Foundation Report Pearls of the Ivy FoundationSoror Nicole RobinsonMEMBERS PRESENT: Alisa Allen, Ramonda Busby, Phoema Dubra, Loriel Fisher, Sonja Howard-Smith, AngelaJacobs-Butler, Angela Lewis, Cynthia Lewis, Chauntaye Melton, Tamikah Neal, Tonisha Nelson, Carmen Ross,Tammarin Spearman, Jonya Watts, Danyell Wells, Donna Whitehead, Shronda Whitfield, Carla WillisMEDITATION: Provided by Soror Carla WillisBASILEUS UPDATES & REMINDERS: Madam Basileus informed the Executive Committee about a meeting that took place between herself and theManager of Charlton Methodist who is responsible for the room rentals. She asked that all Sorors ensure that weclean up behind ourselves, inform our Business Manager if there is any broken equipment/furniture, or anythingthat is out of the ordinary with the rooms that we utilize at the hospital. The Manager informed Madam Basileusthat there is supposed to be a 250.00 fee associated with renting the room, which is to cover damages and isnon-refundable. Madam Basileus informed her that this information was not included in the contract; the Managerstated that she would waive the fee, but that it would be required in 2021.The DFW Metroplex Reactivation event has been set, and there is a link to register for the event. It will be heldon Wednesday, January 15, 2020 at Sandaga. ULO will serve as event hostesses from 5:30 – 7:00 p.m, and aparty will be held after the reactivation event. Each chapter is responsible for paying 150.00 toward the event.Any leftover funds will be rolled over for next year’s event. Money will also be earned off the door after 7:00 p.m.and those funds will be donated to an HBCU or EAF.2020 Regional Conference Committee Photos will take place on Sunday, January 19, 2020 in Fort Worth. Attireis black, and sorors should come dressed and ready for the photo. Regional conference planning is now open toall Sorors.The Chapter received an invitation for The Night in Harlem Scholarship Gala, being hosted by Pi Mu Chapter onthe campus of Baylor University on Saturday, February 1, 2020. Tickets can be purchased on Eventbrite, andguests are being asked to sponsor a table for 200.00.All end of the year reports were uploaded by the respective deadlines.All DFW Metroplex chapters will be asked to support and provide funding for Soror Danette Anthony Reed’sinstallation ceremony as Supreme Basileus in 2022 at Boule (Orlando, FL) and in Dallas, TX. Hodegos: Courtesy Report provided by Soror Danyell Wellso Refer to Courtesy Reporto Madam Chairman asked if it would be possible to do digital cards, in lieu of sending cards via USPS.Madam Basileus stated that she would be ok if with a digital birthday card or anniversary cards, but notsympathy cards. She also requested that an example of the card be created for review and approval. Protocol: No Reporto Madam Basileus requested that Soror Sonja Howard-Smith provide protocol reminders to the chapterduring January Chapter meeting. Parliamentarian: Update provided by Soror Angela Butler-Lewiso There was no report, but Madam Chairman provided an update on the status of changes to the chapterbylaws. Only three bylaws changes have been submitted, and the committee will meet at a later date todiscuss and review the changes.o Requested that Sorors attend the bylaws meeting to discuss the proposed changes. Member-at-Large: No Reporto Madam Chairman will share updates and information on how to submit questions and/or concerns to theMember-at-Large.OTHER STANDING COMMITTEE/OFFICER REPORTS: Audit: Report provided by Soror Alisa Alleno Asked if there were questions related to Audit Report and also shared that there were technicaldifficulties related to publishing the audit report to the Audit page on the Members Only section ofuloaka.org.o The individual who completed the audit was not an auditor, so a full audit was not completed.o The report will be reviewed during January chapter meeting in the Old Business section. Membership Committee Report provided by Soror Tamikah Nealo Refer to Membership Committee Reporto Will continue with the “Membership is Pearlfection” platform in 2019.o Reactivation is still the #1 goal; seeking to reactivate 20 Sorors in 2020. Will partner with DFW Metroplexchapters on reactivation event. Standards: Committee Updates provided by Soror Angela Jacob-Butlero Only 56 Sorors took the end of the year report, so we will have to do a paper survey, or post the link tothe electronic survey in chapter meeting.
