Wedding Reception InformationThe Embassy Suites Nashville at Vanderbilt features two function spaces for WeddingReceptions - the Commodore and Titan Rooms. Both of these function rooms are locatedon the 2nd level of the hotel overlooking the lush hotel Atrium and three story waterfall.The Commodore Room is our largest function space with 1,470 sq. feet. This room canaccommodate a maximum capacity of 90 people with a plated meal and 75 people with abuffet/appetizer station setting with a dance floor and 105 people for a plated meal and90 people for a buffet/appetizer station setting without a dance floor. 100 people can beaccommodated for a buffet/appetizer station setting by utilizing the Commodore Foyer.For a smaller, intimate reception we also have The Titan Room available, which has 936sq. feet. The Titan Room can accommodate a maximum capacity of 35 people for aplated meal and 25 people for a buffet meal with dance floor. Maximum capacity withouta dance floor is 50 people for a plated meal and 40 people for a buffet meal.Both The Commodore Room and The Titan Room may be combined to accommodateadditional guests. Discounted rates are available for combining the two rooms.For a wedding reception in The Commodore Room - Friday- Sunday, there is a 4,500 minimum for this room. Monday-Thursday, the minimum is 2,000 .For a wedding reception in The Titan Room - Friday – Sunday, there is a 2,500 minimum for this room. Monday-Thursday the minimum is 1,200 .Both The Titan Room and The Commodore Room may be combined to accommodateadditional guests.There is a 500 room setup fee for wedding events. General InformationReserving Space and Payment: A signed contract along with a non-refundable depositof 30% of your estimated total is required to confirm your reception space. Anadditional deposit of 20% is required 3 months prior to your reception date. Depositsmay be paid by personal check, cash or credit card. Final payment is due 21 days priorto your reception date either by Certified or Cashier’s Check or Credit Card.Personal checks are not accepted for final payment.Parking: Valet Parking is available for your guests at a rate of 10.00 per car and maybe posted to your catering master account or paid for by the individual. Self Parking isnot available at the hotel for guests attending the reception only.Suite Contract: Embassy Suites does offer special discounted suite rates for 10 suites ormore. Please contact Paige Bottoms at 615-277-4966Special Meals: Vegetarian, Vegan and Kosher style are available upon request.Requests must be made two weeks prior to the reception dateWedding Cake: You may bring in a cake from an outside vendor and the hotel willprovide a table along with plates, forks, napkins and cake cutting services at noadditional charge. The Director of Catering can refer you to local wedding cakevendors.Entertainment: We can provide you with a list of recommended DJs and bands. Due tothe location of the hotel ballrooms, hotel management is at all times allowed to controlthe volume of the entertainment. Should you wish to contract with a professionalentertainment company, please be advised that smoke machines and confetti launches arenot allowed in our ballrooms.Specialty Linen, Chair Covers and Decor: The Director of Catering can assist you withprocuring specialty linens, chair covers and décor at discounted pricing. You areallowed to provide your own linens and/or décor items.
