1 About this guideThank you for choosing Philips SpeechLive as your cloudbased dictation workflow solution. This guide covers thebasic configuration of your workflow.TerminologyAdministrator The person who adds users to the SpeechLiveworkflow and manages workflow relationships.Symbols usedTip This symbol identifies information that helps youto use Philips SpeechLive in an easier and moreefficient manner.Note This symbol indicates important notes to keep inmind when using Philips SpeechLive.Author The person who records dictations as audio files.Transcriptionist The person who transcribes the audio files (dictations)of authors.Office manager An author or transcriptionist with additional rights,such as managing users and workflow relationshipsettings.User Umbrella term for the author and transcriptionist roles.Philips SpeechExec workflow software Authors and transcriptionists can use this software torecord and transcribe dictations, and manage variousdevice settings. 3

2 User managementNote If you have created a test account or an accountwith only one user, you are added automaticallyas an author and will receive an email from thesystem with additional information on how to useSpeechLive. Unless you are adding additional users,you can skip this section and go to SpeechLivetranscription service.Add authors and transcriptionists to the SpeechLiveworkflow by creating a user account for each user withonly a few clicks.Click Add & Invite to add the user to the workflowand send them an invitation email.XX The newly added user will receive an invitationemail with additional information on how toactivate the SpeechLive user account.XX The user status is displayed in the Status columnof the users list.If you are not logged in immediately after registering:1Open your browser and enter the following Internetaddress: login.speechlive.com.2Enter your email address and password, and thenclick Login.Adding usersIf the user has clicked the activation link in the invitationemail, the account is activated and the user status isdisplayed in the Status column of the users list:Note At least one user is required to send dictations to theSpeechLive transcription service or to the SpeechLivespeech recognition service. If you have added the maximum number ofpurchased users to the workflow, you first need todelete users before you can add new ones. For moreinformation, see Deleting users.1Click the Workflow tab.2Click the Add new user iconon the toolbar.XX The Add new user window opens.3Enter the user's email address in the Email addressfield. This email address will also serve as the username for the account.4Enter the user’s name in the Name field. This will bethe displayed user name in the workflow.5In the User role section, select Author orTranscriptionist and choose if you want the userto be an Office manager. For more information, seeSelect a user as an Office manager.6Select your desired notification setting for transcribeddocuments. You can always edit users and changethe notification setting. For more information, seeEditing existing users.7Click Add user to add the user to the workflowwithout an invitation email.XX The user status is displayed in the Status columnof the users list.4Note By default, the Add new user window is reopenedautomatically after you have created a user. Thisway, you can conveniently add several users in arow. If you want to change this setting, deactivate thecheckbox Add more users.

Select a user as an Office managerTo resend an email invitation:Select one or more workflow users to be Officemanagers. As Office managers, users get additionalrights: They can edit user settings, such as inviting newusers and deleting existing users from the workflow.Advanced business package users are also able tochange workflow relationship settings.1Click the Workflow tab.2Select the desired user.3Click the Resend invitation iconNote Users can only participate in the workflow as Officemanagers if you have sent them a user invitationemail and if they have clicked the activation link inthe invitation email.on the toolbar.Editing existing usersYou can always change the settings for existing users,such as notifications for transcribed documents, thedisplayed name, or select the desired user to be anOffice manager.To select a new user as an Office manager:1Click the Workflow tab.1Proceed as described in the steps 1-4 of the chapterAdding users.22Select the desired user and click the Edit user iconon the toolbar.XX The Edit user window opens.In the User role section, select Author orTranscriptionist and mark the checkbox next toOffice manager.3Select the desired settings.34Click Save changes.Proceed as described in the steps 6-7 of the chapterAdding users.Resetting the passwordTo select an existing user as an Office manager:Reset account administrator password1Click the Workflow tab.2Select the desired user and click the Edit user iconon the toolbar.XX The Edit user window opens.3In the User role section, mark the checkbox next toOffice manager.4Click Save changes.1Click the Account tab and then click Edit account atthe bottom of the page.2In the Login data section, enter your old password inthe Old password field. Then enter and repeat yournew password in the relevant fields.3Click Save.Reset user passwordNote Users are only notified about their invitation as anOffice manager in the initial user invitation email.If you assign an existing user the role of an Officemanager, the user won’t get any notification. In thiscase, you should inform the user that you haveselected them to be Office managers in the workflow.Workflow users can’t reset their password themselves.Only the account administrator can request a passwordreset. Users can afterwards change their password byclicking the confirmation link in the password reset email.Note You can only request a new password for users whohave already been activated. When resetting a password in SpeechLive, the useralso needs to change the relevant password in otherapplications, such as SpeechExec workflow softwareor the Philips voice recorder app.Send email invitation at a later timeYou can add a user to the workflow and send an emailinvitation at a later time. The reasons for resending orsending an email invitation at a later time can be thefollowing: You want to set up all users in the workflow first andsend the invitation email afterwards. The user missed to click the activation link in theinvitation email within 24 hours after receiving theinvitation email. The invitation email was directed to the user’s spamfolder and therefore the activation link has expired. There was a technical problem while trying to send theinvitation email.To request a password reset for a workflow user:1Click the Workflow tab.2Select the desired user and click the Reset passwordiconon the toolbar.XX The user receives an email with a confirmationlink. After clicking the link, a window opens wherethe user can change their password. 5

