UNITED ARCHITECTS OF THE PHILIPPINES The Integrated and Accredited Professional Organization of Architects UAP SOCIAL MEDIA POLICY AND GUIDELINES Approved last February 20, 2020 thru NBD Board Resolution No. 90, s. FY 2019-2020 The Cardinal Virtue Social media networks constantly surrounds us and has become an integral part of modern life. It informs us about our world, and it gives us a platform allowing us to be heard and express all our desires – Facebook, Instagram, Viber, Twitter, WhatsApp, LinkedIn and other platform – provide powerful communication and promotional tools in which the organization thrives. Positive may seem, albeit has its traps. Negative effects and abuse of its use should be restricted and cushioned. Together, WE will flourish protecting the institution, the UNITED ARCHITECTS OF THE PHILIPPINES. Policy Brief and Purpose We designed our organization’s policy to explain how we expect our employees, National Officers (elected and appointed), and all representing the institution to observe positive ethical conduct and appropriate treatment of confidential information on social media and other digital platform. We want to make sure that proper ethical conduct as well as sensitive information are well-protected. The Scope Guidelines for functioning in the digital world are the same as the values, ethics and confidentiality policies employees are expected to live every day, whether you’re messaging, tweeting, talking to members or chatting over your neighbors. Your responsibility and liability to the institution does not end when you’re off the clock. For that reason this policy covers and affects all employees, including all elected and appointed officers, contractors, sub-contractors and volunteers, and all who permanently or temporarily represents or carry the name of the organization United Architects of the Philippines.

The Guidelines 1. Integrity is our Institution’s most important commodity: Avoid writing or posting anything that would embarrass the profession, the professionals and institution we are thriving, the United Architects of the Philippines’ or compromise your ability to do your job. 2. Expect little privacy. Assume that your work life and your personal life will merge online regardless of your care in separating them. 3. Privacy tools. Even if you use privacy tools (determining who can view your page or profile, for instance), assume that everything you write, exchange or receive on a social media site is public. 4. Make it clear that the views expressed are yours. Include the following somewhere in every social media profile you maintain: “I work at UAP, but this is my own opinion and is not the opinion of my employer United Architects of the Philippines.” 5. The Officers. All the National Officers (elected and appointed), and all that represents the institution shall make it clear that the views expressed are their own and does not necessarily the collective opinion of the office or commissions they represent, shall include the disclaimer on all their social media profile: “I serve UAP, but this is my own opinion and is not the collective opinion of the United Architects of the Philippines.” 6. Avoid intra-partisanship. Just as intra political stickers and signs are to be avoided in the offline world, so too are intra-partisan expressions online. 7. Be aware of perceptions. If you “friend” a person or join a group on one side of a group or virtual clusters, do so with the other side as well. Also understand that your “viewer” or “follower” may view your participation in a group or virtual clusters as your acceptance of its views; be clear of your intent, ideas or simply making expressions or just do not post at all if it will put you on a difficult situation. 8. Using social media sites means that you (and the content you exchange) are subject to their terms of service. This can have legal implications, including the possibility that your interactions could be subject to a thirdparty subpoena. The social media network has access to and control over everything you have disclosed to or on that site. For instance, any information might be turned over to law enforcement without your consent or even your knowledge. 9. Mind your manners. Treat past and present co-workers, co-officers, members, suppliers, partners, and the institution the United Architects of the Philippines with respect. Avoid posting materials or comments that may be seen as offensive, demeaning, inappropriate, threatening, or abusive. Acknowledge differences of opinion. Respectfully withdraw from discussions that go off topic or become profane. 10. Impartiality. Employees cannot use their positions to promote personal agendas or causes. Nor should they allow their outside activities to undermine the impartiality of the United Architects of the Philippines’, in fact or appearance.

