(More RAM enhances the use of these features.) If you want to synchronize with contact management software, you need MicrosoftOutlook 2000, 2002, 2003, or 2007. Contact synchronization with Outlook requiresQuickBooks Contact Sync for Outlook (downloadable for free fromwww.quickbooks.com/contact sync). Compatible with QuickBooks Customer Manager v2.0 and later and QuickBooks ClientManager v2.0 and later. Compatible with QuickBooks Point of Sale 4.0 and later. Business Planner functionality requires Adobe Reader 5.0 and later. QuickBooks Payroll subscriptions and online features/services require Internet accesswith at least a 56 Kbps connection speed (DSL or cable modem recommended).

Firewall and antivirus software compatibilityIf you use firewall or antivirus software, QuickBooks 2008 has been tested with thefollowing products. Microsoft Windows XP Firewall (all editions) Microsoft Windows Vista Firewall (all editions) Symantec Norton AntiVirus, Internet Security Suite McAfee Anti-Virus Trend PC-Cillin Zone Labs ZoneAlarmIn some cases it might be necessary to adjust settings in these products to ensurethe best possible performance with QuickBooks. For more information about firewallconfiguration, search for “firewall settings” in the in-product Help.Using firewall software on a networkIf firewall software is running while you install QuickBooks, a prompt will ask if you want toallow QuickBooks components to have access to the network. For QuickBooks to operateproperly (especially in a multi-user environment) these components (FileManagement.exe,QBDBMgrN.exe, QBGDSPlugin.exe, and QBW32.exe) must be allowed to access the network.Different firewall software applications use different languages when prompting you. Besure to choose an option that does not block connections to QuickBooks components.Also, some firewall and antivirus software can affect QuickBooks performance. If youexperience performance issues you think are related to your firewall software, refer to thefirewall documentation or contact your firewall vendor for assistance. For more informationabout firewall configuration, search for “firewall settings” in the in-product Help.Multi-user installation requirementsQuickBooks enables you to have up to five users access QuickBooks files on a network atthe same time.In a multi-user environment, QuickBooks (or the QuickBooks Server) must be installed onthe computer on which the company file is stored. Each user must have a QuickBookslicense and must: Have a valid License Number and Product Number. For a 3-User Value-Pack, use thenumbers from the Value Pack. Install the same version year of QuickBooks. For example, all users must haveQuickBooks 2008. Have read/write access and create/delete rights to the directory where the company fileis stored.To enable other users to work in the company file, the company file must be stored on acomputer on your network, and you need to complete some additional installation andsetup steps on the computer where the company file is stored.

Installing QuickBooksNote: The number of users who can access the company file at the same time is determined by thenumber of licenses you purchase, up to a maximum of 5 users accessing the file at the same time.Network setupFor network hosting setupTo run QuickBooks in a network hosting environment, you must have Windows 2000, XP, orMicrosoft Vista installed.In a network hosting environment, each computer has its own full version of QuickBooksinstalled; however, the QuickBooks company file is located on only one computer, whichmust be turned on and available on the network. Networks set up for hosting files do notuse a dedicated file server, so a single, dedicated computer is not required to share files.Thus, all the networked computers have the option to share their resources.For example, you might run your small business by using QuickBooks on two computers—yours and one that’s used by an employee. In this case, you still need to set up a simplenetwork to share your company file. Otherwise, you’ll need to make a backup of yourcompany file to move it or e-mail it between the two computers.Note: Windows XP users must have at least Standard user rights and Windows 2000 users must havePower Users Group rights to write to the registry keys and be able to run QuickBooks.For dedicated server setupTo run QuickBooks in a network environment with a dedicated server, you must haveWindows 2000, Windows 2000 Server, Windows 2003 Server, Windows XP Professional,Windows XP Home Edition (not recommended) or Microsoft Vista.Networks with a dedicated server have at least one computer (the server) dedicated tosharing files, printers, or other resources. You only store your company file on the server;you do not run QuickBooks on this computer. During installation you will choose to installthe Database Server version of QuickBooks.To run a dedicated server, you should be running Microsoft Windows 2000 or lateroperating system. See “Additional hardware and software” on page 5 for Windows ServicePack recommendations.

