Roles and Responsibilities

College Board Reporting Tools The information in this presentation is designed to guide educators on the use of the Manage Access Tool which allows schools and districts access to the portal for PSAT and SAT data. Managing Access Tool Permissions and access to the reporting portal are created in the Managing Access tool. Campus and District leaders will use this tool to distribute permission to campus and district staff. There are four categories of permission ranging from summary access to student level data access. https://account.collegeboard.org/login K-12 Assessment Reporting Portal PSAT and SAT assessment data for schools and districts is stored in the K-12 Assessment Reporting portal. The portal provides a variety of reports and student level data. Entry to the portal requires an access code or through permission granted by the College Board and designated campus or district staff. https://k12reports.collegeboard.org/login

K-12 Reporting Portal Access Management Process - Permissions Each district should designate the individual who will control access and grant permissions for each school. Access Managers: Who They Are The Access Manager for the district or school will use the Manage Access Tool to control and manage access to the College Board K-12 Assessment Reporting portal. What They Do Access Managers can: Grant, manage, and revoke access to their institution’s K-12 Assessment Reporting Portal Add additional Access Managers Provide access to Electronic Score Report data file downloads Provide access to enhanced online assessment reporting

Access Managers: District Assessment Coordinators (cont.) What They See Access Managers will not be able to see any assessment results or reports using the Manage Access tool. Once Access Managers set up their account and log in to the Manage Access tool, they must take the next step and assign themselves access to the K-12 Assessment Reporting tool in order to view assessment results or download files. K-12 Assessment Reports The K-12 Score Reporting Portal is home to a wealth of information that can help schools analyze test scores. The summary below describes the different report functions. Reports Description Recommended Roles File Downloads (K-12) This is the only permission that provides access to the Download Center to download pre-formatted data files for import into student information systems. The files are provided in .txt and .csv format. IT personnel that need access to files for inclusion in data warehouse. Summary Reports User has access to the Reports Center for aggregate Anyone who needs summary-level data assessment score reporting. This user cannot view but should not have access to individual (K-12) student level data. Detailed Reports (K-12) student information. Example: Curriculum Director User has access to the Reports Center for both Principals, teachers, counselors, anyone aggregate and detail assessment score reporting. who works with students and needs Users can search for students or drill down from the student-level access. aggregate assessment score reports to see studentlevel reports

Professional Account Required Information To create a College Board Professional Account, the school’s Attending Institution (AI) code is important. Providing the school or district is essential when assigning roles in the Access Management Tool.

Steps To Locate the Manage Access Tool 1. Sign in 2. Already signed in? Click here 3. Open “My Dashboard”

Account Dashboard The Dashboard lists all of the tools and services available in an account. Educators may have different services listed depending on how College Board programs are utilized. 1. K-12 Assessment Reporting 2. Managing Access to support K-12 Assessment Reporting.

Troubleshooting: If Manage Access Does not appear on the Tools and Services Menu Scroll down toward the bottom of the “Tools and Services” page to the “Add Additional Tools and Services” section Select the “General” drop down and click “Get Access” for “Managing Access to Support K12 Assessment Reporting.” K-12

Adding a School to the District View Adding a school requires an access code for each additional high school. 1. When you have the access code, look in the “Professional Organization” dropdown for the selection titled “Select Another Organization”. 2. Enter the school’s access code. 3. Click “Add”

Districts with More than One High School Adding or Removing Schools to the District View District access shows only district level information. To see individual high schools add each high school. Select edit on the dashboard to add or remove schools.

For Districts with More than One High School Adding or Removing Schools The user’s institution will appear as the organization. Access managers can remove access to a school by using the “X” button in the remove column. Additional schools can also be added by using the school’s access code that was provided to you upon becoming the access manager.

Account Dashboard The Dashboard lists all of the tools and services available in an account. Educators may have different services listed depending on how College Board programs are utilized. For reporting access you will need: 1. K-12 Assessment Reporting 2. Managing Access to support K-12 Assessment Reporting.

Access Management Dashboard This is the Access Management Dashboard. The tabs at the top of the page allow the access manager to Manage users Assign Roles Invite Users See Pending Invitations

Manage Users Dashboard The Dashboard also allows the access manager to Grant Access to schools and the district from a drop down menu View user roles for assigned staff Review and update expiration dates debbie@cde.org Morton High School sung@cde.org Anthony High School

Manage Users Monitor Users Names that appear on the list have one or more roles associated with the school. The Access Manager can monitor and update expiration dates. Access may be revoked if individuals leave or move to new positions. If the role indicates N/A, that individual did not specify their employer when they created their College Board account.

Assign Roles Steps for Assigning Roles 1. Select the role that you would like to assign in the “User role dropdown”. 2. Update the user view using the “update view” button. 3. Check the box next to the name of the person whom you would like to assign to that role. 4. Choose an expiration date 5. Invite Users Invite New Users to the Educator Portal 1. Over the course of the year, access managers may need to add new district or school users. For each new user added, the access manager will need: First and Last name Work email 2. Designate the high school and select an appropriate role for the user. 3. The manager may grant multiple roles in the drop down menu. 4. Emailed invitations will provide a link to log into the Educator Portal once the recipient has accepted the invitation. 1 2 3 4
