Chapter 1: Understanding the RightFax Lotus Notes ModuleNotes Integration Optionsadministration of RightFax from your Notes server or yourRightFax server.Chapter 1: Understanding theRightFax Lotus Notes ModuleUsers can compose faxes when disconnected from theDomino server (for example, using a laptop) and also havemany other options, including previewing a fax beforesending and forwarding a fax that was sent to them.For detailed information on how to use RightFax to send andreceive faxes, documents, and SMS messages, see the userhelp that accompanies the RightFax Lotus Notes Module.Note Sending RightFax messages of type “Document” (forCertified Delivery) requires that the recipient have an SMTPe-mail address, and sending RightFax messages of type“SMS” requires that the recipient have a cell phone number.Either of these can be picked from the Domino Directory orfrom the Personal Address Book. If the required informationis absent, the user does not appear in the address of thememo after the Addressing dialog box is closed.Note The RightFax Lotus Notes Module Guide augmentsthe administrator and user help that accompanies theRightFax Lotus Notes Module. For information on topics notfound in this guide, see the admin and user help. Shortcutsto administrator and user help are created during the Notesinstallation and are located on the Notes workspace.The RightFax Lotus Notes Module provides inbound andoutbound faxing via RightFaxfrom the Notes or iNotes clients.The RightFax Lotus Notes E-mail Gateway and a Notes clientare installed on the RightFax server. Using the Notes client,the gateway logs on to the Domino server, routes incomingfaxes as memos to Notes client mailboxes, and picks up faxbound memos and delivers them to the RightFax server forconversion to fax format and transmission.Notes Integration OptionsYou have the following options for integrating faxing withRightFax in your Notes system. Instructions for each of theseoptions are provided later in this section.lSending a Notes mail message to a fax number, emailaddress, or mobile device as an SMS message is similar tosending mail, except that the message is speciallyaddressed.The RightFax Lotus Notes Module installs several RightFaxspecific database files on the Domino server. One of thesefiles (RFAXSYNC.NSF or “EFM Sync”) can be synchronizedwith the RightFax, thus allowing for configuration andOpenText RightFax 10.65Full Mail Integration With a full integration, theRightFax setup adds RightFax forms, subforms, andagents to the Notes mail template to create a RightFaxtemplate. Notes users can use this template, which isknown as the RightFax advanced form, to send a faxfrom Notes. The Domino server composes outgoingfaxes and stores outgoing and incoming faxes in eachuser's Notes mail database. RightFax also storesoutgoing and incoming faxes in its own database. Users can edittheir copies of this document to configure theirpersonal fax settings.llUsers address faxes by using one of the followingformats:llMinimal Mail Integration With a minimalintegration, fax composition occurs in a fax factorydatabase that is installed locally on the user'scomputer. To send a fax, users use a basic RightFaxform. The fax factory composes the fax. As in the fullintegration, outgoing and incoming faxes are stored inthe user's mail database and the RightFax database.The minimal integration setup adds the following newcomponents to the user's mail database: An agent(Actions Fax Tools New RightFax Document, Fax, andSMS), an agent (Actions Fax Tools Real-time FaxStatus), one shared folder (RightFax Settings), andRightFax User Options document (located in theRightFax settings folder). For more information about aminimal mail integration, see Understanding the faxfactory on page 6.For more information about setting up foreign domainsfor faxing, see Creating RightFax foreign domains onpage 13.liNotes Integration The RightFax Lotus Notes Modulesupports Lotus iNotes (also called Domino Web Access)in a minimal-mail integration. This allows for fax usagevia a web browser, including sending and viewingfaxes, and setting advanced fax attributes.Understanding the fax factoryIf you choose minimal Notes Mail integration, the fax factorydatabase is installed to improve the efficiency of the Dominoserver by moving fax composition tasks to the user’scomputer. A local fax factory database is installed on eachclient computer, and a central fax factory template databaseis installed on the Domino server.No Mail Integration With no-mail integration, userssend memos as faxes with the standard Notes Memoform and RightFax embedded codes that users typeinto the body of the memo. Faxes are moved to theDomino server by means of foreign domains that usersinclude when addressing faxes. The RightFax databaseson the Domino server route documents with faxaddressing to the RightFax server. No modifications toany Notes mail template or any users' mail databasesare required. Fax documents are stored both in theRightFax database and in the user's Notes maildatabase.OpenText RightFax 10.6RecipientName@fn Fax Number@FaxDomainfn Fax Number@FaxDomainThe user's local fax factory database is kept up to date byinheriting its design from the fax factory template. Thispermits the fax administrator to update the user’s fax factorywhen needed, rather than the Notes mail template.User-specific data and fax preferences are stored