2 ADDING AN EMPLOYEENOTE: This step is required before training can be recorded for an employee.2.1INFORMATION NEEDED TO ADD AN EMPLOYEE 2.2Employee’s First and Last NameSite (i.e. School Name or Central Office)District ID (Do NOT use Social Security Number)Hire DateCEU Level for the employee’s positionJob TitleSTEPS FOR ADDING EMPLOYEE1. Click on the Team Work tab at the top.2. Click on Administration, then click on Employees.3. Type in the Last Name or First Name of the individual and click Apply. (You want to be surethe name is not already in the system, so you do not enter it twice.)12344. 5. Now you will begin to enter the information for the individual:abcda. Type in the first and last name. (Note: All items with an * are required to be entered.)b. Select Site from drop-down listc. Enter the employee’s district ID number (must be entered). The State ID number isautogenerated.d. Make sure Active button is checked.6efe. The employee’s Hire Date must be entered (or selected from the calendar popup).f. From the Job Title dropdown, select the job title that most closely describes theemployee’s title. (Note: Some titles are for school level employees and some are systemlevel titles.) After selecting the job title, the CEU Requirement Level and CE Hours will beauto populated.6. 3 ADDING A TRAINING EVENTNOTE: Always check the current list of Training Events BEFORE adding a new event, to make sure ithas not already been created.3.1INFORMATION NEEDED TO ADD A TRAINING EVENT Title of Event (include the year if this is an annual event)Method of Training (such as classroom, webinar, etc.)Source of Training (such as District, GSNA, ICN, etc.)Hours of Credit (minimum of 15 minutes/0.25 hour)Topics and Subtopics (These may be found on the agenda)Recommended Resource:USDA Training Topics by Key Areas and Professional Standards Learning Objectives3.2ENTERING NEW TRAINING EVENT1. Click on the Team Work tab at the top.12. Under Administration, click onTraining Events.3. Click on Add new record323.3ENTER TRAINING EVENT DETAILS Description: Name of the training(NOTE: The description cannot be changedafter employee names have been recordedfor that training event. 3.4SELECT TRAINING TOPIC CODES4. Go over to the Topic(s) and checkappropriate boxes for topics to be covered(this refers to learning codes).When you click on a topic, the Subtopic(s)list will open next to it. Click on all Subtopicsthat are applicable to the training.(Refer to Professional Standards resourcesto select appropriate codes, if needed.)3.5UPLOADING AGENDA/OTHER DOCUMENTS5. To upload the agenda (and other documents, such as sign-in sheets) associated with atraining event:a. Click Scan or Upload file under Add Document.b. Then select appropriate document and click Upload.c. 4 RECORDING EMPLOYEE TRAININGNOTE: Employees and the specific Training Events they attended must be added to Team Work beforetheir training can be recorded.4.1INFORMATION NEEDED TO RECORD EMPLOYEE TRAINING 4.2Date of TrainingTraining EventEmployee’s name (or ID)RECORD TRAINING BY INDIVIDUAL1. Click on the Team Work tab12. Click on Record Training3. Click on the Individual icon4.2.123ENTER TRAINING RECORD4654. Choose the Date of the training by clicking on the calendar.5. Choose the Event by clicking the drop-down button next to Event. (Credit Hours will auto fill)6. 7. Type in Last or First Name and click on Search.78. Select the employee (click OK) and hit Done.9109. If you want to record the same training for more individuals in the school/system, checkthe box to Hold Date/Event/SFA values, and repeat above steps.10. When all information has been entered for the individual(s), click Done11. Select the Training Event from by doing one of the following:a. Select theappropriateEvent fromthe dropdown listOr, type in thetitle instead ofselecting itfrom the list.b. If the Events are in the “Chart” view, click on the Training title in the Description column.c. 5REPORTS5.1EMPLOYEE LIST REPORT(This report includes Employee IDs, Names, Sites, Hire Dates and CEU Requirement Levels.)1. Click on the Team Work tab.2. Click on Administration, then click on Reports.3. Click on Employee List.123Select the Site from the drop-down menu (or leave at –ALL-- to run report for all sites)Select CEU Requirement Level (or leave at –ALL-- for all CEU Levels)Under Report Options, check the box to Group by CEU Requirement Level.To include hire dates of all employees on the report, leave the Hire Date boxunchecked. 5.3TRAINING CERTIFICATE(This creates individual training certificates based on the training information that has already beenrecorded.)1. Search by either a Site, OR by a specific Employee.a. If by Site, select the Site from the drop-down menu (or leave at –ALL-- to generatetraining certificates for all sites)b. If by Employee, enter ID (or lookup employee by name, by clicking on next to IDfield, then click Search. When correct name appears, click on employee name, andthen click OK to get ID)2. Must select a specific Date, Month or Training Date Range.3. Click on the Show Me button to generate the certificate(s). The certificate(s) will show upto the last 6 or 7 trainings that have been recorded within the specified date range. Click on the Team Work tab.2. Click on Administration, then click on Reports.3. Click on Training Events.4. Select a specific Training Event from the drop-down list (or leave at –ALL-- to run report forall events)5. Must first select Detailed for Report Type, and then select Date Range.(Note: the date range cannot exceed one year for this report)6. If ALL is selected for Training Events, select Report Options for:a. Event Status: Active, Inactive or Allb. Required: Mandatory, Optional or All7.
