IOGEAR Digital Scribe ReviewBy Rebecca FeinsteinI was thrilled when I first found out there was a digitalscribe product at the last WINNERS meeting. Asmany of you recall, I was well, somewhat reluctantshall we say, to give up the raffle donation item. At the35% discount I could not wait to get it.The IO Mobile Digital Scribe took six days to get herefrom the Illinois. It comes with the pen, cable, mobileunit, two program CDs something that looks like agreen tipped stylus (turned out to be the pen/refill),two small (hearing aid size) batteries and a Quick StartGuide.Installation of the software was easy, Mobile DigitalScribe (Note Management) and My Script Notes Lite(handwriting recognition software); as was chargingthe mobile unit and installing the batteries into thepen. However, installing the pen was a bit puzzlingas in the reference guide, IOGEAR never shows theactual size of the refill in the pictures. It also tooka few e-mails to Customer Support and productmanagement to find out where you can purchase there-fills as well. With all this practice under my belt, I decided it wastime to haul out the big guns, – WORK! As a technicalwriter, as with many other positions, I attend a lot ofmeetings. My expectations were high for my new tool.No more having to rewrite all my notes into electronicformat for distribution. I was armed and I was readyfor combat. After receiving permission to install thesoftware on my office unit, I got set up and ready torock. I attended three meetings that day.On the big plus side, it was very nice to have my notesappear in e-form without having to transcribe them atall. This made putting them into agenda form a breeze. On the problem side of using the scribe, a majordrawback is the mobile unit clips are made to onlygrab a few pages of paper at a time. Unless you areintending to take one page’s worth of notes, you haveto remove the mobile unit to turn pages to take morenotes. This proved to be distracting and inconvenientin one of my meetings. And I found it to be veryunwieldy when I was standing to take note as themobile unit added weight to the top of the paper pad.The pen, which is thicker than I’m used to (standardstationary pens) felt unwieldy in my hand to beginwith. The button that allows you to switch betweenpen mode and mouse mode is located in the lower partof the pen, towards where it writes on the paper andI kept inadvertently clicking it as I was writing. Sosome of my notes from the first meeting resembled aword game puzzle.Another problem, though a lesser one, is the quickreference guide itself. The print is so small, I hadto borrow a friend’s magnifying glass to read someOkay, I got it up and working, I did a few test runsof it. Keith Renty was correct when he said at ourwith it at home with the mobile unit attached to themeeting that the user information was not writtencomputer. The note management software requiredwell. Nowhere in the users guide, or quick referencea bit of a learning curve, but still was fairly easymaterial is a description of everything that was toto use. Included with the software is a .pdf userscome with the kit (the graphic that points to everythingguide for the entire kit (58 pages). The handwritingin the kit to make sure you know the stylus is actuallyrecognition software was pretty impressive. With mythe pen cartridge). There is no technical supporthandwriting I expected it to have a problem with myinformation listed in the users guide, but contactconvoluted shorthand as well as my capital Is, js andmy contractions. To my surprise, the software only had information is listed in the back of quick start guide.a problem with the Is. It even captured my signatureOverall, I’m pleased with the performance, and not soscrawl quite well! As with a regular pen, the programpleased with the customer support.doesn’t erase; but recognizes crossed out informationas crossed out.

10 Office features you should not dowithoutThe Crabby Office LadyFeature #1: The editor inside thebox: Use the Spelling checker.especially if you’re writing tome! If I’ve said it once, I’ve saidit 100 times: Please, if you’re sending e-mail, writinga letter, or creating a Web site, please make use of thespelling checker. Either turn on this feature so that itautomatically notifies you when you’ve misspelleda word, or press F7 to launch the spelling checkeryourself before you’ve completed your task. It’ssimple, it’s quick, and it’s the courteous thing to do.More information about the spell checkerOutlook: Check spellingWord: Turn on or off automatic spelling and grammarcheckingVisio: About checking spellingAccess: Set spelling optionsExcel: Check spelling on a worksheetPowerPoint: Check spellingFeature #2: Say it, don’t spray it: The Bcc boxNow this one I KNOW I’ve mentioned before. Bccis an abbreviation for blind carbon copy. If you add arecipient’s name to this box in an e-mail, a copy of themessage is sent to that recipient, and the recipient’sname is not visible to other recipients of the message.Consider using the Bcc box when:You want your mailing list to remain private. You want to protect your recipients from possiblygetting on a spammer’s list. Consider this: If you sendout a message to 10 people (and you don’t put theire-mail addresses in the Bcc: box), if each of those10 people forwards it to 10 other people, and if eachof those 100 people forwards it to 10 more people, your original 10 e-mail addresses are now available to10,000 strangers. (This is how a version of that “sixdegrees of Kevin Bacon” game gets started.) Chancesare pretty good that one of those 10,000 recipients is aspammer.Of course, there are other reasons to use the Bcc box,but I’ll leave you and your sneaky mind to come upwith those.More information about the Bcc boxUse Bcc effectivelyDemo: Use Bcc to keep names off the To lineFeature #3: I came, I saw, I rewrote: Revision marksWriters and editors have to work together; it’s a lawof nature, like gravity or a rained-out wedding. Usingrevision marks in Word is one way to keep track of allthe changes — agreed upon or otherwise — that you,as a writer or a reviewer, talk about as a documentis written. Using Word’s built-in reviewing tools, such as comments or tracked changes, is a lot easierthan getting out the red pen or using strikethroughformatting (or whatever). Make use of this handyfeature; it really facilitates the reviewing process.More information about revision marksAbout tracked changes and commentsKeep your imperfections private: Obliterate revisionmarks in WordGet rid of tracked changes and comments, once andfor allAnd listen, while some of you Word 2003 and Word2002 users prefer the way Word 2000 handled revisionmarks (no balloons, just strikethrough formatting fordeletions and underlining for insertions) you can setup your version of Word to use the Word 2000 style ofrevision marks:On the Tools menu, click Options, and then click theTrack Changes tab.In the Use Balloons (Print and Web Layout)box, select either Never or Only for comments/formatting.Note    In Word 2002, clear the Use balloons inPrint and Web Layout check box.Feature #4: Get yourself some insurance: Protect yourworkSecurity is a big word these days, and you’d be wiseto pay attention. There are many aspects to computersecurity, and being who I am, I’m here to encourageyou to make your Office documents as secure asyou can. Some of the ways you can do this are topassword-protect your documents, presentations andspreadsheets; lock your shapes in Visio and preventchanges to files; protect your InfoPath form designs;and Sign up for security bulletins on the MicrosoftSecurity site .I’m not going to say that security is a simple, straightforward topic; it isn’t. But if you read the informationwe have out there and follow some of our guidelines, you can rest assured that your Office documents willbe a lot more secure than if you just close your eyes