11. Employees that are not licensed Architects cannot engage in intrapolitical advocacy – as members of a campaign or an organization specifically concerned with intra political change. Nor may they contribute money to a partisan campaign or candidate. Employees should avoid public expressions or demonstrations of their intra-political views –stickers, signs, or any expressions or impressions and the like. 12. Avoid Apparent Ethical Conflict. Although The United Architects of the Philippines does not seek to restrict staff members’ participation in civic life, they should be aware that affiliations and memberships may create real or apparent ethical conflicts. When those affiliations have even the slightest potential to damage the Institution’s credibility, employees should proceed with caution and take care to advise immediate superior. 13. Be transparent. UAP supports transparency about your identity and relationship to the institution. We are committed to ensuring that our sponsored social media practitioners (including blogs, microblogs, forums, and any other social media) clearly and conspicuously disclose their relationship to UAP, including incentives and sponsorship. Please be sure this information is readily apparent to the public and readers of each of your posts. For tweets or other written posts on platforms such as Facebook as well as descriptions of photos on platforms like Instagram, start your post with #Paid or #Ad. If you are posting a video on a platform such as YouTube use #UnitedArchitectsofthePhilippinesAd on the actual video footage in the top corner of the screen, preferably at the beginning of the video, as well as including “Sponsored by UAP” above the line in the description of the video. If you are creating a podcast, in the opening line of the podcast, you should disclose the relationship, an example of wording you should use would be: “This episode is a paid sponsorship by UAP”. If you use alternative language please ensure you use the word “paid” in your wording. 14. Make it Readable. By stating that disclosures be clear and conspicuous, practitioners should make claims that are close to the claims to which they relate, in a font that is easy to read, and in a shade that stands out against the background. For video ads, disclosures need to be on the screen long enough to be noticed, read, and understood. Audio disclosures need to be read in a cadence that is easy to follow and with understandable words. 15. Write about your genuine and authentic experience. Please talk specifically about your experiences with UAP and services instead of making general claims that you aren’t as familiar with. Be honest and accurate. 16. Write what you know. We encourage you to write in the first person and stick to your area of expertise or comfort as it relates to UAP experience. 17. Be sure you mean what you say, and say what you mean. Search engines and other technologies make it virtually impossible to take something back. 18. Your responsibility. Keep in mind that what you write is your responsibility and failure to abide by these guidelines (including failure to disclose your relationship to UAP) could put the institution at risk. Also please always follow the terms and conditions for any third-party sites or platform in which you participate.

19. Respect privacy of offline conversations. Protect your coworkers, National Officers, Industry Partners and other representative of the Institution by refraining from sharing their personal information or any conversations or statements unless you have their written permission to do so. Bringing someone else into an online conversation without their permission can be destructive to a relationship, cause misunderstandings or violate laws or confidentiality agreements. Disclose Your Affiliation Anyone can say anything on the internet. It is both the platform’s greatest strength and chief weakness. When you are posting on the internet, your integrity is on display for the entire world to see, so strive to be ethical, truthful, and decent. 20. Always include #UnitedArchitectsofthePhilippines. When you are posting about the United Architects of the Philippines, its Officers, Programs, Events or Products, include the hashtag #UnitedArchitectsofthePhilippines. This lets people know that you are affiliated with UAP. 21. If you are being paid by UAP to promote or endorse us, you must disclose your relationship. This is true for employees, contingent workers, digital influencers, or agency members. 22. If you have a vested interest in something you are discussing, be the first to point it out and be specific about what it is. 23. Be yourself! Stick to your area of expertise and department. Only write or post about what you know. 24. Update all your Social Media accounts. Update all your Social media accounts at all times. If you are leaving UAP, please remember to update your employment information on social media sites. 25. If you post or talk about the United Architects of the Philippines, its Officers, Programs, Events or Products on any website or any form of social media, please use a disclaimer: “All opinions are my own and not necessarily the opinion of UAP”. Protect the United Architects of the Philippines Keeping UAP’s integrity as an institution, its confidential information confidential is a keystone of our Policy and Guidelines. Many employees know things about the company that could affect our organization. It is essential to safeguard these information, especially on the internet. 26. Protecting UAP is part of your job. Do not post any confidential information on any social platforms. If the information has not been officially released by UAP, don’t discuss it. This includes financial information, Officer’s and Members information, and legal information. 27. Don’t slam UAP’s critique or bashers. Only authorized spokespersons should comment publicly and respond according to merits. Authorized spokespersons are identified, selected, and approved by the Mancom

