,you must contact Austra Health andrequest assistance in initiating thenecessary paperwork. This shouldbe done as early as possible to allowadequate time for the shipper tocontact you and make the necessaryarrangements.Note: Your ocean freight shipment usuallyarrives at destination within 90 days frompickup date at your premises.E Box ShipmentAn E Box (Express Box) is an airfreight shipment which usually takesa maximum of fourteen (14) daysfrom the pickup date to deliver.Similar to the surface shipment, adoor-to-door service is provided.The maximum weight allowance ofone (1) E Box is 200kg. The sizedimension of the E Box is a total of0.5 cubic metres (106 cm x 73 cm x61 cm).SC 3-10 Single/Bachelor new hires are eligiblefor a maximum of one (1) E BoxSC11 Single/Bachelor new hires are eligiblefor a maximum of two (2) E BoxesFamily Status new hires are eligible for amaximum of two (2) E Boxes per adult plus one(1) E Box per child (maximum of six (6) E Boxesper family).BAYSIDE PERSONNEL Engineering & Construction RecruitmentCombining E Box andSurface ShipmentsFor added flexibility and convenience,you have the option to adjust yourE Box and surface entitlementsto suit your personal needs andsend more/less E Boxes in yoursurface shipment. If you elect adifferent combination (E Box/surfaceshipment) from the allowanceoutlined above, the weight allowancesfor both are adjusted accordingly toensure that you remain within thetotal maximum weight allowance.The “conversion” allowance formula is1 E Box 200 kg of surface shipmententitlement.For example, an SC11 Single/Bachelor new hire is eligible for2 E Boxes and 2,000 kg surfaceshipment. The employee decides toconvert 400 kg of surface shipmentfor two (2) additional E Boxes in orderto bring a larger quantity of items inthe airfreight (E Box) shipment. Note that you can make ashipment home even though you maynot have made a shipment at the timeof hire.Information for Employees onFamily StatusDue to Government visa regulations,some employees on family statuswill travel in advance of their family.These employees may defer theirsurface shipment and combine itwith the family shipment when theyjoin the employee in Saudi Arabia.Deferral of a surface shipment, in thisinstance, cannot exceed one (1) year.General Information for allNew HiresWe would like to emphasise thatyour surface shipment and air freightE Box will undergo a complete andthorough inspection at Customs inSaudi Arabia. Everything is openedand inspected. Books, videos, tapes,compact discs, computer discs, etcmay be removed and taken to theMinistry of Information for review.Any item that is considered offensivewill be removed. It is importantthat you label each individual itemwith your name and Saudi Aramcoemployee number.Due to the possibility of itemsbeing misplaced or confiscated, werecommend that you do not packitems that are of a sentimental nature(including music cds) or of high valuein your surface shipment. These itemsshould be hand carried or left in yourhome country with a possibility ofbringing them to Saudi Arabia at alater date.Cash in Lieu OptionTo provide increased flexibility withshipping options, Saudi Aramcoprovides a cash in lieu option ifyou decide not to make an actualair freight or surface shipment.This is often an attractive optionfor employees, particularly if theemployee does not have a largeamount of personal effects to ship.Contact us for details on a cash in lieucalculation.You cannot request cash in lieufor your E Box allowance and alsorequest a surface shipment. You mustselect cash in lieu for both the air andsurface shipments or select to makean air/surface shipment.Employees choosing the cash in lieuoption may use any service providerfor the shipment of their personaleffects. Employees who choose thecash in lieu option are responsiblefor coordinating and paying fortheir shipments, interim storage,insurance, customs duties andsettling claims for damaged or lostitems, if any.You can consider using the cashpayment to purchase items in SaudiArabia or use the money for any otherpurpose.Final Notes on Shipments1. Please remember that the SaudiAramco needs time to process your airfreight E Box or surface shipment. Inaddition, Saudi Aramco’s designatedshipper in your home country needsas much notice as possible to makearrangements to pack your items.Therefore, you should make a decisionon whether or not you want to send ashipment as early as possible followingjob offer acceptance.2. You should be aware that SaudiAramco will not authorise theshipper to pack your goods until youhave cleared all contingencies ofemployment. This means that theshipper will not arrive until after yourvisa has been approved. While youcan prepare in advance by keepingall of your goods to be shipped in onelocation and prepare your inventoryforms, you need to be aware thatthe shipper may not arrive to packyour goods until just before your finaldeparture to Saudi Arabia. Therefore,be prepared to act on short noticeregarding your shipment just prior todeparture. Please also be preparedto designate someone to act on yourbehalf in the unlikely event yourshipment is not collected prior to yourdeparture.BAYSIDE PERSONNEL Engineering & Construction Recruitment3. Please remember that you are entitledto a surface shipment, E Box or cashin lieu payment. The surface shipmentis appropriate for sending larger itemssuch as furniture, beds, sofas, tables,floor rugs, bicycles etc. The E Box issuitable for shipping smaller itemssuch as extra bed linen and a duvet,towels, cooking utensils, books, golfclubs, pictures to hang on your walland extra clothes etc. The E Box isgenerally quicker than the surfaceshipment; however both shipmentstake time. You can always purchasethese items locally in Saudi Arabia byusing the cash in lieu option instead ofthe shipment.4. Note that if you do not make a decisionregarding your shipping options at thetime of hire, you have up to one (1)year following your hire date to eithermake a shipment or claim the cashin lieu payment. If you do not make adecision within this time period, yourentitlement is forfeited.5. You should note that fines maybe levied if items are consideredobjectionable and are confiscated. Forexample, a 133 fine may be levied if aDVD is confiscated.6. If Saudi Aramco housing assignmentis deemed insufficient by SaudiAramco to accommodate your surfaceshipment (a housing unit with a floorspace of less than 700 square feet),you may elect to store your surfaceshipment at Saudi Aramco’s expense.If you take up this option, you will beallowed access to your shipment priorto it being placed in storage in orderto select those items immediatelyrequired by you. This access is allowedon a one-time basis to remove requiredfurniture and/or full boxes of personaleffects. A box may not be openedto remove part of its contents.