and hope for the best.More information about Office securityHelp protect yourself: Security in OfficeSecurity and Office: Find out how to help protect yourdataFeature #5: I know what I mean: AutoCorrectThis is one handy feature that I use a lot, and I use it intwo ways:I type “Crabby Office Lady” a lot; all day long, in fact. But since I’ve created an AutoCorrect entry for it, allI have to do is type “COL” and my Office programdetects what I really mean and fills in the full phrasefor me.I can also use AutoCorrect to automatically detect andcorrect typos, misspelled words, grammatical errors, and incorrect capitalization. See, I tend to type fastand quite erroneously. I often type “teh” instead of“the” and “nac” instead of “can.” Since I’ve set upthe AutoCorrect to note that, it changes the wordsback to what they should be. Does this make me lazy?Perhaps. But it saves me time, too.More information about AutoCorrectTurn on or off AutoCorrect optionsAdd an AutoCorrect entry (This topic refers toPowerPoint but you can apply it to any Officeprogram.)Troubleshoot automatic correctionsFeature #6: Help me, I’m drowning: AutoArchiveYour mailbox is growing and growing.and growing. You need a place to store all those items that you can’tdelete but don’t need on a daily basis, and you needa way to do it automatically. AutoArchive in Outlookis the way to handle it. It’s on by default and runsautomatically at scheduled intervals, clearing out oldand expired items from folders. Old items are thosethat reach the archiving age you specify. Expired itemsare mail and meeting items whose content is no longervalid after a certain date, such as a meeting you hadfour months ago that still appears on your calendar. Ilike to think of it as spring cleaning, but it’s easier andcan happen more frequently, at any interval you desire.More information about AutoArchiveBack up Outlook e-mail messagesReconnect your old Outlook data fileFeature #7: Decorating made simple: The FormatPainterThe Format Painter, which looks like thison theStandard Toolbar, is one of the most handy littlefeatures I know. It’s a way to copy any formatting youwant to duplicate — fonts, shading, borders, and more. You basically select the text that you want to copy, click the Format Painter button and then select thetext to which you want to apply formatting. If youwant to apply the same formatting to more than oneitem, select the formatting you want, double-clickFormat Painter, and then select each word, phrase,or paragraph you want to apply formatting to. Whenyou’re finished, press ESC. No guessing, no multiplesteps, and you can use the Format Painter in justabout any Office program.More information about the format painterDemo: Copy formatting in a single click with FormatPainterFeature #8: Leverage someone else’s work: Use atemplateWhen time is of the essence (and when is it not?),no one is a better friend to you than a template. Ina nutshell, a template is a pre-designed document, spreadsheet, presentation or any other type of Officedocument that’s been created by a template elf. It hasall the colors, layouts, bullets, fonts, and whateverelse you want to make your Office document sparkle. All you have to do is plug in your content and awayyou go. A template saves you the burden of havingresearch and design skills, and it saves us the burdenof reminding you that you need to brush up on yourresearch and design skills.More information about using Office templatesMicrosoft Office Online Templates homepageHELP! for templatesFeature #9: Show, don’t just tell: Use some Clip artI often get e-mails from folks asking me if theycan use the clip art on our site for their documents, spreadsheets, e-mail signatures, etc. People: If it’s onour site, you can use it. Why would we have it there?Just to tempt you? Yes, use our clip art for all yourartistic needs!More information about using clip artMicrosoft Office Online Clip Art and Media homepageClip art and media assistanceClip Organizer assistanceFeature #10: Say it loud, say it proud: Give feedbackI know: You think we’re not listening, that we justmake these products year after year, without thinking

about you or your needs. That just isn’t true. In fact, some of us spend a majority of our time listening toyou and your ideas. But we can’t listen if you’re nottalking.
