How you caninfluencecommitteemeetingsPaul Worster, recently elected onto the board of FEGGA, takes a look at Golf ClubCommittee Meetings and states how, by helping to steer them, the Greenkeeper canbecome more central to the needs of the golf club business in today’s difficult timesRecently, I’ve heard of manygreenkeepers coming under severepressure or even being maderedundant, but I want to see thegreenkeeper increasingly becomingregarded as the most important figurein the club structure; the person towho the club look to for leadership,especially in difficult times.I’m aware of what can sometimes gowrong in Committee and Board Meetingsand I’d like to look at how the Greenkeeper/Manager can not only avoid the pitfalls, butstart to take charge.Last year, I attended an evening torecognise the environmental successachieved by a famous club in the Southof the UK. About 40 delegates enjoyedseveral presentations charting the progressof various environmental initiatives anddiscussed the issues encountered along theway.However, during the Q&As a visitingSecretary stood up. “This is all fine andgood” he said, “but it’s only working wellhere because this club wants it to work. Atmy club, I’ve spent six months working withmy Course Manager, Catering Manager andPro to form an Environmental Policy for ourclub.We dealt with everything; wildflowersand composting, re-use of waste cookingoil, disposal of cardboard and stationery,energy, lights - the whole lot. I presented itto the Committee, who gave it a quick twominute reading and then threw it out withthe comment “the ruddy staff are starting torun this place”.Another Secretary added: “That’s becausesome clubs are still not being run as properbusinesses.He added: “At my Board meeting lastweek we had a twenty-five minute debate onthe appropriate length of socks to be wornon the course this summer. Long socks,short socks, football socks, nylon socks, redsocks, white socks – the list was endless – Itried to minute it, but we didn’t reach anyfirm conclusions.“The next item on the agenda was thepurchase of a 26,000 tractor, and thatwent through in less than a minute”.Now this all set me wondering myexperiences as a volunteer director taughtme that meetings don’t just happen. TheChairman and Managers’ inputs into theagenda are vital, and the agenda is the mostimportant document.Preparation is everything and disputesand discussions around anything remotelysensitive or controversial need to have beenresolved well in advance. In other words,individual members of the committee oftenneed to have been won over sensitivelyoutside of the meeting by lobbying anddiscussion.Let’s take another lookat those two examples.It’s not realistic to expect afar-reaching EnvironmentalPolicy be accepted andembraced by volunteercommittee members ‘on thehoof’. This laudable policymaking should, right at theoutset, have involved theinput of the Chairman of theCommittee.He must run it by everysingle member of hiscommittee in advance of the meeting andiron out any sticking points or concerns. Itshould not have been included as an agendaitem even for discussion, never mind a vote,until the Chairman was assured of thesupport of the meeting.Likewise the socks issue is not anappropriate matter for a Board of Directorsto waste valuable time debating at lengthduring a formal meeting. The Chairmanshould have asked for notification on anyissues which may require attention at leasta month in advance.When the dress code issue was flagged up,he would have had time to refer it straight tothe General Manager, who would then beable to confer with a couple of other localclubs and source an appropriate existingpolicy. The easily reworded document is thencirculated well in advance of the meetingfor comment. Come the actual meeting, anew policy for the club, previously agreedand proven to have worked in a similarbackground, can be formally signed offwithout any undue delay.Relieved of lengthy discussions over trivia,the Board then has the sufficient time andenergy to properly consider the importanttractor purchase. To summarise - the inputof General Manager and Greenkeeper/Course Manager into the meeting agendais vital.“A secretary told me of a boardmeeting which featured a 25minute debate on the length ofsocks to be worn on the course.The next item on the agendawas the purchase of a 26,000tractor, and that went throughin less than a minute”Setting a suitable well-researched agendawith well-presented supporting informationis critical to the smooth running and positiveoutcome of any Committee Meeting.Discuss and resolve any remotelycontroversial matters with all committeemembers prior to the meeting to ensurethere are no lengthy debates or nastysurprises.We, the greenkeepers, need to identify ourprofessional objectives for the meeting andwork to achieve them.