Deleting usersNote If you want to delete all users with the same userrole—Author or Transcriptionist—make sure that alldictations assigned to any user with this user role aredeleted. You can only delete the very last user withinone user role if all dictations in the workflow havebeen deleted. Additionally, all dictations assigned to the workflowusers in SpeechExec workflow software need to bedeleted from the Archive folder in the software.1Click the Workflow tab.2Select the desired user and click the Delete user iconon the toolbar.3 If there are dictations assigned to the user youwant to delete, you will be prompted to assign thedictations to another user who has the same userrole, which is Author or Transcriptionist. In this case,select a user from the drop-down list you want toassign the dictations to. Then click OK.XX The dictations are assigned to the selected user,and the Author name of the relevant dictationschanges to the Author name of the new user. If the user you want to delete is the last user in thelist within one user role, you will be prompted todelete all dictations in the account. In this case, firstdelete all dictations in the workflow, and then deletethe user again. If there are no dictations assigned to the user youwant to delete, click Delete.XX The user is deleted.6 User applicationsThere are three ways for users to log in to the SpeechLivesystem. They can do one of the following: Access login.speechlive.com on a computer by using abrowser Use the Philips voice recorder app (for iOS, Android, orBlackBerry 10) on a smartphone or tablet Use Philips SpeechExec Pro Dictate or PhilipsSpeechExec Pro Transcribe workflow software installedon a computer (Windows only)

3 Relationshipmanagement (onlyadvanced businesspackage)To remove the link between a transcriptionist andan author, select the desired author. Then click theremove iconnext to the transcriptionist you wantto unlink from the author.5Click the Save iconon the toolbar once you’refinished setting up all desired relationships.Exporting user relationship overviewIf you have purchased the SpeechLive advancedbusiness package, you can manage relationshipsbetween up to 80 workflow users by assigning authorsto transcriptionists. Transcriptionists can only viewdictations from those authors who have been assignedto them.Export a .csv file with an overview of the links betweenall users in your workflow.1Click the Workflow tab.2Then click the Settings iconon the toolbar andselect Workflow relationships from the drop-downlist.3Click the Export iconon the toolbar.XX The .csv file is downloaded to a local folder onyour computer.Note If you have upgraded from a small business packageto an advanced business package, all authors andtranscriptionists in your workflow are automaticallyassigned to each other. You can change theassignment of single users in Workflow Settings Workflow relationships (see Defining relationships).Defining relationships1Log in to your SpeechLive account atlogin.speechlive.com.2Click the Workflow tab. Then click the Settings iconon the toolbar and select Workflow relationshipsfrom the drop-down list.XX If assignments already exist, all links betweenauthors and transcriptionists are listed.XX The number of transcriptionists assigned to anauthor is displayed accordingly:3If you want to change the view of users and assignauthors to transcriptionists instead, click the Typist toAuthor iconon the toolbar.XX The view is changed now and the transcriptionistsare listed in the left column, the authors to beassigned in the right column.XX The icon on the toolbar changes to Author toTypist.4To link a transcriptionist to an author, select thedesired author. Then click the add iconnext tothe transcriptionist you want to link to the selectedauthor.XX The transcriptionist is now linked to the author. 7

