Formats in therecords include manuscripts, financial ledgers, printed publications, sound recordings, oral histories, photographs,scrapbooks, microfilm, realia, born-digital files, musical scores, and artwork. The collection also contains records ofselect current and former regional chapters, including the Atlantic, Greater New York, Mountain-Plains, and NewEngland Chapters. NOTESRecord Group Inclusive Dates: 1932 – 2016 [ongoing]Record Group Extent: 54.80 linear feet [ongoing]Record Group DescriptionRecord Group VI documents the history of Notes as a musicological, artistic, and business enterprise that was andcontinues to be central to the identity of the Music Library Association. After more than 80 years of publication,the journal has had only 16 editors. MLA first published Notes in 1934 for its members. The first series ran from1934–1942. The second series began in 1943 and continues as a quarterly, peer-reviewed journal to this day. Thefirst issue of July 1934 describes Notes as “a magazine . . . of assistance and value to music librarians, and by sodoing to help them solve their problems and to serve more ably and readily the growing number of readers whocome to music libraries for information and relaxation.” The scope of the journal has evolved since 1934 to servean international readership with “interesting, informative, and well-written articles in the areas of musiclibrarianship, music bibliography and discography, the music trade, and on certain aspects of music history.” 1 Theseven series include Correspondence and Subject Files; Editorial Staff Records; Drafts and Proofs; FinalPublications; Business Office; Advertising Manager; and Ephemera, Realia, and Publicity Materials. Wertheimer, MLA Archivist, 2018Historical NotesThe first series of Notes, 15 issues, was a joint printing effort among MLA member libraries. Notes wasmimeographed by Sibley Music Library at the Eastman School of Music, Grosvenor Library, Vassar College MusicLibrary, New York Public Library, Newberry Library, Boston Public Library, and Columbia University Libraries. Thethird issue of Notes was the first to include contributed articles written by members; May de Forest Payne andAlbert Riemenschneider both submitted articles about the music of J.S. Bach.As the contents and responsibilities of Notes grew, editorship was not possible as a solitary effort. Editor CharlesWarren Fox worked with two editorial boards during his tenure from 1941 – 1942. The 1941 Editorial Boardincluded Margaret M. Mott, Associate Editor; Louise Chapman; and Glen Haydon. Mott and Chapman remained onthe 1942 Editorial Board and Richard S. Hill replaced Glen Haydon.Richard S. Hill became the third editor of Notes with his launch of the second series in November 1943. He was thelongest serving editor of the journal (1943 – 1960) and even paid for its publication from his personal funds whenMLA experienced financial hardship. In his will, he left funds to MLA to cover lingering Notes expenses. In anEditor’s Note to his first issue, Hill describes what makes the second series different from the first, from theprinting format to the inclusion of paid advertisements.Richard Hill’s undertaking required a staff of assistants like his predecessor Charles Warren Fox. Hill worked closelywith William Lichtenwanger, E. Lee Fairley, and Frank C. Campbell. Under Editor Hill, Notes had two tiers ofsubscribers, MLA members and non-MLA members, as a way to boost income. From 1947 – 1964, Notes alsopublished the Supplement for Members as part of an aggressive campaign to increase circulation and combat risingprinting costs. The Supplement for Members included material about MLA chapters, meeting minutes, andmember lists. The year 1947 also began the era of Kurtz Myers writing and editing the Index of Record Reviews andLee Fairley editing the “Publications Received” section.Richard Hill was an early connection between MLA and International Association of Music Libraries (IAML). Hill waspresident of IAML from 1951 – 1955, and included reports of IAML meetings in Notes. After re- appraisal in 2015, this series was omitted and therecords were arranged with the creators (i.e., Treasurer, Secretary-Treasurer, etc.). Series 2: Financial Records wasreplaced with Series 2: Editorial Staff Records in 2017.Series 1: Correspondence and Subject Files contains materials related to Series 2: Editorial Staff Records. Recordsare arranged separately in order to reflect provenance and custodial history. Records in Series 1 were transferredfrom the Library of Congress in 1982; records in Series 2 are submissions from MLA members to the University ofMaryland since 1982. The series are also separate because Series 1 is a closed date range of records and Series 2includes ongoing accessions.ProvenanceRecords in Series 1, 3, 4, 5, and 7 were transferred from the Library of Congress to the University of Maryland in1982.Series 4, Sub-Series 4.1 includes documents transferred from the the Jacob M. Coopersmith Collection, SpecialCollections in Performing Arts, University of Maryland, College Park. Series 4, Sub-Series 4.2 includes a donationfrom Karen R. Little in 1995.Records in Series 2 and 6 contain records transfers from MLA members to the University of Maryland since 1982.Processing and Finding Aid InformationMelissa E. Wertheimer wrote the finding aid and three appendixes for Record Group VI from 2015 – 2018. In 2016she completely processed Series 3: Drafts and Proofs and Series 7: Ephemera, Realia, and Publicity Materials.Records in Series 1, 2, 4 – 7 are minimally processed; original enclosures remain unless severe deterioration ofenclosures or records was determined. Nicole Horstman and Vincent Novara provided the first wave of reappraisalin 2013.4

Theinternational business correspondence includes advertisement orders and artwork, subscription orders andrenewals, publishers’ solicitations for book and music reviews, press releases from publishers, Notes inquiries forpublication review copies, editors’ contribution invitations to individuals, annotated drafts of Notes articles, andreference materials. The files seemed to have served many purposes over time, such as correspondence records,business and financial records, and vertical files for individuals and subjects.The creators of these sets of records were Notes editorial staff. Creators of documents in the sets of recordsinclude MLA members, MLA board members, Notes staff, Notes contributors, music publishers and distributors,book publishers and distributors, record companies, music organizations and journals, non-music publications andorganizations, private foundations, public and academic libraries, universities, museums, and private individuals.Arrangement: Three sub-series: Notes Correspondence and Subject Files, 1943 – 1965; Notes Correspondence andSubject Files, 1944 – 1970; Miscellaneous Notes Files.Arrangement Notes:Sub-Series 1.1 and 1.2 were accessioned as two complete alphabetical sets of records with related content andcreators. The longer date range of Sub-Series 1.2 is the primary distinction between the sets of records.Records of Notes editorial staff after 1970 may be found in Series 2. Records in Series 2 are donations from MLAmembers to the University of Maryland since 1982. Records are arranged separately from Series 1 in order to bestreflect provenance and custodial history.Duplication of original folder headings exists across sub-series accessions. Because the creators inconsistently fileddocuments under both individuals and the individuals’ institutional affiliations, a complete list of cross-referencesacross sub-series may be found in APPENDIX II and APPENDIX III.Languages: English with additional materials in Italian, German, French, Spanish, Russian, and Portuguese.Formats: Manuscripts, printed materials, photographs, negatives.Processing Notes:Galley proofs and annotated or hand-drawn advertisement proofs have been moved to VI.3.1.
