Policies & ProceduresAGREEMENTEach exhibitor and his or her employees agree to abide by these regulationsand by any amendments or additions thereto that may be established or putinto effect by the Academy.BOOTH EQUIPMENTEach exhibitor will be provided with a booth ID sign, one 6-foot skirted table,and two folding chairs. Additional equipment can be purchased or rentedfrom the decorating company (information on the decorating company willbe provided upon booking exhibition space).EXHIBIT PERSONNELSilver and Gold sponsors may have two exhibitor representatives per 10-footbooth space purchased and will receive food served in the exhibit area. Platinum sponsors receive three badges; Partner sponsors receive four badges.Additional representative passes can be purchased for 50.00 (USD)/RM 329.24each. Fees do not include admission to the educational conference. Names ofyour exhibit personnel must be submitted to the Academy office threeweeks before the conference for them to receive printed name badges.PAYMENTA 50 percent (50%) deposit must be received with this contract payableto IAED. If the full balance is not received by9 February, 2018, the Academy reserves the right to move the space to a lessdesirable location or resell exhibitor’s space without refunding the deposit.REFUND OR CANCELLATIONIf the exhibitor is unable to occupy and use the exhibit space contracted for, heor she shall promptly notify Conference Management in writing. All sums paidby the exhibitor, minus the 50 percent deposit, will be returned to the exhibitor.If the cancellation occurs after 9 February, 2018, no refund will be given.DAMAGE TO PROPERTYNothing shall be posted, tacked, nailed, screwed, taped, or otherwise attachedto columns, floors, walls, or other parts of the building or furniture. Exhibitorsare liable for any damage caused to the building, floors, walls, columns, or toother exhibitors’ property.EXHIBITOR ACTIVITIESExhibitor agrees not to schedule or conduct any outside activity, including,but not limited to, receptions, seminars, symposiums, or hospitality suitesthat are in conflict with the official Academy activities whether such activitiesare to be held at the host hotel or outside the hotel without the written consent of Conference Management. Exhibitor shall submit to Conference Management any plans for intent to hold or host activities, at or in conjunctionwith its exhibit, for written time and approval. There will be opportunities tosponsor additional activities if the exhibitor so desires.
