Agilent OpenLAB ECM Business Process Manager 3.5 Upgrade Guide 1 Preparing for the Upgrade Preparing Client Computers 4 Preparing Server Computers 5 This document is designed for the system administrator who will upgrade the Agilent Business Process Manager BPM software from version 3.4.1 to version 3.5. This chapter contains information on how to prepare client PCs and servers for the upgrade to Business Process Manager (BPM) version 3.5. Agilent Technologies 3

1 Preparing for the Upgrade Preparing Client Computers The procedures in this section can be performed by end- users, and can be distributed to them during the upgrade process. The upgrade is only possible from BPM 3.4.1 to BPM 3.5. Any earlier versions of BPM must first be upgraded to BPM 3.4.1. Make sure all existing workflows are updated to BPM 3.4.1 before upgrading to BPM 3.5. See the upgrade documentation provided with the previous versions of the BPM for details on how to perform those upgrades. Log off all clients and confirm all clients remain logged off during the upgrade of the Database and ECM / BPM Servers. The Agilent OpenLAB ECM 3.5 Upgrade Guide provides instructions on preparations for the client computers. See Section 3 of that guide. 4 BPM Upgrade Guide

Preparing for the Upgrade 1 Preparing Server Computers The procedures in this section are to be performed by the database administrator. Make sure all ECM server software and database schema are running version 3.5 prior to carrying out the upgrade from BPM 3.4.1 to BPM 3.5. To prepare an ECM / BPM server for the software upgrade, perform the steps described below. 1 Quiet the system. 2 Verify all BPM tasks have completed. 3 Stop the BPM Engine service. 4 Take the system offline. 1 Quiet the system All users must log off the ECM / BPM system. This includes stopping any Scheduler Agents and ECM Print services. 2 Verify all BPM tasks have completed Use the following procedure to verify all BPM tasks have completed. To stop BPM tasks 1 Log onto the ECM program as a BPM administrator. 2 On the Administration tab, click Global Administration. 3 In the view pane, double- click the BPM Status icon. If any tasks are running, they will display on the Processes tab. Take appropriate action to complete tasks before proceeding with the upgrade. The BPM Troubleshooter can be used to stop current processes. This is available in the Business Process Management node shown in the Content tab of the left navigation pane. BPM Upgrade Guide 5

1 Preparing for the Upgrade 3 Stop the BPM Engine service After all BPM tasks have completed, use the following procedure to stop the BPM Engine service on an ECM Web or all- in- one server. To stop the BPM Engine service 1 Click Start, point to Settings, and then click Control Panel. Double- click Administrative Tools, and then double- click Services. 2 Right- click, ECM BPM Service, and then click Stop. NOTE Carry out this step on all ECM servers running the BPM Engine software. 4 Take the system offline Use the following procedure to verify all files have successfully processed and take the ECM system offline. To take the system offline 1 On the Administration tab, click Global Administration. 2 In the view pane, double- click the System Status icon. 3 Click File Processing Status. The file Transport to Storage Location and File Filtering queues must show 0 pending and 0 failed. The File Transport to Cache queue must be empty. If there are files in any of the queues, the software cannot be upgraded. You must resolve the situation before proceeding. 4 Click Take System Offline. 6 BPM Upgrade Guide

2 Upgrading Database Schema Before You Start Before you start the BPM upgrade, follow the instructions for upgrading the ECM server from 3.4.1 to OpenLAB ECM 3.5. See the document entitled ECM 3.5 Upgrade Guide from the OpenLAB ECM 3.5 Server documentation. Within that procedure, the ECM database will be restored into a new SQL Server or Oracle database installation. The procedure in this chapter for upgrading the BPM tables in that database is to be run after the ECM database itself has been restored in accordance with the procedures shown in the ECM 3.5 Upgrade Guide. 8 BPM Upgrade Guide

Upgrading Database Schema 2 Upgrading Microsoft SQL Server Read this section if your database server is running Microsoft SQL Server. To prepare Microsoft SQL Server, do the following: Make a backup copy of your database Upgrade the schema Make a backup copy of your database Follow the instructions for upgrading the ECM server from 3.4.1 to OpenLAB ECM 3.5. See the document entitled ECM 3.5 Upgrade Guide from the OpenLAB ECM 3.5 Server documentation. Upgrade the Database 1 Start the SQL Server Management Studio program and connect as the system administrator. 2 On the toolbar, select the ECM database. 3 On the File menu, click Open, and then select the BPMUpdate341 35.sql script in the DBBuild folder on the BPM CD- ROM. 4 On the Query menu, click Execute. The script is executed and the BPM database schema is upgraded. 5 Close the script. Do not save changes to the script. NOTE BPM Upgrade Guide This script will delete all existing engine and server URL entries from the database. You will need to reconfigure the BPM engines from the ECM BPM Client later. 9

