Skyward Educator Access: Gradebook Logging in to Skyward 1. Click on Skyward WEB Student icon in your Novell Delivered Applications window. 2. If you get the Certificate Error page, click the link that says, “Continue to this website.” 3. Enter your login and password. Click Login. 4. Always check for important information and updates. Accessing the Gradebook 1. On the left side of the Skyward Educator Access (EA) window, click on My Gradebook. 2. Click on the Gradebook link for the appropriate class/section. 3. This is your main Gradebook screen. The tabs across the top of the gradebook allow you to move easily between the different skyward applications, set preferences, and more. 4. To switch to another class, click on the drop down Classes tab and select another class from the list. EM-S ISD Instructional Technology Page 2

Display Options You can change the way items appear using the Display Options drop down field. Student Display – displays how student names appear in the gradebook. gradebook It also lets you choose how to display student ID numbers, dropped students, or grade levels. You can also choose how you want the names to be sorted in your gradebook. *Sorting Sorting by Gradesheet Sequence will allow you to add a new student to the end of your you list rather than alphabetically! Assignment Display – allows you to format the information you want displayed on assignments in the column header. EM-S ISD Instructional Technology Page 3

Grade Period Display – allows you to display which term grades or assignments per term you wish to view. A term is a six weeks period (T1, T2, T3, T4, T5, and T6) and a progress report period is the first three weeks of a term (P1, P2, P3, P4, P5, and P6). You can hide as or show as many grading periods as you wish. However, you cannot hide the current grading periods periods. Always be sure to SAVE any display changes you’ve made before returning to the Main Screen of your gradebook. EM-S ISD Instructional Technology Page 4

Setting Categories Prior to adding any assignment or grade, you must set up your categories. Click the Categories tab at the top of the Main Screen in your gradebook. Click Change Score Method button to use total points to calculate grades grades, base grades on percents assigned to categories, or base grades on percents assigned to categories by Grade Period Click the Add/Edit Categories button to set your categories. Choose from the available Category Descriptions by entering a percentage and checking the Include box Click Save Click the Use These Categories For My Other Classes button, if desired. Click the Back button or the Main Screen link to return to your Main Screen in the gradebook. EM-S ISD Instructional Technology Page 5

Working With Assignments Adding an Assignment Click on the drop-down Assignments tab, and click Add Assignments Choose the Category from your drop drop-down menu Enter the name of your assignment in the Description field. The Assignment Group is optional, but it allows you to group assignments together if desired The Assign Date is the date the assignment was given to the students (defaults to current date) The Proposed Due Date is when you anticipate the assignment will be due The Actual Due Date is the final date the assignment is due Leave the Max Score 100 Use the Weight Multiplier to make an assignment have a greater, lesser, or equal value to other assignments for the class within a category Save and Back returns you to the Main Screen of your gradebook OR Save and Add Another allows you to add an additional assignment. If you want the assignment to be added to your additional classes, select them by placing a check in the appropriate box. EM-S ISD Instructional Technology Page 6

Cloning an Assignment If you have several similar assignments, you can use the Clone tool to clone the assignment, then go back in and make the changes that are necessary on the cloned assignments. From the Main Screen,, click on the desired assignment name In the Assignment window, click lick the Clone button Modify the assignment details as needed and select the classes in which the assignment should appear. Working With Grades Entering Grades Once you have categories assigned and have entered assignments, you are ready to start entering grades. An *asterisk indicates that a grade has not yet been entered. It will NOT be averaged in the Grade Period or count as a zero. Skyward EA Gradebook doess not allow you to enter “E” or “M” or other letter codes into the grade cells. Instead, excused assignments will be marked as “No Count,” and missing assignments will be marked as “Missing” with checkmarks. You also have the ability to add your own commen comments ts about grades. Click a Grade, or * from your gradebook screen Click to place a Checkmark in the appropriate box Quick Scoring Quick Scoring is especially helpful for teachers who have already entered multiple assignments into the Gradebook. On the Main Screen in your gradebook, click the Quick Scoring button. Enter the grades for the assignment Grades will turn green as they are being entered To add more detail about a score such as special codes, no count, missing, or comments, click on Show ‘Cell’ Details or double-click click on a grading cell Click Save or Save and Back to save the grades EM-S ISD Instructional Technology Page 10

Score Entry To enter grades by Score Entry, you can click on the asterisk in the assignment column OR click on the assignment name and click on the Score Entry button. Enter students’ scores Mark “no count” and “missing”” assignments Enter your own comments. Once you have added a comment, it will be saved so you can use it another time. time Save. Rather than mark missing grades individually, you can leave them blank and click the Mark un-scored scored as 0 and Missing button. Click Save. EM-S ISD Instructional Technology Page 11

Mass Assigning Scores From the Main Screen, click on the desired assignment name. Click the Mass Assign Scr button. Enter the score and/or select options to be assigned to all students. Click Apply. Assigning Extra Credit Create an “Extra Credit” assignment with a Max score of “0”. Enter extra credit points as you would normally enter grades, using any of the scoring methods. Dropping Grades From the Display Options menu, select Advanced Drop Lowest Score. Select a grade period to run the Advanced Drop Lowest Score Process. Click on the Advanced Drop Lowest Score link. Review list of students included in the process. To exclude a student from the process uncheck the corresponding box. Click Next. Review Categories and Assignments included in the process. To exclude an assignment or category from the process uncheck the corresponding box. Select the number of scores to be dropped. Click Next. Review the assignment scores that will be dropped for each student. Click the Process Drops button. Click Undo Drop Lowest Score link to delete that action. Click Process Undrops button You cannot drop grades from multiple categories at the same time, so you will need to set up the drops separately. Scores that have been dropped with this process will appear with the AD special code in the main screen of your gradebook, and will be marked as No Count Count. Gradebook Reports Skyward has created some report templates for your use. In the Reports menu, choosee the desired report. A Report Template screen appears. You cannot revise or delete Skyward templates, but you can view its parameters or clone it. You can create a report template from scratch. Reports are only available for the current term, so to print a report on data from a previous term you must clone or create a new report. However, once you build and save a report, you will always have it. You can delete any reports you clone or create yourself. You can print the same report on multiple classes at one time by choosing the “Select Different Classes” button. You can print a report on just one student or a select few by clicking on the “Select Different Students” button and making your selection. Reports will remain in the Print Queue for 2 days and m may ay be viewed at any time by selecting the Print Queue link throughout the system. After 2 days, reports in the print queue are automatically deleted. Reports can be converted to Excel and then opened or saved to your computer. Grade Sheet Report In the Reports eports menu, choose the Grade Sheet Report to print a copy of your gradebook. gradebook Choose the desired report (they they are very similar, with some variations of font size). size Click Print. A pdf version of the report will open in a new window. Assignment Listing by Student In the Reports menu, choose the Assignment Listing by Student to print assignments and grades for each student. Assignment Master Report In the Reports menu, choose the Assignment Master Report to print a list of assignments. This does not include any information about students or scores. Click Print. Missing Assignments In the Reports menu, choose the Missing Assignments to print a list of missing assignments for each student. Choose the desired report (one will print separate pages for each student, the other form prints multiple students per page). Click Print. Email Progress Reports In the Reports menu, choose Email Progress Reports to send an email version of the progress report to parents who have an email address. For any parent without an email address, you can print a hard copy of the progress report. Click Create Emails. View Emailed Reports In the Reports menu, choose View Emailed Reports to see a history of the reports you have sent to parents via email. Select the desired report. Click View. View Category Summary Reports In the Reports menu, choose View Category Summary Reports to see current averages for the different categories for each student. Click Print.
