II. CFI award structure The Canada Foundation for Innovation (CFI) funds acquisition of infrastructure, not research CFI awards are held by the institution Vice President (Research and Innovation) is the project holder PI is the Project Leader (PL)

II. CFI award structure CFI: up to 40% of total project cost (TPC) Alberta Economic Development, Trade & Tourism (EDTT): Small Equipment Grant (SEG) will match the JELF award PL is responsible for covering the remaining 20% 20% 40% 40% CFI (Max) Alberta EDTT (Max) Other (i.e., in-kind, UofA)

Setting up your projects A Contracts Specialist (CS) is assigned to your project The CS will assist with budget and proposal development during the application stage If your CFI and EDTT applications are successful, RSO will assist with: Award finalization Project activation & setup Purchasing & financial/progress reporting CFI/EDTT amendments (as needed) Project closure

Pre-proposal: useful information from the RTA Your Request-to-Apply (RTA) had most of the basic information that will form your JELF application: Applicant(s) Summary of research project (including discussion of similar research programs) Budget (cannot be used as application budget) Infrastructure justification (including discussion of existing research capacity)

Budget development Information in the proposal flows logically from the budget Quotes should be obtained for each equipment item A new Excel spreadsheet will be used to develop the budget – once developed, the info will be used to complete the Cost of Individual Items table (Finance module) on CAMS Theme-related equipment will be grouped together in the budget as suites/systems

Renovations: Required Documentation to F&O Space allocation letter signed from Faculty & Department stating the building name and room numbers allocated for the purposes of your CFI Sketch – even just a hand sketch to outline proposed locations Equipment Data Sheets (EDS) completed & attached manuals, with relevant sections highlighted. V. Renovations: Equipment Data Sheets & Manuals Refer to samples shown Each individual item requires a data sheet Manuals attached to data sheets highlighted to show reference info; this assists also if questions arise. TIP: Request manuals at first contact with vendor, request along with quotes.

V. Renovations: Space Management Space Management assesses, plans and allocates space for University of Alberta facilities. Each faculty and department has an assigned Space Planner. We work closely with the space contact in each area to ensure university space is assigned fairly and effectively. Space is a university asset. Under the stewardship of the VicePresident (Facilities & Operations), space is managed centrally through Space Management. We allocate space to faculties and departments to meet their supported needs. Large-scale space initiatives need to follow a governance process and need approval from the Facilities Development Committee, which is a sub-committee of the General Faculties Council.

V. Renovations: Engineering & Technical Services Engineering and Technical Services provides technical design support for capital and renewal projects at the University of Alberta. We set design and construction standards on campus, and make sure each capital and renewal project meets regulatory requirements, meets safety codes, operates efficiently and meets stakeholder needs. F&O will look to allow for minimum equipment requirements that align with the above.

Research or Technology Development What is the research project? Why is it important? What problems will you be able to solve that previous investigators haven’t been able to? How does the research align with an area(s) of institutional strategic priority? Consult the UofA Strategic Research Plan for CFI/CRC/CERC Describe innovativeness and feasibility Position the research within the international context

Research or Technology Development – helpful tips JELF funds infrastructure, but research is the priority The infrastructure requested should logically facilitate the research CFI reviewers must be convinced that the research is feasible: Timeline, scope, expertise CFI reviewers must be convinced that the research is innovative: Presents a new way of doing things

Research or Technology Development – helpful tips International context: CFI wants to know that you are aware of similar research around the world How does your research compare/contrast to similar research? References: CFI has no set format for citations or bibliography Info related to your research (preliminary or published) or others’ research should be acknowledged Text should stand on its own – CFI reviewers are not obligated to look up references or click on URLs

Researchers Why is this the best team to be doing this research with the requested infrastructure? Up to three candidates (PL and 2 co-PI’s) can be listed Discuss each candidate’s track record – scientific and technical expertise Collaborators’ and partners’ contributions essential to the success of the research