2 Upgrading Database Schema Upgrading Oracle Databases Read this section if your database server is running the Oracle Database application. To prepare Oracle Database, do the following: · Make a backup copy of your database · Upgrade the schema Make a backup copy of your database Before upgrading the BPM schema in your ECM database, use the tools included with your database application to make a backup copy of your ECM / BPM database. Follow the instructions for upgrading the ECM server from 3.4.1 to OpenLAB ECM 3.5. See the document entitled ECM 35 Upgrade Guide from the OpenLAB ECM 3.5 Server documentation. Upgrade the schema 1 Start Oracle SQL*Plus and connect to your Oracle Database instance as the ECM schema user name. 2 In the DBBuild directory on the BPM CD- ROM, run the BPMUpdate341 35.sql script. To break out of the script at any time, press CTRL C. 3 Verify you are logged on as the ECM schema user, and then press ENTER. 4 At Enter the full path and filename of the log file, type the path of the directory for the log file and a name for the log file, and then press ENTER. Confirm your entries at the prompt and press ENTER to continue. The BPM database schema in the ECM database will be upgraded. 10 BPM Upgrade Guide

3 Upgrading Software Install BPM Software Use the Agilent Business Process Manager 3.5 Installation Guide and complete the instructions for installing and configuring a BPM Server. Do NOT repeat the instructions for setting up a Database Server. Be careful with the configuration settings in the installation procedure for BPM to account for any changes to server names, user accounts, or passwords that are changing during the upgrade. Verify that all client machines have been upgraded and connected successfully to the ECM Server machine using the instructions in the ECM 3.5 Upgrade Guide. The BPM client side components will be installed automatically the next time a client machine is connected to ECM. 12 BPM Upgrade Guide

Upgrading Software 3 Upgrading Client Computers Before you start the ECM BPM Client upgrade, go to Start Run, and type %APPDATA%/ECM. From the folder that opens, delete the files SSIDesktopLogin.dat and SSILoginDefaults.dat, if they exist. CAUTION If these files are not deleted then BPMDesigner plugin will not open. For clients with ECM BPM Client 3.4.1 or its updates installed, on connecting to ECM BPM Server 3.5, the Client software will be automatically upgraded to version 3.5. On connecting to ECM BPM Server 3.5 from clients having ECM BPM Visio Plugin 3.4.1 installed, For clients having Visio 2007, the Plugin software will not be upgraded automatically. Visio 2007 is not supported by BPM 3.5. Therefore, Plugin users must first uninstall Visio 2007 and install Visio 2010 or Visio 2013. You will see the following message if you try to upgrade the plugin. Figure 1 Message displayed when Visio 2010 or 2013 is not installed For clients with Visio 2010, the Plugin software will prompt you to upgrade to version 3.5. On selecting OK, the BPM plugin will be upgraded to the newer version. BPM Upgrade Guide 13

3 Upgrading Software Once the BPM Client is set up, refer to the Agilent Business Process Manager 3.5 Installation Guide, in the “Setting up BPM” chapter in the “Set up the BPM server URL and user name” section to configure the BPM engines. 14 BPM Upgrade Guide

Upgrading Software 3 BPM Template Workflow Migration Existing 3.4.1 BPM workflow templates that were registered prior to upgrade must be opened in designer and re- submitted before running. NOTE When re-submitting, do not select the Submit All Files to Single Process option. BPM Template checker tool It is recommended that designers of BPM workflow templates open the templates using the upgraded software, run the Template Checker and rectify any faults reported by the tool, before running them with the upgraded software. For further details on how to use the BPM Template Checker please refer to the Online Help. BPM Upgrade Guide 15