28. Anything you publish must be true and not misleading, and all claims must be substantiated and approved. 29. If you are unsure whether or not to post something, err on the side of caution and don’t. Use Common Sense When you are online, you are representing the United Architects of the Philippines: our people, our values. There is no room for bigotry, prejudice, misogyny, or hatred in our organization or on our associated social media feeds. Just by identifying yourself as a UAP employee, you are creating perceptions about your core values and about UAP. Do us all proud. 30. Did you mess up? It happens. If you make a mistake, admit it immediately. Apologize if you need to. Be upfront, and correct the error as soon as possible. 31. Correct your mistakes. If you're posting to a blog or any social media accounts and made mistakes or for some other reason decided to modify an earlier post—just make it clear that you have done so. 32. Report posts that are detrimental to our institution. If you see something being shared related to UAP on a social media platform that shouldn't be happening, immediately inform secgen@united-architects.org. Confidential Policy elements 33. Do not post, email or transmit to anybody without written permission. Confidential and proprietary information is secret, valuable, expensive and/or easily replicated. Confidential information prohibited to transmit, but are not limited to, without written permission from the Secretary General are: 33.1 33.2 33.3 33.4 33.5 33.6 33.7 33.8 33.9 Unpublished financial information Data of Members/ /Contractors Patents, formulas or new technologies Industry Partners list (existing and prospective) Data entrusted to our company by external parties Pricing/marketing and other undisclosed strategies Documents and processes explicitly marked as confidential Unpublished goals, forecasts and initiatives marked as confidential And other similar documents. Employees may have various levels of authorized access to confidential information. It is imperative for all to secure written documents of approval from the Secretary General prior to release of any documents. What employees should do: 33.10 Lock or secure confidential information at all times. 33.11 Shred confidential documents when they’re no longer needed. 33.12 Make sure they only view confidential information on secure devices. 33.13 Only disclose information to other Employees or National Officers when it’s necessary and authorized by the National President, National Executive Vice President, Secretary General, National Treasurer, and National Auditor.

33.14 Keep confidential documents inside our company’s premises unless it’s absolutely necessary to move them, secure approval from the Secretary General or National President. What employees shouldn’t do: 33.15 Use confidential information for any personal benefit or profit. 33.16 Disclose confidential information to anyone outside of our company. 33.17 Replicate confidential documents and files and store them on insecure devices. 33.18 When employees stop working for our company, they’re obliged to return any confidential files and delete them from their personal devices. Confidentiality Measures We’ll take measures to ensure that confidential information is well protected. We’ll: 33.19 Store and lock paper documents. 33.20 Encrypt electronic information and safeguard databases. 33.21 Ask employees to sign non-compete and/or non-disclosure agreements (NDAs). 33.22 Ask for authorization by Secretary General to allow employees to access or transmission of certain confidential information. Exceptions Confidential information may occasionally have to be disclosed for legitimate reasons. Such as: 33.23 If a regulatory body requests it as part of an investigation or audit. 33.24 If our company examines a venture or partnership that requires disclosing some information (within legal boundaries). In such cases, employees involved should document their disclosure procedure and collect all needed authorizations from the National Officers (National President, National Executive Vice President, Secretary General, National Treasurer, and National Auditor) as the case may require. We’re bound to avoid disclosing more information than needed. Disciplinary Consequences and Sanctions 33.25 Employees who don’t respect our confidentiality policy will face disciplinary and, possibly, legal action. 33.26 We’ll investigate every breach of this policy. 33.27 We’ll terminate any employee who willfully or regularly breaches our confidentiality guidelines for personal profit. 33.28 We may also have to punish any unintentional breach of this policy depending on its frequency and seriousness. 33.29 We’ll terminate employees who repeatedly disregard this policy, even when they do so unintentionally. This policy is binding even after separation of employment and term of office the officers, contracts of the industry partners and contractors/subcontractors.
