What keeps you up at night?How do I attract the best talent and keep it, once hired?The workplace is the embodiment of an organization’s brand and culture, the body language of abusiness. As such, it is an extremely important factor in attracting and retaining top talent.A stand-out benefit, particularly to those of younger generations, is flexible working arrangements.Flexible working arrangements require treating your employees like adults – you trust them to getthe job done, and done well, without requiring them to sit in a cubicle all day.To effectively adopt this at your organization, be sure your HR policies are updated to reflect thisnew reality. Additionally, ensure employees are equipped with the right technology to work howthey want, when they want, and where they want. These tools also help build and maintain a teamconnection, which can be a challenge with remote workers.There are three generations of employees in our organization. How do I keep everyone happy?Flexibility is key. Each generation likes to work differently so make sure there are workflow optionsto suit everyone’s needs – phone calls, meetings, emails, instant messages.But how does this reconcile with remote workers? People are huddled in a cubicle, trying to have a meeting, disrupting those around them. Whyaren’t they using our conference rooms?It is likely that the current configuration of large conference rooms and individual cubicles are notmeeting the needs of your employees. Move away from a cubicle- centric office layout to one thatoffers employees a variety of workspaces aligned to the activities being performed.Look into creating a variety of informal (open project areas, cafes, huddle rooms) and formal(workstations, offices, conference rooms of various sizes) spaces.Equip these spaces with appropriate devices – from IP phones at workstations to desktopcollaboration devices in huddle rooms to video conferencing systems in conference rooms.Everyone wants different things in the office. How can I make them all happy?Making happier employees is not only about space design, but the balance of the design ofthe physical space, workplace policy, and technology. For example, working with IT to ensureemployees are able to stay connected to the network reliably and securely, no matter where theyare in the office, will enable them to use all of the available spaces, not just stick to those with the“good” Wi-Fi.Next StepsPlan: Assess where you are today and set clear goals for the redesign.Bring employees into the design process – they’ll let you know how workactually gets done and might reveal hidden ways to boost productivity andreduce real estate costs. Try not to get distracted by the flashy newthings and look for a vendor with an established reputation for constant innovation and secureplatforms who can provide your organization with the end-to-end collaboration solution you arelooking for, from phones to video conferencing to endpoints to a team collaboration app.Your collaboration solution should be interoperable with other technology and highly secure to avoidpotential breaches.13

I know we need to upgrade our collaboration solutions, but I can’t figure out how we are goingto pay for everything all in one go.Look for solutions that are subscription-based models, rather than a large capital outlay initially.Cloud solutions come from Operational expenditures vs Capital expenditures which makes it easierfor your finance department as it fully deductible. Also, consider vendors willing to give you theflexibility to change and upgrade your solutions, without punishment, as your organizational needschange. The ability to grow and evolve is key. Read the research paperHow do I balance the needs of remote workers with the need to keep the organization secure?Flexible working arrangements are the buzzwords in HR and Facilities these days, but for IT, theycan cause a headache. How do you give remote workers the same user experience as on-siteemployees without compromising security?Look for collaboration solutions that have been built with enterprise-grade security in every layer forboth software and hardware. Check who can access data shared on the platforms – where is thisstored? Can the vendor get access to your organization’s shared messages, files, whiteboards?Should we move to the cloud?There is no single correct answer to this question, no matter what anyone tries to tell you. Atransition to the cloud depends on your organizational needs.Many people move to the cloud to keep capital costs down (renting vs owning) and to achieve abetter speed to market. Cloud solutions allow you to add capabilities and users easily vs havingto replace on premise solutions. The downside is that, unlike on-premises solutions, there isn’tthe same guarantee of uptime and there may be quality issues based on the reliability of internetconnections.But there is a third option – the hybrid option, combining the advantages of the cloud with thereliability of an on-premises solution. This gives the folks in accounting the traditional feature setsthey need, but allows your sales force in the field the mobility they need to remain current andcompetitive.Next StepsPlan: You’ve got the CEO, HR, and Facilities on board and it’s time to determine what collaboration solutions will deliver the needed business outcomes. But where to start? Clear selection criteria is key. Consider howemployees currently work and how you want them to work. Don’t forget tothink of yourself – are solutions compatible with ICT already in place, arethey easy to implement without training or downtime, and do they complywith specific security requirements.14