3 Upgrading Software Visio 2013 Migration BPM version 3.5 supports Microsoft Visio 2010 and Visio 2013. Refer to this section if you will be using the BPM Visio Plugin with Microsoft Visio 2013. Opening and submitting .vdx templates in Visio 2013 Visio 2013 no longer supports .vdx file format. To convert .vdx templates to .vsdx format, 1 If you are using Visio 2013 on the BPM Client, open a .vdx BPM template that was registered prior to upgrade. It will open in read- only mode (Figure 2). Upgrading Software 3 2 Click the Submit button. The ECM Desktop Save dialog box appears. Figure 3 ECM Desktop Save dialog box 3 In the Save dialog box, click Save to save it as a .vsdx. The original .vdx template file will be converted to .vsdx format and saved as a new file in ECM with .vsdx file extension. It will not be saved as a new revision of the original .vdx template file. If a .vdx template migrated to .vsdx was applied on any L\C\D\Fs, in order for the migrated .vsdx template to be applied, those L\C\D\F’s properties can also be updated. You can choose to do this automatically while migrating the .vdx template itself. Because the template is applied on a folder in ECM, you will see the following message. (If a vdx contains more than 5 embedded workflows, the following message box will not list file paths.) BPM Upgrade Guide 17

3 Upgrading Software Figure 4 Template Migration dialog box To update the ECM folder properties to apply the migrated .vsdx template, perform the following steps. 4 Click Yes to automatically update the ECM L\C\D\F(s) Properties and apply the migrated .vsdx. A message appears to indicate success. 5 Open the Properties dialog in ECM Explorer again (step 2), and you will see the full path to the .vsdx template. 6 If you prefer to do this step manually, in the Template Migration dialog box, click No. In that case, the .vdx template will still be migrated to a .vsdx template, but the template applied on L\C\D\Fs will not be updated. Checking ECM folder properties applied to the migrated .vsdx template To check if a .vdx template was applied on an L\C\D\F, 1 In ECM Explorer, right click on the L\C\D\F. 2 In the context menu that is displayed, select Properties and go to the BPM tab. The .vdx template (for example, drawing1.vdx) would show as applied. 18 BPM Upgrade Guide

Upgrading Software Figure 5 3 Folder properties showing .vdx template Updating embedded workflows in .vsdx templates This section is applicable if a .vdx template that is being migrated to .vsdx a Contains one or more embedded workflow shapes that refer to other .vdx templates, and b The .vdx embedded workflows have been migrated to .vsdx. c The migrated .vsdx embedded workflows are saved at the same L\C\ D\F location and with the same file name as before migration. For the migrated .vsdx embedded workflows to be executed instead of the original .vdx embedded workflows, the embedded workflow shapes must also be updated. BPM Upgrade Guide 19

3 Upgrading Software You can choose to do this automatically while migrating the .vdx template containing the embedded workflow shapes itself. Figure 6 Updating embedded workflow To update an embedded workflow, 1 Open the .vdx template file by double clicking on the file in ECM Explorer and Submit the template to save it as a .vsdx file (see “Opening and submitting .vdx templates in Visio 2013” on page 16). Because the template file contains .vdx embedded workflows, you will see the following message. 20 BPM Upgrade Guide

Upgrading Software Figure 7 CAUTION 3 Embedded Workflow Migration dialog box Before choosing Yes, confirm that the .vsdx files of the same name present at the same L\C\D\F paths are actually .vsdx migrated embedded workflows. If you choose Yes, but there are no .vsdx files of the same filename at the same L\C\D\ F path, the embedded workflow shape will not be updated to refer a .vsdx template. Choose No if the embedded workflow templates have been verified and submitted to the upgraded BPM Server using BPM Visio Plugin with Visio 2010 and not Visio 2013. It is not mandatory to migrate them to .vsdx and subsequently update the references to them from embedded workflow shapes in templates that contain them. 2 To verify that the embedded workflows were updated, open the .vsdx migrated template file containing the embedded workflows and double click on the embedded workflow shapes. 3 Upgrading Software Figure 8 Verifying embedded workflows If you prefer to update the embedded workflow shapes manually, in the Embedded Workflow Migration dialog box (Figure 7), click No. In that case, the .vdx template will still be migrated to a .vsdx template, without updates to the embedded workflow shapes. Special procedure for German Visio 2013 If you are using the German version of Visio 2013, you must perform the following steps to avoid errors in configuring shapes. 1 Copy the Business Process Managment.vss file from C:\Program Files (x86)\Agilent Technologies\ECM BPM to C:\Program Files (x86)\Microsoft Office\Office12\1031. 2 Start Visio 2013. 3 Click File Advanced File Locations and add the following folder in the Add- ons field: C:\Program Files (x86)\Agilent Technologies\ ECM BPM. (Or, browse to the folder and then select it.) 22 BPM Upgrade Guide
