Let us know ifyou’re interested in this.ideasThere are endless creative ideas for how you can support Palmetto Health through the Foundation.Here are some tried and true partner events that may spark an idea for your event—office jeans day restaurant percent day/night garage sale school fundraiser toy drive withmonetary donation sports tournament ticketed luncheon church fundraising retail promotions bake salesIt is strongly recommended that community partners refrain from dividing proceeds betweenPalmetto Health Foundation and another charitable organization.timingYour partner event idea and proposed day/time should be sent to Palmetto Health Foundation forapproval 90 days prior to your proposed event date.Once you submit the completed application (enclosed), your proposal will be reviewed, andsomeone from Palmetto Health Foundation will be in touch with you within 10 business days.Partner events must meet the approval of a Palmetto Health Foundation board.Because Palmetto Health Foundation manages many signature fundraising events, you may beasked to move your proposed partner event date to another time in order to avoid a conflict ofinterest.Palmetto Health Foundation reserves the right to not accept your community partner eventproposal.

keys tosuccessThe following information is provided so there are no misunderstandings ordisappointments regarding Palmetto Health Foundation’s support of your event. Yourpartner event should align with the following guidelines. It is South Carolina state law, section 35-56-120, that community events benefiting a charityhave express permission from the charity in order to be legal. Fines may be imposed on groups/individuals who conduct such activities without permission. A partner event should complement the mission and brand of Palmetto Health Foundation andPalmetto Health. Your partnering with specific companies or individuals may pose a conflict ofinterest; therefore, the Foundation must approve all potential sponsors in advance of your makingcontact for sponsorship requests. The Foundation must also approve your intentions to partnerwith celebrities, media personalities or athletes before you make contact. The partner event organizer must obtain any necessary permits, licenses or insurance. If youwish to serve alcohol at your event, you are responsible for hiring a licensed service and securing apermit. Palmetto Health Foundation asks for projected, acceptable proceeds in order to uphold ourmission and reputation. The Foundation reserves the right to require a minimum guaranteeddonation. The Council of Better Business Bureau states, “Reasonable use of funds require that at least60% of the total income from all sources be spent on programs and activities directly related to theorganization’s purpose.” The Foundation will not approve an event in which costs are expected toexceed 40% of the total revenue generated. All printed and promotional materials as well as social media and website messages shouldbe approved by Palmetto Health Foundation prior to use/distribution/posting. This includesphotographs of any kind or nature. All promotional material should clearly state the PalmettoHealth area proceeds will benefit (by name or approved use of logo). Once your partner event isapproved, a toolkit with approved logo files, usage guidelines, copy points and media templates will besent to you. Members of Palmetto Health and Palmetto Health Foundation Boards will not solicit for ticketsales, event sponsorships or in-kind donations for a community partner. Palmetto Health Foundation will not share donor information with community partners. Typically, a Palmetto Health Foundation representative will attend partner events; however,there may be times when no one is available due to scheduling conflicts. Net proceeds must be submitted to Palmetto Health Foundation within 30 days after the eventdate. Events must comply with all federal, state and local laws governing charitable fundraising, giftreporting and special events. The IRS requires that all tickets, invitations or entry forms state whichportion of the contribution is tax-deductible. All event expenses are the responsibility of the community event organizer. If event expensesare greater than the total collected, the individual or group holding the event is responsible for theadditional expenses.

eventsupportOnce your event is approved, here is how Palmetto Health Foundation will provide support—You will receive a helpful toolkit with approved logo files, usage guidelines, copy points and mediatemplatesCross-promote your event—(typically within three weeks of your event date) mention on partner events page of PalmettoHealthFoundation.org share your pre-approved social media messages on the Foundation’s social channels share event information with Palmetto Health Foundation, Children’s Hospital or Cancer CentersBoard members when appropriateCoordinate a check presentation at Palmetto Health Foundation, 1600 Marion Street, Columbia, oranother pre-approved locationProvide a Foundation representative to attend the event (if possible). Admission will becomplimentary for the Foundation representative/s.Palmetto Health Foundation WILL NOT— mediapolicyProvide reimbursement for event expensesSecure an event sponsorship from Palmetto HealthProvide contact information or mailing lists for sponsors, vendors, donors or supportersSell tickets to your eventProvide the Foundation’s sales tax exemption numberSolicit for sponsorships, cash or in-kind donationsProvide giveaways or door prizesSign vendor contractsProvide volunteers to be at your eventProvide images of patients or familiesProvide event insurance coverageProcess event reservations or ticket salesProvide letterhead/envelopesProvide media contact informationProvide patients or families to be present at or speak at your eventCoordinate media interviews or provide patients/families/staff for media interviewsProvide celebrities or notable athletes for your eventCoordinate paid or in-kind publicity (newspaper, radio, television, etc.)Guarantee attendance of Foundation or Palmetto Health staff at your eventMedia requests may not be made by community partners or donors for events/check presentations/donations to take place on any Palmetto Health campus.Please refrain from contacting anyone in the media about the partner event until it is officiallyapproved and your media relations plan is submitted to Palmetto Health Foundation. Media requestsmay be made by a community partner only if the event or check presentation is held at the partner’splace of business or at a public location outside of a Palmetto Health property. Pre-approval of day/time and location must be provided by Palmetto Health Foundation before any media outreach.
