GEnErAL The purpose of theIAHCSMM Exposition is to supplementthe educational meetings by enablingregistrants to see, hear, examine, question, and evaluate the latest developments in medical devices and services.IAHCSMM reserves the right to determinethe eligibility of any exhibit, either beforeor after the proper execution of theexhibit contract. IAHCSMM shall have fulllatitude and discretion in the interpretation and enforcement of all rules andregulations governing exhibitors. All matters not specifically addressed in theseRules and Regulations shall be subject tothe judgment and decision of IAHCSMM.These Rules and Regulations may beamended at any time by IAHCSMM andany such amendment shall become a partof the contract between all exhibitors.2. rAtEs, DEPosits AnD PAYMEntsSpace will be rented at the rate of 2,000per 10’x10’ linear space, with a 500 additional charge for each corner assigned.A minimum 50% deposit of exhibit spacemust accompany the exhibit contractwithin 30 days of contract submission.Space may be held during this initial 30day period, but will not be published orguaranteed until the minimum deposit is received. Applications will not beprocessed nor space assigned withoutthe required minimum deposit. Failure toreceive any balance payment due 30 daysprior to the exposition shall be interpreted that the exhibiting company no longerwishes to keep the reservation space andspace reservation shall be consideredcancelled. Notification must be in writingfor all other cancellations of exhibit space.Exhibitors shall not be entitled to a refundof any part of any fee paid should theexhibitor for any reason be unable to exhibit. Should an exhibitor reduce the sizeof their contracted booth space, a 20%service charge of the original contractprice will be assessed by IAHCSMM, andIAHCSMM has the right to reassign theexhibitor to a different booth space basedon revised size requirements. In the eventthat fire, strike or other circumstancesbeyond the control of show managementcauses the exhibit to be cancelled, a fullrefund of the exhibit rental fees paid willbe made, which is the limit and extent ofIAHCSMM’s liability for such cancellation.3. AssiGnMEnt of booth sPAcEAssignments will be based on booth sizerequirements, number of years company/division has exhibited, partnership andsponsorship agreements, date of receipt,and proximity of competitors. IAHCSMMreserves the right to modify the plan toaccommodate space, sales or change asnecessary to avoid conflict. Failure to occupy space by 8am, April 25, 2016 will result in forfeiture of space, and IAHCSMMmay resell, reassign or use the space forexhibit management without refund.To reserve exhibit space, complete andreturn the exhibit contract (available as aPDF download or through the IAHCSMMonline store). This contract is the onlymethod by which space can be reserved.Visit our website, www.iahcsmm.org forregular floor plan updates and to viewavailable spaces.4. instALLAtion & DisMAntLinG ofExhibits IAHCSMM reserves the right tofix the time for the installation of a boothprior to the show opening and for itsremoval after the conclusion of the show.Under no circumstances is the additionto or removal of any portion of an exhibitpermitted during show hours. All boothsmust remain intact until the close ofthe show. Installation must only occurduring the installation times designatedin this prospectus. All booths must beproperly installed, fully operational andshow-ready no later than 8am on April25, 2016. Dismantling may not begin untilafter 12pm on April 26, 2016 and must becompleted by 12am on April 26, 2016. Early dismantle and/ or removal of an exhibitmay result in the loss of exhibit privilegesfor future shows. If the official exhibit hallschedule changes, all exhibitors will benotified in writing.5. contrActor sErvicEs GES is theofficial contractor to provide all servicesin the exhibit area. Complete information, instructions and schedule of pricesregarding shipping, drayage, labor forinstallation and dismantling, electricalservice, furniture, etc. will be included inthe Exhibitor Service Kit, to be forwardedfrom GES in February 2016. An exhibitor’s service center will be maintainedduring applicable hours to facilitateservices requested for additional needsof exhibitors. Under no circumstances willIAHCSMM or the Henry B. Gonzalez Convention Center assume responsibilities forloss or damage to goods consigned tothe official contractor. Advance shipmentsof exhibit materials must be made to GESas specified in the Exhibitor Service Kit.Should any shipments not be made asspecified in the manual, it will be removedby GES and stored until the hall is readyto accept materials for the exhibition,and all costs involved will be charged tothe exhibiting company. Exhibitors areresponsible for all information provided inthe Exhibitor Service Kit.6. ArrAnGEMEnt of Exhibits Anyportion of an exhibit that obstructsthe view, interferes with the privileges of other exhibitors, extends beyondthe designated booth space or for anyreason becomes objectionable, must beimmediately modified or removed by theexhibitor. The regulations listed herein arenot intended to unduly restrict exhibitsas to either design or utility. The spirit inwhich the rules are presented is to createand maintain an open atmosphere onthe exhibit floor. In designing exhibits,traffic flow, good judgment and consideration for neighboring exhibitors andattendees should be primary objectives.IAHCSMM provides four different exhibitoptions. INLINE BOOTHS: arranged sothat only oneside is exposed to an aisleand are generally arranged in a seriesalong a straight line. Any hanging signage willbe hung at 20 feet from the floor to thetop of the sign.7. subLEAsinG of sPAcE Exhibitorsmay not assign, sublet or apportion toothers the whole or any part of the spaceallocated, and may not display goods orservices other than those manufacturedor regularly distributed by the contractedexhibitor. No sign or courtesy card is tobe displayed for any equipment or product for demonstration purposes unlessthe supplier of such equipment is also acontracted exhibitor.8. conDuct All exhibits will be to servethe interest of IAHCSMM conferenceattendees and will be operated in a waythat will not detract from other exhibits.All business activities, circulars, andadvertising matter of the exhibitors mayonly be conducted and/or distributedwithin the booth assigned to the exhibitor. Such materials may not be distributedin other areas of the meeting facilities.Side show tactics considered to be objectionable and not in the best interest ofIAHCSMM and its purpose of educationwill be expressly prohibited. X-ray andlaser equipment may be shown but notoperated. All mechanical apparatus mustbe muffled so as not to interfere with,or be objectionable to other exhibitorsor attendees. 