in the UserOptions document in the EFM Sync database. When a useropens his personal User Options document in his Notes maildatabase, the current data is pulled into the document fromthe EFM Sync database. The agent directs composition of thedocument to the local fax factory database. When saved orsent, the fax is stored in the user's mail database.Outbound fax documents are delivered via standard Dominomail mechanisms to the database specified in the fax foreigndomain document. Fax rendering and delivery out of theDomino environment are handled by the gateway service onthe RightFax server. This frees Domino server resources forLotus Notes and Domino tasks.Inbound fax documents are processed by the Lotus Notesmodule on the RightFax server and stored in the RightFaxMail Router database. Faxes are passed from the RightFaxMail Router database to the Domino router task for standardNotes mail delivery. Obtain licensing and activate the Lotus NotesModule to enable it.Installing and Integrating a RightFaxServerTo activate the Lotus Notes Module, use a licensed RightFaxserver that includes this module, or purchase and license thismodule separately. This service is set to “Manual” and is started andstopped by the RightFax Server service. You can start andstop the RightFax E-mail Gateway Module service inEnterprise Fax Manager.To configure the Notes Gateway1. In Windows Control Panel on the RightFax server orremote E-mail Gateway server, double-click RightFaxE-mail Gateway. The E-mail Gateway configurationopens.2. To add a new gateway, clickAdd Gateway. Select Lotus Notes from the list ofgateway choices and click Select. Click the Notesgateway in the left pane list to view its configurationoptions. Next, in the Notes account password field,enter the password for the User.ID file that is used bythe Lotus Notes client to install the RightFax databasefiles, and subsequently by the gateway to communicatewith Domino.Include fax with notifications applies tonotifications of successfully sent faxes and faxes thatfailed to send. Select the check box to include aviewable copy of the fax with these types ofnotifications and specify the format of the copy: SelectTIF or PDF format. Select First Page to include acopy of the first page only or All Pages to include acopy of all pages.Click OK.Open the \RightFax\Gateway folder and copy theRightFax database installer (RFINSTALL.NSF) to theNotes client computer instaling the RightFax databasefiles.Open Enterprise Fax Manager and in the left pane, clickyour fax server name. RightFax services are nowviewable on the lower right side of Enterprise FaxManager. In the list of running services, right-click theRightFax E-mail Gateway and choose Stop Service.OpenText RightFax 10.6Installing the RightFax Database Files byUsing RFINSTALL.NSFTo install the database1. Open a Notes client and log on with the Notes ID usedto configure the e-mail gateway.2. On the Notes client File menu, click Database andclick Open. Click the browse button to locate the\RightFax\Gateway folder. Double-click the fileRFINSTALL.NSF.3. An Execution Security Alert appears. Click Starttrusting the signer to execute this actionand clickOK. Do this for all remaining Security Alerts youreceive during the installation.4. If you need to install the RightFax database manually,see Installing the RightFax Database Files Manually onpage 13.Load Convert see Updating User Mail Files with LoadConvert on page 12.12. Choose Yes or No to add Workspace shortcuts to thenewly installed RightFax database files. Click Close tofinish the install.13. Restart the Notes E-mail Gateway. Click Done, andclose the dialog box to return to the workspace.7. Browse to the Domino server to install RightFaxcomponents to. You can also enter this information intothe text box. The default location is\Domino\Data\RightFax. If you do not wish to install to\Domino\Data\RightFax, add the following entry to theNotes section of the Notes.ini file on the fax server ore-mail gateway server:Updating User Mail Files with Load ConvertFollow the steps below to incorporate RightFax designelements into user mail files using Load Convert from aDomino console. For more information about Load Convert,contact your Domino administrator.RF Syncdatabase Fax\RFAXSYNC.nsf.8. For more information about Notes.ini, contact yourNotes administrator. Click Next.9. On the Configure fax rendering document, specifyone or both of the fax rendering options and associatedforeign domain. Click Next.10. Choose Yes if you have explicit permission to Createnew databases & templates and Create newreplicas. If you do not have explicit permission, butbelong to a group with these permissions, choose Noand enter the group name or browse to the group. Formore information about these permissions, contactyour Lotus administrator. Click Start to copy RightFaxdatabase files to your Domino server. When finished,click Next.11. If your organization uses a full mail integration andwants to update your mail template using the LoadConvert command on a Domino server, enter therequired information and click Start. When finished,click Next. If your organization does not use a full mailintegration, click Skip. For more information aboutOpenText RightFax 10.6To update the user mail files1. To update the mail file, log on to a Domino console.2. Do one of the following:llTo update the mail file for all users, type:load