Hampton Inn & Suites Catering Policies/ General InformationMEETING ROOM SET UP AND RENTALRental charges apply to all rooms used for meetings, events, exhibits, and ceremonies booked through the hotel. If thenumber of guests fluctuates or the room reserved cannot be made available to the guest, the hotel reserves the right tosubstitute a similar or comparable room for the function.PRICING, TAX, AND SERVICE FEEAll prices are guaranteed for a period of ninety (90) days. Pricing is subject to 15% service fee and 13% HST (unlessotherwise noted). Service fee is subject to sales tax in the Province of Ontario.GUARANTEE AGREEMENTWe require confirmation of guaranteed attendance 14 days prior to all functions. All charges are based on guaranteedattendance, or for the actual number of guests, whichever is greater. In the event we do not receive a guarantee, wewill consider the number of guests indicated as estimated on the Banquet Event Order (BEO) or most recentlyupdated invoice as the guarantee.DEPOSITS, PAYMENTS AND CANCELLATIONSA 500 signing deposit along with valid credit card and driver’s license is due to confirm your ceremony and/or reception.A payment equal to 50% of the working invoice total is due one month after the signing deposit has been paid. Theremainder of the invoice as finalized by the hotel is due 14 days prior to your event date. A 500 damage deposit isdue to the hotel 14 days prior to your event. All deposits and payments are non refundable should cancellation occurat any time. First payment can be made via credit card, debit, cash or cheque. Any payments within 60 days priorto your wedding cannot by made by cheque.MENUAll details concerning food and beverage must be finalized 14 days prior to your function date. All food and beverageconsumed in any function area must be purchased from Hampton Inn & Suites by Hilton Brantford. In compliancewith health regulations and liability insurance, customers or their guests may not remove any food or beveragepurchased but not consumed at Hampton Inn & Suites by Hilton Brantford. When selecting your menu choice,please remember that for each meal function, the menu must be identical for all guests in attendance. Specialdietary substitutions are available and must be arranged in advance of the function. Those guests who are to receivethese special meals must be identified to the banquet staff prior to service commencing.LIABILITYHampton Inn & Suites reserves the right to inspect and control all parties, meetings, receptions, etc being held on thepremises. A 250.00 cleaning fee will be applied for any use of confetti or decorative glitter. Items may not be suspended fromthe ceilings or walls of any banquet rooms. Bubbles are not permitted in any banquet room. The Hotel will notpermit the affixing of anything to the walls, floors or ceilings with nails, staples, tape, tacks, or other substance.Please consult the Catering Department for assistance in displaying of all materials.INTERNET CONNECTIONSBoth hard wired and wireless high speed connections are available in meeting rooms complimentary.
