Information provided on this dashboard will be used to ensure & enforce compliance requirements. Supervisors can access a version of the dashboard here. Supervisory assignment is based on Oracle assignments. Key Points Scope: Applies to ALL Workgroup A and Faculty Employees listed in a supervisor’s dashboard are based on Oracle data Updating an employee’s Current Status will trigger clearance requirements for re-entry back to campus; training will be assigned if on-site or hybrid and Healthcheck compliance expectations will be enforced It is critical to ensure accurate Current Status and Primary Work Location data 1 2 3 Summer 2021 refers to the Summer 14-Week Session beginning on May 10. 1. Summer 2021 Recommendation: Select the working status recommended for summer 2021. 2. Summer 2021 Recommendation Reason: Required for Hybrid or Remote recommendations. Select the primary reason for recommending the employee’s summer 2021 working status. 3. If Approved, Recommend Long Term? Clearance Status Color-coded indicator of the employee’s clearance status; largest square indicates overall status (See Appendix) 2. HC Date Displays the date of the employee’s last recorded Healthcheck, as of 1AM of the current day 2. Employee’s Org Name, Job Title, and Assignment Category Displays assignment categories 01, 02, 03, 04, 07, 20, 21, 46, 59, 60 employees within your orgs 3. Current Status: The employee’s current work status at any given time On-Site: The employee is currently performing the majority of work duties on campus Hybrid: The employee is currently performing work duties alternating between on campus and remotely Remote: The employee is currently performing the majority of work duties remotely Not Working: The employee is currently not working or furloughed 4. Primary Work Location Location on campus where the employee is, or will be, performing the majority of their work duties 5. Last Update Displays the name of the last user to update a given record and the date the record was last updated 6. Telecommuting Agreement Upload: Allows the ability to upload an existing telecommuting agreement (only PDF files are accepted) View/ : Allows the ability to download an uploaded telecommuting agreement or delete an uploaded telecommuting agreement 7. The automated clearance process is triggered by: Current Status is On-Site or Hybrid Re-entry Dashboard Status Indicators Overall status is indicated by the top square. The smaller squares (L to R) indicate: Training Status (COVID-19: Basic Safety and Awareness Course) AWARE Accommodations Status Healthcheck Status Green: All items are green and the employee is fully in compliance and cleared to re-enter. Yellow: Some items may require attention. Red: One or more items are not in compliance or not cleared. Re-entry is not approved until resolved. Grey: Data not available. All items may also be listed as gray if the employee’s phase or current status has not triggered the compliance process. Telecommuting Agreement Upload: Click to upload a telecommuting agreement for the employee. A Red status for any clearance component signals that the employee is not approved for re-entry to campus. Red statuses must be resolved before returning to on-campus work. Training Status COMPLIANCE Employees have 14 days to complete the training Email sent to employee from the Campus Learning System confirming enrollment Email sent from Re-entry Dashboard to employee with instructions to access the course Green: The training has been completed. Yellow: The training is due and must be completed. Email sent to employee from Campus Learning System 7 days before due date Email sent to employee from Campus Learning System 3 days before due date Red: The training has not been completed within 14 days and is overdue. Email sent to employee and supervisor from Re-entry Dashboard after 14 days Healthcheck Status COMPLIANCE Employees must complete a Healthcheck check-in every day If no check-in within 1 day, regular email and text reminders are sent from the Healthcheck application Green: A Healthcheck check-in has been recorded within the last 4 days. Yellow: Employee has not completed Healthcheck in at least 5 days. Email sent to employee and supervisor from Re-entry Dashboard after 5 days without a check-in Red: Employee has not completed Healthcheck in at least 8 days. Email sent to employee, supervisor and Employee Relations from Re-entry Dashboard after 8 days without a check-in Accommodation Status CLEARANCE Employees have the option to request additional accommodations for re-entry Green: The training has been completed and no accommodations requests have been received; or, an accommodations request was received and the employee has been cleared for re-entry. Yellow: The employee submitted a request for additional accommodations and the request is being processed. Email sent to employee to confirm from HR’s AWARE team Red: Employee has been granted additional accommodations that prohibit re-entry to campus.
