HIRING MATRIX (Ranking of Qualified Applicants)(HR; revised 11/8/11)Job Vacancy Notice # (required) :Position Title & Department (required) :IMPORTANT: The purpose of the Hiring Matrix is to show how applicants were ranked and to support who was interviewed and eventually selected. The completed HiringMatrix must be submitted to the Employment Office at the end of the process when a selection is made. It is the responsibility of the hiring supervisor to reviewemployment applications and consider, interview, and select only qualified applicants. Qualified applicants are those who meet all required qualifications as advertised onthe Job Vacancy Notice (JVN) and who have a complete employment application with all the required documents as requested on the JVN.RESOURCES FOR HIRING SUPERVISORS: Resource materials, including the Hiring Supervisor Workbook: A Guide to Advertising & Hiring Non‐Faculty Vacancies , are availableon the HR Employment webpage under “Resources for Hiring Supervisors.” Additionally, the System online training course called “Effective Hiring Practices” is available onTrainTraq via Single Sign On.HIRING MATRIX INSTRUCTIONS:Step 1: In the green boxes below, consider and list the job‐related factors (required qualifications) and any important preferred qualifications as advertised on the JVN.Step 2: In the blue boxes below, enter the full names of all the applicants you received via TAMIUWorks. Give each applicant a score for each job‐related factor. You mayuse a scoring system such as: 3‐Far Exceeds Job Factor 2‐Exceeds Job Factor 1‐Meets Minimum Job Factor 0‐Does Not Meet Job Factor. If the applicant does not meetall of the minimum required qualfications, enter NQ under "Application Score" and do not consider them further (NQ will stand for Not Qualified). Total the ApplicationScore and conduct interviews with the highest scoring qualified applicants.Step 3: After the interviews, enter the Interview Scores below where indicated.Step 4: Conduct reference checks for the interviewed finalist(s) or at least for the final applicant (the applicant you select). After the reference checks, enter the ReferenceCheck Scores below where indicated.Step 5: Calculate the Overall Scores for the applicants.Step 6: When a selection is made, submit to the Employment Office this completed Hiring Matrix, preferably scanned and emailed to employment@tamiu.edu.
