Utilizingthe Microsoft Teams platform, we worked with Institute faculty members to present six biweeklywebinars as part of the January-March 2021 Winter Webinar Series, which continued with theongoing Monthly Webinar Series. Topics, PPT slides, additional materials, and recordings may beaccessed on our website here: urcecenter/Over 840 people participated in 10 webinars in 2021. 183 people have viewed recorded webinarsavailable on YouTube. Institute awarded 5,500 from the general scholarship fund.There are 14 confirmed SPS attendees for Centennial, also funded by Institute, totaling 7,000.West Scholarship Funds: Institute awarded 14,850 to former West attendees attendingCentennial Institute with the remaining funds. Should any go unredeemed, they will be madeavailable to former West attendees who applied for a 2022 Winter Institute scholarship.2022 FUNDRAISING AND SCHOLARSHIP GOALS Secure Platinum Sponsor of 25K and introduce Institute’s Diversity, Equity, and InclusionScholarship.Raise 15,000 for Institute’s General Scholarship Fund.

Program UpdatesStaff shared various updates with the group.a. Registration and Survey Results (Karyn K. MacRae, IOM, CAE, CMP)It was reported that the attendee participation survey, which was sent to just over 600current attendees, received 350 responses. The overall results indicated that while mildconcerns remain, people are anxious to get back to Institute. The registration andscholarship launch date is still pending due to lack of information from the universities.Scholarship deadlines will be adjusted as needed.b. Universities (Karyn K. MacRae, IOM, CAE, CMP)Trustees learned of the following university updates: Midwest: We continue to remain in a holding pattern, with the university havingno update to provide regarding the status of their summer programs. Newinformation might not be received for months. Northeast: We continue to remain in a holding pattern, with the universityhaving no update to provide regarding the status of their summer day programs.We have already been informed that overnight guests will not be permitted.New information should be received on or around February 15.1

BOARD OFTRUSTEES2021 WINTER BOARD MEETING MINUTES Southeast: Based on information provided by the university and how protocolsand guidelines would drastically alter the attendee on-site experience, the decisionwas made to move the dates to the fall, with the expectations that restrictionswill be far less stringent. Staff is in the process of contracting for the newdates of Monday, November 8 – Friday, November 12, 2021, and thisinformation will be shared appropriately in the coming weeks. A hybrid optionis also being explored to take place in November, run by the University ofGeorgia. If provided, this option will be available to all attendees.It was noted that it is not feasible to look for an alternate venue due to liabilities,inherent risk, and established relationships with universities.c. Webinars (Isabel Stone)It was shared that Institute has hosted three successful webinars so far in 2021, withthree additional already scheduled, and one more in the process of being scheduled.Approximately 450 people have attended the first three and positive feedback has beenreceived.d. Challenge Coins (Katelynne G. Cox, IOM, CNC, CNE)The group was informed of the plan to launch Institute’s Centennial Challenge CoinFundraiser on Wednesday, February 10 at 11:00 a.m. EST. They were reminded that thisis an exclusive item and only 100 will be available. Coins are limited to two per personand are 100 each plus 10 for shipping. Funds will go towards the General ScholarshipFund.IV. Chairman’s ReportJeremy acknowledged the difficult situation that everyone is in and expressed thanks for all thedue diligence. He recognized that we will get through these challenging times.V. Other Business and AdjournmentTrustees were reminded that the Fall Board Meeting is scheduled to take place in Washington,DC at USCC headquarters on Thursday, September 23 and Friday, September 24. The grouplooks forward to hopefully gathering in person this fall.There being no other business, the meeting was adjourned.2

Returning to SiteStaff reported that both the University or Arizona and the Marriott are looking forward towelcoming back our group. It was noted that at the time of the call, there would not be anyspecific mandates in place, but that adjustments would be made if necessary. The plan is to bein-person, on-site next January. If cancellation were to become a possibility, ample noticewould be provided. It was confirmed that Institute follows guidelines from the U.S. Chamberof Commerce, as well as local venues.B. Class AdvisorsA discussion around Class Advisor recruitment took place, and regents agreed to recruit fromthe traditional pool of graduates, in addition to extending an opportunity to regents on thesummer boards whose sites have been cancelled for two years.

Centennial Celebration (Karyn MacRae and Andrew Weller)Excitement to celebrate Institute’s 100th year was expressed. Highlights include a new logo,various promotional items, social media campaigns, and fundraising opportunities.B. Registration (Karyn MacRae)It was noted that registration for the three summer sites will launch shortly on a new platform.C. Scholarships and Fundraising (Katelynne Cox)Regents learned of the new general fundraising campaign to sell 100 challenge coins for 100each, in recognition of the centennial celebration. It was confirmed that all Regent ScholarshipFunds will be rolled over to 2021, with the addition of an even split of West funds, which willbe awarded to former West attendees. Also confirmed was that any previously awarded SPS’swill be honored in 2021. Moving forward, each state partner organization will have one SPSscholarship to award. New sponsorship offerings and a new DEI scholarship were referenced,with more information on both is coming soon.D. Webinars (Isabel Stone)It was reported that staff is in the process of finalizing details for Institute’s Winter WebinarSeries, which will consist of six webinars in the months of January – March 2021. The groupalso learned of plans to continue webinar offerings on a once per month basis during themonths in which Institute does not occur.

Additional On-Site Programming (Karyn MacRae)Regents were informed about the discussion that took place at the recent CurriculumCommittee meeting regarding an optional on-site bonus session. Potential topics are includedbelow, and attendees can also be surveyed as it gets closer to site. Natural disasters Emergency planning What to do if your community is declared a disaster by the government What would you do if.? Productivity Selfcare ‘Pop the bubble’ and safe space conversationsF. Graduation and Big Bash (Karyn MacRae)While not originally listed on the agenda, staff informed the board of a recent programdecision to discontinue the Big Bash moving forward, in addition to re-working graduation.With COVID-related restrictions and uncertainty serving as the main driving factors, generalliabilities, finances, and feedback received over the years were all contributing factors. Whiledisappointing, this presents an opportunity to get creative in recognizing the graduates and allattendees throughout the week. Preliminary discussion thoughts are included below. Consider smaller group celebrations. Have graduation committee meet offline to create/share proposal with the team. Re-survey previous attendees to get a sense of plans, concerns, restrictions, etc. Meals/breaks present an opportunity for extra special touches and recognition.IV.2021 Midwest InstituteA. Create 2-3 Strategic GoalsA conversation surrounding goals took place and the group concluded that specific goals andmetrics would be finalized as more information regarding COVID-related restrictions andguidelines is learned. This being said, the following general goals were discussed. Focus on acknowledgement and recognition of attendees throughout the week.o Consider having regents serve as small group leaders interacting with attendeesthroughout the week.Focus on pre-event fundraising.B. Discussion of WeekDiscussions focused on program changes took place earlier in the meeting. The difficulty ofdiscussing/planning for the week with so many unknowns at this time was recognized and itwas confirmed that many more conversations will take place once more information is known.
