QUICK REFERENCE GUIDE – ENDNOTEONLINEEndNote onlineEndNote online, formerly EndNote Web, is the online counterpartto our popular desktop reference management and bibliographycreation software.Whether you use EndNote online through Web of Science , withEndNote desktop, or on its own – you reduce the time you spendsearching, updating, and cleaning your research and formattingdocuments. Depending on how you access EndNote online, youmay see different features and options. ENDNOTE BASICIf you only have access to EndNote online, andnot EndNote desktop, you are considered abasic user. While your feature set is limitedcompared to those using EndNote online inaddition to the desktop, it’s still perfect for thenew-to-research and writing student. ENDNOTE ONLINE WITH THE DESKTOPOnce you know the basics, complex researchprojects no longer seem insurmountable.Easily moving from EndNote basic to EndNoteon the desktop gets you access to additionalfeatures and options in the online applicationthat basic users do not.Get started in 8 easy steps1 CREATE YOUR ENDNOTE ACCOUNTDESKTOP USERSWith your EndNote libraryopen, select the Syncbutton. You will beprompted to either createan account or log in toyour preexisting EndNoteonline account.This process not onlycreates your onlineaccount, but also syncsyour desktop and onlinelibraries. QUICK REFERENCE GUIDE – ENDNOTEWEB OF SCIENCE USERSSign in to the Web of Science andclick the EndNote link from the topmenu bar to open your EndNotelibrary.BASIC USERSIf you do not have EndNote desktopor access to Web of Science, go tomy.endnote.com and sign up for afree account.ACCESS GETTING STARTED GUIDEThe first time you sign in to yourEndNote account, you will see theGetting Started Guide, which offerslinks to help you collect, organize,and format your references.2 INSTALL PLUG-INSTo access more EndNote features, you can install two types of plug-ins: one for capturingreferences from your browser window and one that links your online library to Microsoft Word.GET STARTEDGo to the Options tab and select DownloadInstallers. Here, you will see all availableplug-ins.INSTALL CAPTURE REFERENCE TOOLTo automatically import references into yourEndNote library, you can use the CaptureReference button as well as EndNoteCapture toolbars for Internet Explorer (Windows only) or Firefox (Windows orMacintosh ).INSTALL CITE WHILE YOU WRITEDownload the Cite While You Write plug-in to insert references, and formatcitations and bibliographies automaticallywhile you write your papers in Word.Note: If you are using EndNote X7 you donot need to install the plug-in, becauseit is already included.2

QUICK REFERENCE GUIDE – ENDNOTE3ADD REFERENCES TO YOUR LIBRARYThere are six ways to add references to your library: by syncing with the desktop, direct export, capture,online search, import text file, and manual entry.1) Syncing with the DesktopSYNC LIBRARIESAfter syncing your desktop and online references, asshown in Step 1, all your references will be availableboth on your desktop and online through any Internetbrowser. References can also be synced to the EndNoteiPad app and to EndNote on the desktop on your othercomputers. (Hint: Open a new empty library for the firstsync on other computers.)During the first sync, all references in both the EndNotedesktop and online libraries will be copied to the otherlibrary, as well as all group information, but only customgroups will be displayed in EndNote online. Once synced,any change made in any synchronized library will bereflected in all synchronized copies of the library.2) Direct ExportEXPORT TO ENDNOTE ONLINEThe EndNote Web browser plug-inmakes it possible for you to exportreferences from online databases thathave an option for saving to EndNote.See Step 2 for installation details.3) CaptureCAPTURE REFERENCESUse the Capture Reference featurefor online resources that do not havebuttons for direct export.Capture Reference scans thebibliographic information presentedon a Web page and creates areference for you to save to a newor existing group. Some databases,such as Google Scholar andPubMed, allow you to capture anentire page of references all at once.3

QUICK REFERENCE GUIDE – ENDNOTE4) Online SearchONLINE SEARCHYou can search many library catalogsand databases through the EndNoteinterface. Click the Collect tab; then clickOnline Search. Select an online database. Perform your search. Mark desired references, and usethe drop-down menu to add themto your library.5) Import Text FileIMPORT REFERENCESTo import references in a plain-textfile, data in the file must be tagged inmachine-readable format. Click the Collect tab; then clickImport References. Browse to select the text file. Select the Import Option (filter)that matches the database whereyou created the file. Select the group for importedreferences. Click Import.6) Manual EntryADD NEW REFERENCETo enter a reference manually: Click the Collect tab; then clickNew Reference. Select the appropriate referencetype. Enter data into the desired fields.Fields commonly used by majorstyle guides will appear first.4

QUICK REFERENCE GUIDE – ENDNOTE4 ORGANIZE AND SHARE YOUR REFERENCESCREATE GROUPSBy default, EndNote places referencesinto the Unfiled group. You can createup to 5,000 groups to organize yourreferences in any way that works for you. Select the references you want to group. Click on Add to group from thedrop-down menu and selectNew group. Name the new group and click OK.Note: You can place a reference inmultiple groups. To see which group(s)a given reference is currently in, click theFolder iconbelow the reference.ELIMINATE DUPLICATE REFERENCESIt is possible to have duplicate records inyour library. To identify and delete them,use the Find Duplicates link under theOrganize tab. EndNote compares theAuthor, Year, Title, and Reference Typefields when identifying duplicates.SHARE REFERENCES WITH OTHER ENDNOTE USERSUse the Manage My Groups link under the Organize tab.Click the Manage Sharing button next to the groupyou’d like to share.Enter the email addresses of the people with whomyou’d like to share.Note: Any individual you share your group with musthave an EndNote account in order to view references.Enter the email address they use to access EndNote.Choose whether to give your colleagues Read-onlyaccess, or Read & Write access. Click Apply. Read-only access allows designated users to viewreferences, use them in Word documents, or copythem to their own library. Read & Write access allows the designated user toadd, change, or remove references in the group, as wellas anything Read-only access allows.UNDERSTANDING ICONSGroups that you are sharing with othersdisplay the Share icon. You can click onthe icon to view or modify user access.When another user shares a group withyou, it appears under Groups Shared byOthers. When the Read-Write icon ispresent, you have permission to add,change or remove references in a group.5
