This New Employee Essentials Guide includes high-level information about benefits andresources and a checklist with links to resources mentioned during orientation. Use the Workday Onboarding Portal to complete the onboarding tasks assigned to you.Workday is the university’s cloud-based finance and HR management system.Use the New Employee Website as a guide to your first weeks, months and year.In this unusual time, you may have questions about the university’s responseto the coronavirus pandemic. Please visit safeandhealthy.osu.edu for thelatest information. You are required to take “Together as Buckeyes” curriculumin BuckeyeLearn within your first week of employment. Daily health checks arecompleted at compass.osu.edu.ConversationsRegular ongoing conversations with your manager are essential to keep you informed, on trackand developing in your career journey at Ohio State. Initial conversations should include: Your start date and time, where and to whom to report on the first day; information on whatto bring the first day, parking and dress codeYour technology needs and requirementsAny activities that need to occur prior to your first day (e.g., obtain employee ID).Key people to meet. Your manager may assign you a task in Workday to set up thesemeetings.Required training and accessYour job description, including roles, responsibilities and expectationsYour probationary period (if applicable)Confirming your first week’s schedule and meetingsDigital Identity & ToolsLogin to my.osu.edu to set up your Ohio State digital identity, including emailaddress and BuckeyePass authentication after you receive confirmation that you are established inthe HR System. By establishing your digital identity, you will have access to your Workday Inbox,OSU Compass and other university websites.2

If you are an employee of Ohio State Wexner Medical Center, you have an Ohio State emailaddress and a medical center email address. Ohio State is moving toward MicrosoftTeams for audio and web conferencing and other collaboration. Skype is also available in manyunits. Ask your manager what tools are used for communication and collaboration in your area.Technical assistance is available by contacting the IT Service Desk at 614-688-HELP (4357) orthrough self-service.Benefits and Important DeadlinesAs part of your total rewards package, Ohio State is proud to provide access to high-qualitybenefits to support your health and financial goals. Your Workday Onboarding Portal items includeBenefits Enrollment.As a newly eligible employee, use the Benefits Overview website to navigate benefits informationand the related enrollment deadlines. Be aware there is a 30-day deadline to enroll in many ofyour benefits, and you need to make decisions regarding mandatory retirement plans in your first120 days of hire or eligibility.Important: You can select benefits up to two weeks before your start date.However, your health benefits, if you choose to enroll in Ohio State’s plan, donot begin until your first day. You willreceive an email letting you know when you can access Workday. Additional onboarding itemsenable you to: Provide or update personal and contact informationSet up direct deposit (payment election). Note: Direct deposit is the only option at theuniversity. If you don’t sign up for direct deposit, you are automatically assigned a pay card.Set up tax withholdingSee and access your required trainingComplete other onboarding items assigned to you. Items assigned vary depending on if youare a new hire, rehire or transfer. Your college or business unit may have additionalonboarding items outside those assigned in Workday.Go to the Payroll Services website for details about direct deposit, paycheck, tax information, etc.4

Getting Around CampusGo to the CampusParc website for details on how to obtain your parking pass.The Campus Area Bus Service (CABS) is a free transit service provided by The Ohio StateUniversity Transportation and Traffic Management.Take a virtual tour of campus or try out the interactive campus map.Due to COVID-19, additional safety measures are in place for employees, including mandatorymasking while riding the Med Center Express. Staff should pick up a new mask from their unit or ascreening station before 11 p.m. If your shift ends after 11 p.m., please obtain a mask from yourunit. Non-clinical staff should reuse the mask until it is soiled. If you need a mask to ride the MedCenter Express prior to your first shift, please ask the driver for one when you enter the bus. Readmore about recent parking and transportation changes.Professional DevelopmentFamiliarize yourself with Gateway to Learning, a robust website that outlines opportunities forlearning and development. Training is one way to engage in learning; other professionaldevelopment opportunities include mentoring, on-the-job experiences, job shadowing andnetworking.
