ROUNDUPMarch 20212Focusing on Emotional Well-being & RecoveryA constant in our communications overthe past few months has been our needfor emotional recovery from the COVID-19pandemic and the social and politicaltumult of the past year.This is not an entirely new area of focus.Staff wellness and burnout preventionwere among our Strategic Goals &Initiatives going back to 2019 — well beforeCOVID — and they only have greatersignificance as we continue into 2021.Just this month, we all were able toparticipate in two large wellness initiatives.All members of UI Health were invited toparticipate in the Staff Well-being Survey,which closed March 3. The survey wascreated to help us assess the needs andareas of concern for all members of theUI Health community, and the anonymousfeedback will help us develop programsdesigned to be responsive to theemotional needs of everyone during thishighly stressful time. Thank you to all whoprovided their open and honest feedback.More information on the survey resultsand actions derived from the feedbackwill be shared when it is available.On March 10, we were proud to host anEmotional Wellness Town Hall, featuringUI Health’s Dr. Anand Kumar, head ofPsychiatry; Rev. Mark Lones, director ofPastoral Care Services; Geri Biamonte,employee assistance coordinator; andguest Dr. Joshua Morganstein, director atthe Center for the Study of TraumaticStress (CSTS) in the Uniformed ServicesUniversity. Our panelists provided expertiseand guidance on how we can recover andheal from the pressures of the past year, andtheir guidance will support a number ofwellness initiatives planned throughout theyear, including organizational initiatives likeupdates to our Employee Assistance Programand leader-driven efforts like new wellnessfocused rounding. If you were unable toattend the Town Hall, you can view a recordingof the event by visiting the intranet.Burnout prevention, including achieving theresiliency to help cope, requires significantorganizational resetting. Our transition toEpic has improved the required digitalcommunication transactions our cliniciansexperience, but for all its improvementsto our clinical workflows, it’s important torecognize we all have opportunities forimprovement. For ways to simplify yourdaily work, please view the Epic Tips &Tricks in this issue. In addition, the dynamicnature of patient service needs requiresconstant vigilance to ensure proper staffing isavailable, especially at peak volume periods.And finally, there is a growing recognitionthat our interpersonal communications habitsare perhaps the highest cause for burnoutsymptoms among our staff.It is vital that everyone within the deliveryenterprise recognize that how we care forour patients and how we treat each otherare not mutually exclusive. Constructiveand respectful communication methods area basic infrastructure for excellent andsustainable performance.Thank you for your engagement, participation,and cooperation as we work to improve ourindividual and collective experiences workingat UI Health. Just as our support of eachother guided us through the past year, it alsowill lead us to healing throughout 2021.

ROUNDUPMIKE’SCORNERA Time to ReflectOne year ago — March 12, 2020 — weadmitted our first COVID-19 patient atUI Health. This is not an anniversary tocelebrate, but it is important that all of usreflect on everything that has happenedover the past year.None of us has been spared from thesadness associated with this disease. Wehave lost friends, colleagues, and familymembers. Many have cared for peoplewho ultimately succumbed to the disease,and those who are slowly recovering fromits devastating impacts. Many of you alsoexperienced the loneliness and isolationour patients felt as they struggled tosurvive, and you also devoted time tohelp family members who suffered frombeing isolated from, helping or consolingloved ones who were in our care.This collective experience is profound, itwill linger with us — especially with thosewho cared for patients in our COVID units.March 20213related to the fight for us to surviveCOVID-19. These activities are toonumerous to list here, a fact for which weall should be proud. Many have beentireless in their efforts to help others.This help takes many forms, from directpatient care to the myriad ways we allsupport patient care here at UI Health.As of this writing, one in eight Chicagoanshave been fully vaccinated for COVID-19. AtUI Health, we have provided over 50,000vaccinations, accounting for approximately23,000 people being now fully vaccinated.And now we are reaching out into thecommunities we serve, supporting remotesites to continue to accelerate the numberof people protected with COVID vaccination.In closing, please take the time to reflecton the last year. We will physically getthrough this together, but we also need totend to the emotional hardships we haveexperienced, so we can more completelyrecover from the impacts of COVID. Weneed to care for ourselves. This last partrequires investing our personal time, bothfor ourselves and for the people with whomwe spend our lives. But realizing thistogether — and helping each other withthis final struggle — is vital to finishinghumankind’s battle with this disease.COVID-19: One-year ReflectionEveryone has been impacted by theglobal pandemic — it’s been life changing.Everyone has lived lonelier and moreisolated existences over the past 12months. ROUNDUPMarch 20214COVID-19 & VACCINE UPDATESCOVID-19 Vaccine at Mile Square–EnglewoodThe Mile Square Health Center–Englewood location beganoffering the COVID-19 vaccine to residents of the Englewoodand West Englewood communities on March 1. The Englewoodvaccine program is a part of the City of Chicago’s ProtectChicago Plus initiative. Local organizations are assisting theChicago Department of Public Health to increase access to theCOVID-19 vaccine in some of the City’s neighborhoods thathave endured the pandemic the hardest. The program currently is planned torun for 8 weeks at the Englewood site. Mile Square is looking to expand theprogram to other locations in the coming weeks. ROUNDUPMarch 20215SERVICE LINE ACCOMPLISHMENTSGI Performs First Intragastric Balloon ProcedureThe Division of Gastroenterology & Digestive Diseasescompleted its first endoscopic weight-loss procedure.Called “Intragastric balloon placement,” this procedure isa nonsurgical option to help patients achieve weight lossand improve their health. GI soon will be performingother endoscopic weight-loss procedures, includingendoscopic sleeve gastroplasty and gastric outletreduction. Additional benefits of endoscopic bariatricprocedures include lowering risks for heart disease, highblood pressure, type 2 diabetes, and more.3I PROJECT/EPICEpic Tips & TricksAfter six months working in Epic, it’simportant to recognize we all haveopportunities for improvement. Thoughsome of us may struggle with Epic,the more time that we all spend learningto use the system, the brighter thefuture looks.The training team continues to meetwith groups to review common Epicdifficulties, and we will continue to workwith all of you to improve competencyand efficiency using the Epic system.Please remember that our goal with thetransition to Epic was not only to updateour electronic health record system butalso to improve our processes andworkflows. Below are some commonissues that we continue to struggle with.Encounter ClosureEncounters cannot be closed when thereis a medication/vaccine that has beenordered to be given but has not yet beendocumented. We continue to workwith the clinic staff to make sure theyare documenting these in real time.Encounters cannot be closed when thereis a POCT ordered but results have notyet been documented and finalized.Encounters cannot be closed when notesinclude an Epic wild card in them (***anywhere in the note). When you copyand paste Cerner Radiology info, *** isfound in many Radiology results andneeds to be deleted. When a telehealthencounter did not occur (no show), therecommended workflow is to error outthe encounter. This involves entering“Error” in the reason for visit field andthen signing the encounter.