convert mail/*.nsf *RightFax/rfaxmail.nsfTo update individual user mail files, type:load convert mail/ user ID .nsf *RightFax/rfaxmail.nsf3. Open a Notes client and log on with the Notes ID usedto configure the e-mail gateway.2. On the Notes client File menu, click Database andclick Open. Click the browse button to locate the\RightFax\Gateway folder. Double-click the fileRFINSTAL.NSF.3. The About RightFax Installation Database file opens.Click the 'X' to close this window and proceed to theRightFax Installation Database.4. Review the comments at the Welcome screen. Whenfinished, click Start. At the Step 1 window, click Next.5. Click Manual Installation.6. Specify a temporary folder to extract the database filesto. This folder is relative to the local \Lotus\Notes\Datafolder. When finished, click Next.7. To extract the database files, click Start. This processperforms a Notes copy of the database files that signsand registers each file. When finished, click Next.8. Click Close.When a Notes user sends a fax, the fax domain nameincluded in the destination address implicitly defines theRightFax mail router database that process the fax andtransfer it to a RightFax server for transmission. Each mailrouter database is limited to rendering outbound faxes fromNotes in only one of the two methods listed above. The mailrouter database associated with the default fax domain(RFAXBODY.NSF) is configured to process only the contentsof the Body field. The RightFax Mail Router (Forms) database(RFAXFORM.NSF) is used when sending faxes that include theNotes form.To create a foreign domain document in the Public Nameand Address Book on the Domino server1. Using Domino Administrator, open the Public Name andAddress Book, and click the Configuration tab.2. Expand the Messaging twisty, then click theDomains view.3. Click Add Domain on the action bar.4. In the Foreign domain name field, enter the name ofthe new domain. This name is typically RFAX (forsending body contents only) or RFAXFORM (forsending body contents and Notes form).1 Copy the files from the temporary folder you specified instep Specify a temporary folder to extract the databasefiles to. This folder is relative to the local\Lotus\Notes\Data folder. When finished, click Next. onpage 13 to the Domino server. By default, the RightFaxOpenText RightFax 10.6Incorporating only the contents of the Body field on theNotes form (that is, only the body of the Notes mailmemo)Including the body text and the Notes form itself13Lotus Notes Module Administrator Guide

Configuring the Notes E-mail Gateway to work with the Midas C APIInstallation Requirements5. Click the Mail Information tab. In the Gatewayserver name field enter the distinguished name of theNotes mail server where the RightFax Lotus NotesModule is installed (e.g., Server/Org). In the Gatewaymail file name field enter the path to the mail routerdatabase (e.g., RightFax\RFAXBODY.NSF ore.g.,RightFax\RFAXFORM.NSF.).6. When finished, click Save and Close.7. To complete the installation, continue to Configuringthe EFM Sync Database on page 16.Upgrading from a Previous IntegrationYou can upgrade from RightFax 10.0 with a functional Notesintegration and Lotus Notes R8.5, R8.5.1, R8.5.2, or 8.5.3with any RightFax mail integration.To upgrade from a previous version1. Stop the Lotus Notes Gateway service on the RightFaxserver.2. Rename the current RightFax directory on the Dominoserver.Configuring the Notes E-mail Gateway towork with the Midas C API3. Use the installer database to install the database filesfor your RightFax integration (described in Installingthe RightFax Database Files by Using RFINSTALL.NSFon page 11).The Midas C API by Genii Software extends thefunctionality of LotusScript and helps to convert and renderLotus Notes forms.4. Choose the same Foreign Domain(s) used in theprevious installation.If you have installed and licensed the Midas C API,follow these steps to configure RightFax.5. After the installation has completed, open both the oldand new EFMSync databases and copy the followingfiles from the old EFMSync to the new EFMSyncdatabase:1. Log on to the RightFax server as an administrator2. In Enterprise Fax Manager, stop the RightFax EmailGateway Module.3. From a Notes client computer, log on to the EFMSyncdatabase.4. Open the gateway document. In the Send OutboundFaxes section, change the Notes Form ExportMethod to Notes Native Export.5. Save and close the gateway document.6. On the RightFax server, open Windows Control Paneland double-click the RightFax E-mail Gateway. The Email Configuration dialog box opens.RightFax Data Sharing in a Lotus environment requires thefollowing:2. Select the Notes gateway to remove, and click DeleteGateway.l3. When finished, click OK.lTo remove RightFax design elements from a user mail file1. Open the EFM Sync database.2. In the left pane of the EFM Sync, click Users\ByName.l3. In the right pane, click the name of the user whosemail file you want to modify, and click Edit User.To configure the EFM Sync to use the RightFax shared datafolders4. In the Integrations section of the RightFax UserOptions screen, deselect the boxes for the features youwant to disable, and click Save and Close.1. Log in to the EFM Sync database using a Notes ID withAdministrative Access.2. On the left pane, under the Servers view, clickRightFax Servers.3. On the right side, click your fax server name.4.