Installing QuickBooksThis section explains how to install QuickBooks on a computer and how to begin using theprogram after installation.During installation, you will be asked some basic questions. For example, at the beginning ofthe installation process, you must specify whether you’re installing QuickBooks for one useror for more than one user. Each choice you make determines the next set of choices.The decision tree in Figure 1 shows the options offered during installation and how yourchoices affect the installation process. The notes on either side of the tree explain why youwould choose a particular option.QuickBooks installation choicesChoose One user if you arethe only person who willuse QuickBooks. Forexample, at your homeand/or office.Choose Full QuickBookswith Database if you willrun QuickBooks on thiscomputer.Choose Allow accessto other users to allowQuickBooks users on othercomputers to access company files on this computer.One userMore than one userFull QuickBookswith DatabaseAllow accessto other usersDatabaseserver onlyDo not allow accessto other usersChoose More than oneuser if multiple users willuse QuickBooks at yoursite and will access thesame company file.Choose Database serverOnly to install only theQuickBooks database(not the QuickBooks)application). No one willrun QuickBooks on thiscomputer.Choose Do not allowaccess to other users toprevent QuickBooksusers on other computersfrom accessing companyfiles on this computer.Figure 1. Questions you will need to answer during the installation interviewAfter you insert the QuickBooks CD, the installer will guide you through the installationprocess. The following pages include step-by-step instructions to help you through theinstallation process. New QuickBooks users should refer to the “New user installation”section on page 9; owners of a previous version of QuickBooks should refer to the“Existing user (upgrader) installation” section on page 10.Note: If you previously installed QuickBooks from a trial CD, download, or some other mechanism, youmight have chosen to receive a “Reinstall Pack.” The Reinstall Pack includes a QuickBooks CD and thisdocumentation. You do not need to reinstall QuickBooks unless you are moving QuickBooks to anothercomputer or replacing the installation on your current computer. Keep the reinstallation disk as a backupfor later use.

Installing QuickBooksNew user installationYou are a new user if you are installing QuickBooks for thefirst time. If you are upgrading from a previous version ofQuickBooks (not from another accounting tool), refer toExisting user (upgrader) installation on page 10.To install and start QuickBooks:➊ Shut down all running programs, including antivirusprograms.➋ Insert the QuickBooks CD in your computer’s CD-ROMdrive.➌ Follow the onscreen instructions. For help decidingwhich installation options to choose, refer to thediagram on page 8.➍ To start QuickBooks, double-click the QuickBooks iconon the desktop or click the Windows Start buttonand then click QuickBooks from the Programs group.Next stepsCreate your QuickBooks company fileFor detailed information about creating your company fileand setting up your company in QuickBooks, see “SettingUp Your Company in QuickBooks” on page 19.Set up QuickBooks for multiple usersIf you’ve purchased multiple copies of QuickBooks or a3-User Value Pack, multiple users can simultaneouslyaccess QuickBooks files over a network. Refer to page 6for system requirements to run QuickBooks in a multi-userenvironment.Did You Know?Back up your previousaccounting systemIf you have an existingbusiness, make sure thatyou’ve backed up yourfinancial records fromyour previous accountingsystem. The IRSrequires you to keep thisinformation for 10 years.You should also keep anysoftware and hardwarethat your previousaccounting system used,or have printouts of all theinformation and accountingreports.Troubleshoot errormessagesIf you receive anerror message duringinstallation, and restartingyour system does notresolve the problem, youcan search for informationabout the error messageat: www.quickbooks.com/installation.After you install QuickBooks on each computer on yournetwork and set up your company file, you need to performthese additional tasks: Set up user names and passwords for each user. You willneed to assign one user to be the Administrator whodefines all other users’ access. Refer to the in-productHelp for instructions on setting up user names andpasswords. Share the folder that contains your QuickBooks companyfile across your network. You can press F2 while inQuickBooks to locate your company file. See youroperating system’s documentation to learn more aboutsharing folders.

Turn on multi-user mode for each computer on your network.➊ Go to the File menu and click Switch to Multi-user Mode.➋ Click Yes.You may need to expand the number of people who work on QuickBooks in the future. Eachadditional user must have his or her own license. For more information, see “How do Ipurchase additional user licenses so I can add users to my QuickBooks?” on page 106.Existing user (upgrader) installationYou are an upgrader if you are upgrading from a previous version of QuickBooks (not fromanother accounting tool). If you are installing QuickBooks for the first time, refer to “Newuser installation” on page 9.If you own a previous version of QuickBooks and are upgrading to QuickBooks 2008, youmust first install the new program and then update your company file.To install QuickBooks:➊ Shut down all running programs, including antivirus programs.➋ Insert the QuickBooks CD in your computer’s CD-ROM drive.➌ Follow the onscreen instructions. For help deciding which installation options tochoose, refer to the diagram on page 8.➍ After installation, the File Management Tool might instruct you to move your companyfiles or to perform some additional installation modifications.
