Getting Started with Google FormsThis document explains how to get started with Google Forms. It assumes you are using a PCwith the Google Chrome browser. It also assumes you are using the new Google Formsinterface. If your screen does not look like the examples in this handout, Google may be usingthe old interface. You can make Google to use the new format for Google Forms by selectingTry the new Google Forms when you first open your form in Google Drive. If you don’t seethat option when you first open your form, ask me and I can help.1. In Google Drive, Click New More Google Forms1

2. Give the form a name and a titleName of your form in Google DriveTitle the respondents will see3. Create questions for your form.Click to make question on your formSelect question type hereAdd more choices to your question here2

4. Edit questions and change order of your questions in your form.Add new questions to your formUse this to movequestions in your formto change the order ofyour questions.Notice the question type for this questionis Checkboxes. Checkboxes allowrespondents to choose more than oneanswer. Multiple Choice questions allowrespondents to choose only one answerfrom the list.3

5. Settings: Control what respondents see, and are allowed to do, when theycomplete the form.Click the settings button toview/change these settings.You can control your survey results better bymaking respondents login with a Google account.This might be important for creating more validsurveys. You know who is completing the form.This is pretty cool, but play around with it to besure you know what respondents will see. Becareful that you don’t let other respondents seeconfidential responses.4

6. Settings: Control what respondents see, and are allowed to do, when theycomplete the form.Click the settings button,then click Presentation toview/change these settings.This is the message that will be displayed torespondents when they have completed yoursurvey. Change it to make it friendlier!5

7. Invite respondents to fill out your form.Click the Send button to inviteothers to complete your survey.You have several options you can use to let others take your survey. Youcan:1. email the form to others2. get a link which you can then paste wherever you want (so youcan email later, or post to social media sites, for example)3. you can get code you can insert (embed) in a web page. Forexample, if you were a business and you wanted customers totake your survey, you could place it (embed it) on the web page ofyour business and tell them to go to the webpage to take thesurvey.4. you can also share your survey directly on social media, such asFacebook and Twitter.Be careful with Add Collaborators!! Collaborators are people you allow toedit the form. If you add people here, they can see survey results and makechanges to your form. These are NOT people you are just inviting tocomplete the survey.6

8. Preview your form and/or take it yourselfPreview your form here. If youfill out the form here, it will addthe data to your form’sresponses.7

9. View your responses.Switch between viewing yourform and your responses.Stop and start acceptingresponses8

10. You can view a summary of your responses, or you can view each of theresponses individually.Switch between viewing thesummary of all responses andviewing individual responses9

11. View your responses in a spreadsheet – setting the location for yourresponses spreadsheet (screen 1).Spreadsheets are very useful for analyzing data. One great thing about collecting data witha Google Form is that it can automatically be entered into a spreadsheet. With the data inin a spreadsheet, you can use it as you would any other Google Sheets spreadsheet. To getstarted, you first have to tell Google the name of the Google spreadsheet in which you willstore the responses.To view your responses in aspreadsheet, click the Viewresponses in Sheetsbutton. The first time youclick this, it will prompt you toselect the responsedestination (see followingscreenshot). Later, you canchange this by clicking the onthe three dot button (calledOverflow actions).10

12. View your responses in a spreadsheet – setting the location for yourresponses spreadsheet (screen 2).Enter the name of the spreadsheet in which you wish to store theresponses. By default, it will be the name of your form followed by“Responses” in parenthesis. In this example, the form is named Seasons, sothe spreadsheet will be named Seasons (Reponses).Notice Google Drive now hastwo documents. One is theform and one is the GoogleSheets document whichcontains the responses.11

13. Working with your responses in a spreadsheetResponses stored in a spreadsheet are dynamic and, as new responses come in, they will automatically be added to thespreadsheet.12

Notice in this spreadsheet, a formula has been entered in cell D8. The formula givesthe average age of the respondents. When you create the form, you can create ShortAnswer questions to have respondents enter numeric data. This is illustrated in thescreen shot below.Important note: new responses will automatically be inserted as new rows into yourspreadsheet. If you have formulas below your responses, this can sometimes causeissues. In formulas, you should usually include the blank row beneath your lastresponse. In this example, notice the range in the formula includes row 7 Average(D2:D7). New survey responses will be inserted between row 6 and 7. Byincluding row 7 in your formula, any new responses will cause the formula to changeand pick up these new responses. And, remember to always test your formulas. Asthe new responses come in, make sure your formulas are working as you intended.To test, take your survey again. This will add a new response to your survey. Check tosee that the formula has changed to capture the new response.13

Column D in the spreadsheet above was created using this Form question. Notice how Data Validation can help you tocontrol the respondent’s answer.Notice the form question, in this example, was created as Short Answer.Also, you can click the Overflow actions (the button with three dots) atthe bottom right and then you can choose Data Validation (UPDATE:Google Forms has changed and now, instead of ‘Data Validation,’Google now calls this ’Response Validation’). Data validation (orResponse Validation) will make the form accept only correctly entereddata. For example, you can make a person enter his/her age as a number(a 9 instead of ‘nine,’ for instance). Or you could make a person enter anumber within a certain range. Response validation may be important,especially if you are analyzing the data in a spreadsheet.14

Google Forms 1. What is Google Forms? Google Forms is a simple way to gather data. You can use Google Forms to create a survey, gather information, class assignment or assessment. As the need grows for online tools, Google Forms is an excellent option to gather student responses in the same place at the same time.
