The Graduate Reporting System (GRS) is accessed fromhttps://www.egr.msu.edu/grs/. Log in using your MSU or EGR NetID and password.1

As part of the annual report, you will need to upload the following documents (eachin separate PDF files): A copy of your current graduate program plan, which is called a “course plan” inthe GradPlan system. (There are options to upload a draft/unofficial plan, or toindicate that you are not yet required to have a plan.) A copy of your current resume or CV. There are no specific formattingrequirements or page limits for this document.2

Click on the “Adviser Info” tab and then select Current Advisor. Check to make sure that your current advisor is listed on the PrimaryProfessor/Advisor Info page. If this information is NOT correct, then enter a valid MSU Net ID for your advisor. If you have difficulty with this process, please email grs‐help@egr.msu.eduPLEASE NOTE: changing the advisor information in GRS will ONLY change the namethat is listed on your annual report signature form. If you want to officially changeyour advisor, you need to speak with your graduate program secretary.3

To complete your annual report, click on the “Current Year Report” tab and thenselect the appropriate function.4

These questions onlyappear for PhD students.You should complete all of the information requested in the annual report. Note thatsome questions appear only for PhD students, and not for MS students.5

Throughout the report, you should include activities that took place ONLY during thereporting year (in this example, only activities from 2021).6

When responding to the questions about your goals and progress, use this as anopportunity to reflect on your academic and professional plans. This is anopportunity to communicate with your advisor(s) about your plans and to identifyany challenges you anticipate in meeting your goals.Be sure to SAVE your report!7

Click on the link to add or edit publications from the current reporting year. You canadd the publications individually, or upload a .bib file.8

Enter each publication separately, and include all pertinent information. Select theappropriate publication type for each item: Books Book sections/chapters Monographs Reviewed, archival journal papers Other journal papers Reviewed conference proceedings papers Other conference proceedings papers Reviews Other creative works9

Select the appropriate response from the menu to describe the type of program planyou are attaching: Your official, approved program plan (course plan) from the GradPlan system(https://sis.msu.edu/ Student.pdf) An unofficial, unapproved, or draft program plan (from GradPlan or created by youas a regular document) None – select this option only if you are early in your graduate studies and not yetrequired to have developed a program plan12

Add a PDF file containing the current version of your resume or curriculum vitae. Nospecific format is required for this document.13

AFTER you have completed all of the student portions of the annual report, return tothe Current Year Report tab and click on “Submit Report.” This will pop up a messageto your advisor asking him/her to log into the GRS system and review the informationyou have submitted. YOU MUST CLICK ON “SEND EMAIL” in order for this message tobe sent to your advisor. Your advisor will also be asked to provide written feedbackabout your progress and plans.14

Once you have sent the message to your adviser, you must log out of the GRS systemand wait for your adviser to provide the feedback.15

Watch for an email saying that youradvisor has added his/her feedbackYou will receive an email when your advisor has added his/her feedback to yourreport in GRS.16

After you have received feedback from your adviser, log back into the GRS system(https://www.egr.msu.edu/grs/).Log in using your MSU or EGR NetID and password.17

From the Current Year Report menu, select “View Report.” This will generate a PDFfile in a separate window, where you can see the information that you entered andthe feedback from your adviser.18

After meeting with your adviser and committee members and obtaining theirsignatures, log back into the GRS system (https://www.egr.msu.edu/grs/).Log in using your MSU or EGR NetID and password.19

Under the “Reports” menu, select the current year’s report and click on the option to“Verify” the report. Completing this step is REQUIRED in order to avoid having a holdplaced on your account.20
