Chapter 1: MAXIMO Project ManagerOverviewMAXIMO Project Manager appends a MAXIMO menu to theMicrosoft Project menu bar, providing a way to map work orderand PM data from the MAXIMO database to Microsoft Project.MAXIMO MenuoThe added functionality lets you filter work order, PM, andcalendar data from a MAXIMO database. After you filter theMAXIMO data, you can perform project planning tasks with theMAXIMO work orders and save schedule data back to existingwork orders in the MAXIMO database.Using MAXIMO Data In Microsoft ProjectThe following section details the steps required to transfer workorder or PM data from a MAXIMO database into MicrosoftProject. Using MAXIMO Data In Microsoft ProjectProcess OverviewThe following steps provide a high-level overview of how to createa project in Microsoft Project using MAXIMO data:1. Create and save a MAXIMO query.2. Create a new project in Microsoft Project.3. Log in to MAXIMO from Microsoft Project.4. Select a Work Order or PM query.5. Modify the project.6. Using MAXIMO Data In Microsoft ProjectMAXIMO Login Dialog BoxTo log in to MAXIMO, complete the following steps:1. In the Host field, enter the name of MAXIMO ApplicationServer machine and the MAXIMO Application Server name, ifit is not MXServer (the default value).Example:If the MAXIMO Application Server machine name is Vulcanand the MAXIMO Application Server name is MAXDEV, youenter Vulcan/MAXDEV in the Host field.You can also specify a port on the application server machine.The format will be as an:8080/MAXDEVNOTEThe mxe.name setting in the MXServer.Propertiesfile defines the MAXIMO Application server name.The default is MXServer.The Application server name is case-sensitive.The mxe.registry.port setting in theMXServer.Properties file defines the port.4Release 5.2, 11/2003

MAXIMO Project Manager Overview2. In the User Name and Password fields, enter theappropriate user name and password for your MAXIMOdatabase.3. Click OK.NOTEWhen you log in, MAXIMO connects you to yourdefault site. To change sites, click Advanced.from the Select Work Orders or Select PMsdialog box. From the Change Site drop-downmenu, select the appropriate site.Select Work Orders Dialog Box4. Select a Work Order or PM QuerySelect a query from the list. The list contains queries you saved inMAXIMO (in the Work Order Tracking or PM application) for thatsite, as well as public queries to which you have access.After selecting a query, you can modify settings for processing thedata transferred from MAXIMO and preview your selections.Set AdvancedOptionsClick Advanced. from the Select Work Orders or Select PMsdialog box to choose the settings for processing data in MAXIMOProject Manager.Preview YourSelectionsClick Preview from the Select Work Orders or Select PMsdialog box to see the result set from the work orders or PMs thatyou have filtered.Release 5.2, 11/20035

Using MAXIMO Data In Microsoft ProjectClick Launch Now from the Select Work Orders or SelectPMs dialog box to begin populating Microsoft Project with workorder or PM data from the MAXIMO database.LaunchNOTEBefore transferring the data, MAXIMO Project Manager sets thecalculation mode in Microsoft Project to manual, and then resetsit. Therefore, you must calculate a schedule once the data transferis complete.To proceed with automatic scheduling after transferring the data,reset the mode in Microsoft Project.5. Modify the ProjectAfter you transfer the data from MAXIMO to Microsoft Project,you can modify schedules and assign laborers to work orders ortasks.Save as MicrosoftProject File(optional)Save the project in a Microsoft Project file (.MPP) if you want toschedule it or update it at a later time. After saving the project,you still can save the data back to MAXIMO.6. Return Schedule Data to the MAXIMO DatabaseReturn work order schedule data from Microsoft Project to theMAXIMO database. From the MAXIMO menu, select Save WOSchedule to MAXIMO.NOTEIf the active project includes several subprojects and you selectSave WO Schedule to MAXIMO, you save all work order datafor all the projects to MAXIMO. However, if the active projectincludes PM subprojects and work order subprojects, you can onlysave the work order information to MAXIMO; the PM data isignored.7. Update a Saved Project to MAXIMO (Optional)If you saved the project in Microsoft Project and wish to update itlater, select Update Work Orders from the MAXIMO menu.6Release 5.2, 11/2003

Choose Select Work Orders from the MAXIMO menu.MAXIMO displays the queries you saved in MAXIMO’s WorkOrder Tracking application for the current site, as well aspublic queries to which you have access. Using the MAXIMO MenuSelect Work Orders Dialog BoxThe following table contains descriptions for the columns andbuttons in the Select Work Orders dialog box.Dialog BoxElementDescriptionNameShows the name of the queries you created for the selected site in MAXIMO’sWork Order Tracking application, as well as any public queries.DescriptionShows the descriptions of the queries.QueryLets you display the SQL content of the query. Click the ellipsis to displaythe SQL content; the SQL content is read-only. To modify the query, youmust modify it in MAXIMO.OwnerShows the name of the person who created the query.Launch NowPopulates Microsoft Project with the selected work order data from theMAXIMO database, including assignments, craft and tool resources, andresource availability.After you click Launch Now, you might notice a difference in the amount ofdata displayed when you use the same query in MAXIMO and MAXIMOProject Manager. When you search the MAXIMO database, MAXIMOdisplays only the selected work orders, or PMs. MAXIMO Project Manager,on the other hand, displays the parent and the entire child hierarchy underthat parent. Displaying parents and all their children gives you a morecomprehensive and accurate schedule.NOTE8You can also transfer Calendars, if you select the Calendarsoption on the Advanced Options for Work Orders dialogbox.CloseCloses the dialog box.PreviewDisplays the Preview Selected Work Orders dialog box where you canview the selected set of work orders before initiating a full launch.AdvancedDisplays the Advanced Options for Work Orders dialog box where youcan access more ways to refine your work order selection.HelpOpens the help topic for the dialog box.Release 5.2, 11/2003