4 SpeechLivetranscription serviceEnable automatic rechargeThe Philips SpeechLive transcription service is acomplete speech-to-text workflow solution. If dictationshave been assigned a priority status, importantdictations will be transcribed even faster.1Click the Account tab and then click Edit account atthe bottom of the page.2In the SpeechLive transcription service section, markthe checkbox next to Auto-recharge, select yourdesired amount of auto-recharge minutes and yourdesired threshold.3Click the Save iconEnable the automatic recharge function, which willrecharge your account with a predefined amount onceyour preset threshold is reached.The SpeechLive transcription service also supportsdictations with multiple speakers, such as interviews,telephone conversations, or meetings.Note The SpeechLive transcription service can only beused if you have charged your account with sufficienttranscription service minutes.Select languagesFor more information on pricing, delivery times,maximum file length and number of speakers, visit ourwebsite at www.speechlive.com.Using SpeechLive transcriptionserviceWhen you purchase a SpeechLive package, you canget 10 free trial minutes per account for the SpeechLivetranscription service. You can always top up yourtranscription service credit.Note The 10 free trial minutes are disabled by default.To activate your free trial, you have to select alanguage for the transcription service either duringthe registration process or in the SpeechLivetranscription service section of the Account menu. Purchased transcription service minutes expire after24 months.Purchase minutes for the transcription service1Log in to your SpeechLive account atlogin.speechlive.com.2Click the Account tab.3Scroll down to SpeechLive transcription service andthen click Buy transcription minutes.8 At the beginning of the registration or buying process,you need to select the language for the transcriptionservice.Note The SpeechLive transcription service supports onlyone language per SpeechLive account. You can’tchange the selected language at a later time. Should you require multiple languages, create asecond SpeechLive account and select the desiredlanguage. Once you have selected a language, your accountis automatically credited with a one-off credit of 10free trial minutes.Activate multi-speaker dictationsEnable the transcription for multi-speaker dictationsto allow transcription of interviews, telephoneconversations, meetings and more. When you senddictations to the transcription service, you can select if itis a dictation with one, two, three, four, five or more thanfive speakers. If you select more than five speakers, youwill receive an offer via email.Note The multi-speaker option is only available forpurchased accounts. If you enable the transcription for multi-speakerdictations, the auto-recharge checkbox isautomatically marked. Since the prices for thetranscription of multi-speaker dictations are higherthan for single-speaker dictations, it is necessarythat your credit is charged sufficiently in order toprocess your multi-speaker dictations. Users also need to activate multi-speaker dictationsin their applications. For more information, see theQuick start guide for authors.

To enable the multi-speaker dictations feature:1Click the Account tab and then click Edit account atthe bottom of the page.2In the SpeechLive transcription service section,mark the relevant checkbox to enable multi-speakerdictations.3Click the Save iconon the toolbar.Receiving transcribed documentsAs soon as a dictation is transcribed, the finisheddocument is attached to the original dictation in theSpeechLive portal.Depending on your SpeechLive notification settings foryour workflow users, the document can additionally besent to the authors via email.If users work with Philips SpeechExec workflow software,the dictation is also attached to the original dictation inthe software.Notification of finished documentsFor full cost control, activate a notification which willinform you via email once your preset threshold isreached.As the account administrator, you can define thenotification settings for transcribed documents in theSpeechLive portal.To activate notifications:1Log in to your SpeechLive account atlogin.speechlive.com.2Click the Workflow tab.3Select the desired user and click the Edit user iconon the toolbar.XX The Edit user window opens.4Select your desired notification setting for transcribeddocuments5Click Save changes.1Click the Account tab and then click Edit account atthe bottom of the page.2In the SpeechLive transcription service section, markthe checkbox next to the desired notification settingand select your desired threshold.3Click the Save iconon the toolbar.Sending dictationsWith the one-off 10-minute trial for the SpeechLivetranscription service, all users in your workflow are ableto send dictations to the transcription service straightaway. For information on how to send dictations tothe transcription service, see the Quick start guide forauthors.You can always top up your transcription service credit.For more information, see Purchase minutes for thetranscription service. 9

5 SpeechLive speechrecognition serviceThe Philips SpeechLive speech recognition service isa fast and efficient speech-to-text solution, perfectfor general contexts. The dictations sent to the speechrecognition service are almost immediately transcribedby SpeechLive. Choose between 21 languages fordictations to be transcribed in.Select languagesYou can select multiple languages for the speechrecognition service. When you use the speechrecognition service for the first time, a default languageis already preselected. SpeechLive recognizes yourbrowser’s system language and selects the language forthe speech recognition service accordingly.Note You can’t disable the preselected default language.To change the default language, you need to changeyour browser’s language.Note The SpeechLive speech recognition service canonly be used if you have charged your SpeechLiveaccount with sufficient speech recognition minutes.To select languages for speech recognition:1Log in to your SpeechLive account atlogin.speechlive.com.Using SpeechLive speechrecognition service2Click the Workflow tab. Then click the Settings iconon the toolbar and select Speech recognitionfrom the drop-down list.Every user in your workflow has five (small businesspackage) or 10 (advanced business package) freespeech recognition service minutes available everymonth. The free minutes are automatically activated andcan be used immediately. You can always top up yourspeech recognition service credit.3Mark the checkbox next to your desired language(s).4Click the Save iconNote Free speech recognition minutes that haven’t beenused up, automatically expire after a month.