Researchers – helpful tips The CFI expects that each member of the research team has the expertise and experience to: 1. Lead and carry out the research 2. Operate and train others on the infrastructure Explain how each researcher will use the infrastructure May work collaboratively on all requested infrastructure May work independently on infrastructure items* *there must be a logical theme that ties the projects together

Researchers – helpful tips Collaborators & partners: Who? Where? What is the nature of the collaboration? Should be established collaborations How will the applicant(s) benefit from the collaboration? Collaborations/partnerships can mitigate lack of expertise with research methods or requested infrastructure

Infrastructure What is it? What does it do? Why do you need it? Describe each item (not just suites/systems – every item) and justify its need for the research Include item number, quantity, cost, and location Justify why existing infrastructure/equipment can’t be used

Example: Infrastructure – helpful tips Item #2: Microscopes (Location: 8-72 Medical Sciences Bldg.); 22,205 (including inkind) Brief discussion of the infrastructure in this line: what is its purpose in the context of the research. The stereomicroscope ( 12,570) will be used for The light microscope ( 9,636) will be used for Justify why the equipment requested is needed for the proposed research Avoid listing brand/make/model

Infrastructure – helpful tips Infrastructure costs must be reasonable The CFI may reduce funding if a reviewer thinks costs in the budget are too high Convince the CFI reviewers that you require dedicated equipment Why do you need your own if similar/same equipment exists on campus, locally, or regionally? E.g., already in heavy use, inappropriate specs, deployed in field, integration into existing equipment, etc.

Institutional Commitment and Sustainability How do you plan to keep the CFI-funded infrastructure operable, maintained, and used to full capacity for its useful life? Infrastructure management plan – optimal use and operation and maintenance (O&M) of the infrastructure Costs related to O&M and revenue sources Should be consistent with O&M budget on CAMS Institutional commitment to the research/project

Institutional Commitment and Sustainability Infrastructure management plan: How will research data be managed? Will other users be permitted to access the infrastructure? Will users require training for using the infrastructure? Will users be required to pay fees? What will be the user fee structure?

Institutional Commitment and Sustainability Things to consider when thinking about O&M costs: Who will be responsible for O&M of the infrastructure? Extended warranties – new or adding years? Unanticipated maintenance/repairs? Supplies/consumables? *Not for research* Installation in core facility? How to ensure full usage of infrastructure? Useful life of infrastructure – how to support beyond 5 years? For more information, consult the CFI O&M budget reference guide (in your shared Google Drive folder)

Institutional Commitment and Sustainability Infrastructure Operating Funds (IOF) At UofA, individual CFI projects may apply for an IOF allocation up to 25% of their CFI award amount IOF can be used to cover O&M costs – see CFI Policy and program guide (Section 4.7) for eligible costs IOF may not be enough to cover all O&M costs – other source(s) of revenue will be needed (operating funds, user fees, etc.)

Benefits to Canadians Who are the end users, and how do they benefit from the research being done with the requested infrastructure? Socioeconomic benefits of the research How do highly qualified personnel (HQP) benefit? Discuss plans for knowledge mobilization and/or technology transfer

Benefits to Canadians Identify as many end users as possible, and discuss the benefits for each, for example: Academic researchers Clinicians Industry Government/policy-makers General public HQP

Benefits to Canadians A clearly outlined plan for training HQP is important HQP technicians, research associates, undergraduate students, graduate students, post-docs How will HQP be involved in enabling/executing the research plan? How many HQP will benefit from access to the requested infrastructure? What kinds of careers will HQP be trained for? How will access to infrastructure benefit their training for these careers?

If your proposals are successful: Public disclosure of CFI and EDTT funding: o The CFI, Government of Canada, and Alberta EDTT will make public funding announcements. o Please ensure that results of the JELF and EDTT-SEG competitions are kept confidential until the results have been publicly announced. CFI and EDTT policies require that you: o Acknowledge support of the CFI and Government of Alberta in publications, presentations, and other communications material. o Submit progress reports summarizing the research outcomes resulting from their investments.