9. AssociAtion nAME AnD LoGousAGE The IAHCSMM name and logoare the exclusive, trademarked propertyof IAHCSMM. The IAHCSMM logo maynot be used in any way (i.e. promotional literature, giveaways, etc.), withoutspecific written approval from IAHCSMM.Exhibiting companies may use the“IAHCSMM Annual Conference and Expo”name and its designated logo on promotional items for the current conferenceonly. The exhibitor is granted no rightsto use other names, slogans, servicemarks, trademarks, trade names or logosof IAHCSMM, unless with the expressedwritten permission of IAHCSMM.10. Exhibitor sPonsorED EvEntsNo exhibitor sponsored event, meeting,session, seminar, reception, focus groupor similar function to which conferenceattendees are invited may be held duringofficial IAHCSMM Conference events orexposition. IAHCSMM reserves the rightto determine whether such a conflictexists and request a modification. Pleasereference the IAHCSMM website for aschedule of events, or contact the exhibits department prior to scheduling anexhibitor sponsored event.11. Exhibitor’s PErsonnEL All exhibitors should register their personnel inadvance on forms provided (generallyprovided within exhibitor confirmationmaterials and online). The exhibitor shallkeep an attendant in the booth during allexhibit hours, and exhibit space shouldbe staffed by company specialists whoare qualified to discuss details of theexhibitor’s products or services. Exhibitors are permitted up to 4 representativesat a time on the exhibit floor, per 10’x10’space rented. Each representative of anexhibiting company must wear the officialname badge while in the exhibit hall(access is strictly prohibited to individuals not wearing a name badge issuedby IAHCSMM). The exhibit is limited toregistered program attendees as well asregistered representatives of businessfirms, manufacturers, professional organizations, and dealers who have contractedor paid for space assignments. No otherpersons or concerns will be permitted todemonstrate their products or distributeany advertising or reference collateralwithin the exhibit or designated conference areas, and no person will be permitted in the exhibit hall for the purposeof soliciting advertising or other exhibitspace without the expressed written consent of IAHCSMM.12. firE AnD sAfEtY The exhibitorassumes all responsibility for compliancewith local, city and state ordinancesand regulations covering fire, safety andhealth. All exhibit equipment and materials must be located within the booth.Only fireproof materials may be used indisplays and the exhibitor must take allnecessary fire precautions. No combustible material may be stored in or aroundexhibit booths. Absolutely no storage isallowed in the electrical alleys locatedbetween the booths.13. LAbor Labor rules and regulationsfor union labor are made by the localunions and may change at any given timeand without notice. Where union labor isrequired because of building or contractor requirements, it will be necessary forthe exhibitor to comply with these regulations. Information regarding specificregulations that are applicable may beobtained from the official contractor.14. LiAbiLitY Doors to the exhibit areawill be locked, immediately after exhibitsclose and during times of non-use, withsecurity present during these times.IAHCSMM makes no warranty, expressedor implied, that security measures willavert or prevent occurrences that mayresult in loss or damage to property. Eachexhibitor must make provisions for thesafe guarding of goods, materials, equipment and display at all times. IAHCSMMwill not be liable for loss or damage tothe property of exhibitors or their representatives from theft, fire, accident orother causes. IAHCSMM will not be liablefor injury to exhibitors or their employees or for damage to property in theircustody, owned or controlled by them,which claims for damages or injury maybe incident to or arise from, or be in anyway connected with their use or occupation of display space, and exhibitors willindemnify and hold harmless against suchclaim. The exhibitor assumes all liabilityfor any damage to the facility’s floor,walls, lighting fixtures or other facilityamenities as a result of exhibitor negligence. The exhibitor will abide by andobserve all laws, rules, regulations andordinances of any government authority and of the contracted facility. Theexhibitor will hold IAHCSMM, its Board,members, staff, representatives, the cityof San Antonio, and the Henry B. Gonzalez Convention Center harmless from anyand all damages, loss or liability of anykind whatsoever resulting from injuries topersons or property occurring within theHenry B. Gonzalez Convention Center orproperty adjacent thereto occasioned byany act, neglect, or wrongdoing of theexhibitor or any of its officers, agents,representatives, guests or employees,invitees, or other persons permitted bythe exhibitor upon the premises, andthe exhibitor will at its own cost andexpense defend and protect IAHCSMM,the city of San Antonio, and the HenryB. Gonzalez Convention Center againstany and all such claims or demands. Eachexhibitor shall be responsible for securingand maintaining the following insurancecoverage at the exhibitors expense: (a)Workman’s compensation insurancecoverage for exhibitor’s employees whichshall be in compliance with the laws ofthe State of Texas; (b) Commercial general liability insurance with policy limitsof 1,000,000 for combined single limitcoverage to include: comprehensive form,premises/ operations, contractual, broadform property damage and products/completed operations, providing forterms of coverage to be effective fromon or before April 23, 2016 through April26, 2016, which shall include exhibitor’smove in and move out.
