Second Extension Campus Upload Progress Update

What Happens After 9/30/19? VABelow are the key activities that will be conducted by VA over thenext several weeks to process and upload the new batch ofextension campuses.VA COLMERYTEAM Compile and prepare the extension campus data for thesecond upload. Upload the extension campuses, releasing them foravailability on 11/04/19.VA EDUCATION ELRs will continue normal processes and procedures for mainand branch campuses in VA systems.COMPLIANCESTAFF On 12/16/2019, ELRS will begin entering approved extensioncampuses into WEAMS that were not included in the11/04/19 load. ELRs will input extension campuses using thesame process for newly approved main or branch campuses.9

What Happens After 9/30/19? SAAs & SCOsBelow are the key activities that will be conducted by SAAs andSCOs over the next several weeks to utilize extension campuses.STATEAPPROVINGAGENCIES Continue to review and approve extension, main or branchcampuses as they are submitted by SCOs. Submit approved campuses and approval letters to VA using thestandard submission process.SCHOOLCERTIFYINGOFFICIALS Continue to certify enrollments to available extension campusesfor terms beginning on or after 12/01/2019 to the physicallocation where the beneficiary is attending their courses. If your extension campus is not available, work with your SAA togain approval of your extension campus and certify theenrollment to the associated main or branch campus. If your extension campus is unavailable and an enrollment iscertified at the associated main or branch campus, DO NOTrecertify this enrollment until further instruction is providedfrom VA.10

Certifying at Extension CampusesREMINDER! For any enrollments at extension campuses beginning prior to12/01/2019, certify the enrollment at the associated main or branchcampus and track these enrollments for future recertification. The VA-ONCE system will prevent you from submitting terms with abegin date prior to 12/01/19. VA will work with institutions on the recertification process anddistribute this guidance once available. Further instruction on how to recertify enrollments for termsbeginning 8/01/2018 to 12/01/2019 that were initially certified at theassociated main or branch campus will be included in this guidance. Even if your extension campus is made available after 12/16/2019,DO NOT recertify these enrollments.11

Frequently Asked QuestionsBelow are some key questions and answers related to the timingand availability of extension campuses in VA systems.Q: My SAA submitted an approved extensioncampus for my school on the Second UploadSpreadsheet. When will this campus be availablein VA Systems for me to certify enrollments?A: November 4, 2019.Q: I submitted an extension campus to my SAAfor approval after 09/30. When is the earliestthat this campus will be available in VA systemsfor me to certify enrollments?A: Soon after December 16, 2019. ELRs willinput extension campuses in the sameprocess used for newly approved main orbranch campuses.Q: I’m unsure of the status of a submittedextension campus. What should I do?A: Contact your SAA to understand if theextension campus has been approved and if itwas included in the second uploadspreadsheet.Q: On 11/04, one of my extension campuses isnot in VA systems.
