PRINTING LARGE EXCELSPREADSHEETSFor those who have minimal skills in Microsoft Excel, being presentedwith an oversized spreadsheet (defined as any spreadsheet that will not fitonto a single sheet of paper without special formatting) can cause someanxiety.While each spreadsheet is different, this tutorial will outline a structuredprocess by which you can set up your Excel spreadsheet to print in anattractive, easy-to-read format. Developing the skills in this tutorial willallow you to face even the largest, most unwieldy spreadsheet withconfidence!T AMING THE L ARGE S PREADSHEET :T HE P ROCESSThe process for formatting a sheet to print is really pretty straightforward:1.2.3.4.5.Setting the Print Area and Print TitlesInserting Headers and FootersControlling Margins, Page Orientation, and Page SizeInserting/Adjusting Page BreaksPreviewing the final result and tweaking where necessaryLet's step through it.S ETTINGTHEP RINT A REAANDP RINT T I TLESRight off the bat, you're going to need to decide how much of thespreadsheet to print.Most of the time, you need to print the entire thing. PRINTING LARGE EXCEL SPREADSHEETSPAGE 2 OF 9Printout 1P AGES 1, 2AND4OF ANE XCELPRINTOUTIf you look closely at these Print Preview images, page 1 is fine - you cansee the column labels (with the fiscal quarter designations at the top) andthe row labels (with the category names) on the left. But then page 2 ismissing the column labels, and if you look at page 4, none of that iscarried over that far into the printout. So, unless you're planning on tapingtogether your spreadsheet into one big piece of paper, you're going to havea hard time figuring out which numbers go with each quarter/category.Compare that with Printout 2:P AGES 1, 2, & 4FROM PRINTOUT WITH CHANGESThe difference here is that the print area is now defined as all of thenumbers (from cell B3 to AE50) and the print titles are defined as rows 1and 2 and column A. For instance, maybe the sheet makes moresense (and prints more attractively) printed landscape rather thanportrait. Or perhaps it's a good idea to print this on Legal size paper (8.5"x 14") or even on Ledger size (11" x 14") rather than Letter (8.5" x 11").Given we're already in the Page Setup dialog box, we'll just need toexplore the other two tabs: Page and Margins.As you can see from above, you can adjust the placement of the headersand footers and the page margins on the Margins tab, and control theorientation (portrait versus landscape) and the page size (letter, legal,ledger, A4, etc.) on the Page tab. You can even scale the spreadsheet upor down by a set percentage, or force the spreadsheet to print on aparticular configuration of pages across/down (if you want everything tofit on one page, you'd choose 1 page(s) wide by 1 page(s) tall, forexample). 2012 Savadra Information Solutions, Inc.LegalOfficeGuru.com

PRINTING LARGE EXCEL SPREADSHEETSPAGE 6 OF 9One more thing: if printing gridlines on your sheet would help improvereadability (gridlines are the borders around each cell to make followingthe rows/columns easier), go back to the Sheet tab and check the Gridlinesbox:Notice here, too, that you can also control whether the row and columnheadings (1, 2, 3 for rows, A, B, C for columns) print on your sheet. Excelwill also let you set whether the printout order goes horizontal thenvertical or the other way around (in other words, whether you want thepages to print across, then down).At any point, you can click Print Preview to check your progress.I NSERTING /A DJUSTING P AGE B REAKSWith some sheets, you may want to be sure that certain informationappears together on a page. In the sample sheet, it would probably makethe information more readable to print all of a fiscal year's information onesheet across.You're probably familiar with page breaks in Word. Go to the View tab on your ribbon and click PageBreak Preview:Excel will automatically place some page breaks for you. In Page BreakPreview mode, you can literally drag those pre-defined page breaksaround on the screen until they're placed where you want them.If you need to manually insert a page break within your Excel sheet, selectthe row or column directly after which you want to insert the break, thengo to the Page Layout tab and, in the Page Setup section, click the dropdown under Breaks to insert the appropriate break:If you make a mistake in where you insert your page break, simply dragthe page break to the right spot (since you're in Page Break Preview modeanyway). 2012 Savadra Information Solutions, Inc.LegalOfficeGuru.com

We defined the Print Area (all of the cells with the numbered data)and the Print Titles (the row and column headings) in Page Setup.2. We inserted a custom header (company name and spreadsheet title)and footer (Page x of y).3.
