With regards to this, AUNILO Secretariatwill email again the template to all members for theirfurther actions. 4.2) Seminar/Workshop on “Best Practices hop on “Institutional Repositories(IRs)”a) Seminar/Workshop on “Institutional Repositories(IRs)”The meeting noted that the 3 days Institutional NotificationRepository Workshop Using DSpace for members ofAUNILO was organised by the University of MalayaLibrary from 25 to 27 May 2009 at the Computer lab,Faculty of Business and Accountancy, University ofMalaya in Kuala Lumpur. It was attended by 2participants from UM, 1 from Universiti BruneiDarussalam, 1 from the National University of Vietnamin Ho Chih Minh City and 1 from the Royal Universityof Phnom Penh. The workshop was designed tofacilitate the participants in creating state-of-the-artrepositories using DSpace. This included softwareinstallation, configuration, customization, digitizationand other related workflow processes.b.) Seminar/WorkshopAcademic Libraries”on“BestPracticesinUniversiti Brunei Darussalam (UBD) briefly informed UBDthe Meeting that:- the Seminar/Workshop on “Best Practices inAcademic Libraries” will be organized in 2010.- Intensive English Programme as agreed at the lastMeeting is not included as one of the modules forthe Workshop/Seminar.- due to the financial constraint, UBD did not able tosupport the CLMV (Cambodia, Laos, Myanmarand Vietnam) members.AUN Secretariat- needs assistant from the AUNILO members toidentify the suitable facilitator for theSeminar/Workshop.In relation to this, the AUN Secretariat is willing tocoordinate in finding the speaker/facilitator for thementioned Workshop/Seminar.4 Page

5.Reports5.1) Report from the AUNILO Secretariat(Appendix 2)The Meeting noted the report presented by theChairperson of the AUNILO Secretariat.NotificationThe Meeting also took note on:- the appointment of Mdm. Radia Banu JanMuhamad as the new Secretary of the AUNILOSecretariat (she is replacing Mdm. HusriatiHussain).- due to H1N1 (Influenza A) disease, thePreliminary 6th Meeting of the AUNILOCommittee has been postponed to December 2009and the 6th Meeting of the AUNILO Committeehas been postponed to April 2010.A few suggestions were made for a betterimprovements as follows:- the AUNILO Meeting invitation letter are advisedto send early 3 months before the actual Meetingtakes place.- Minutes of the AUNILO Meeting are completed 2weeks after the AUNILO Meeting.- programme name for social activities are advisedto change to corporate name such asnetworking/project retreat or networking/projectactivities.AUNILOSecretariat5.2) Report from the AUN SecretariatThe Meeting noted report from the AUN Secretariatregarding ASEAN-ROK Cyber University whichappears as Appendix 3.After a lengthy discussion, the AUN Secretariat willdiscuss again a few related issues between ASEANROK Cyber University projects and AUNILOCommittee for the next ASEAN-ROK Cyber UniversityMeeting. The Meeting also suggested that to involverepresentative from AUNILO Committee for thatMeeting. The outcome of the Meeting will be presentedto the AUNILO Secretariat and all members later.5 Page

The Meeting also took note on the appointment ofAssoc. Prof. Dr. Nantana Gajaseni as the new AUNExecutive Director and Mr. Raksit Waropas as the newProgram Officer of the AUN Secretariat.5.3) Report from the AUNILO PortalThe Meeting noted the report presented by theUniversiti Malaya (UM).The Meeting also agreed the following matters:- terms in local language-English language inLibrary and Information Science field will be sentto UM for the Glossary of Terms in Library andInformation Science project. 20 terms arerequested for each member countries and theseterms will be uploaded into AUNILO portal.- all softcopies of the presentations, papers,proceedings and photos from the 1st Meeting untilnow are requested from the members. All theseitems will be uploaded into AUNILO Portal.6.Discussion on thePresentation on thetheme of “Access toASEAN Collections:Building portal,bridging nations”NotificationUM andAUNILOMembersDiscussion on the Presentation on the theme of “Access Notificationto ASEAN Collections: Building portal, bridging nations”was held on 7th April 2010. The outcomes of thediscussion are as follows:- Group 1: IT and Infrastructure – refer Appendix 4- Group 2: Content Management – refer Appendix 5- Group 3: Rules and Regulation – refer Appendix 6- The resolutions of this discussion – refer UIAppendix 7(Note: These reports and resolutions will appear in theProceedings of the 6th Meeting of the AUNILOCommittee which will be prepared by UI.)7.Other Matters7.1) Promoting AUNILO at the INTERNATIONALLEVELThe Meeting was informed that the AUNILO posters AUNILOhave been submitted once again to IFLA Conference on Secretariat21st January 2010. For this year, the poster presentationwill be held at World Library and InformationCongress: 76th IFLA General Conference and Assembly,Gothenburg, Sweden, 10th – 15th August 2010.6 Page

4.Matters Arisingfrom the 4th Meeting4.1) List of common and special ICT features ofmember institutionsEmail was sent on 31st January 2008 to all members by NUS andNational University of Singapore (NUS) to survey the AUNILOlist of common and special ICT features of member Membersinstitutions.To date only 6 institutions have sent their list ofcommon and special ICT features as requested. Theyare Universiti of Brunei Darussalam, UniversitiMalaya, De La Salle University, Mahidol University,Vietnam National University Hanoi and VietnamNational University – Ho Chi Minh City.4.2) Status of the Proposals for Seminar/Workshop on“Best Practices in Academic Libraries” and Proposalsfor Seminar/Workshop on “Institutional Repositories(IRs)”The AUN Secretariat informed the Meeting that up to Notificationdate, there is no development on financial support orsponsorship was made. It is because with the newpolicy, it takes some period of time to precede anyproposal submission under ASEAN Secretariat. Inrelation to project funding possibility, AUN suggestedthe AUNILO Committee to seek support from privateorganization under the dialogue partners such as JapanFoundation.In this regard, Universiti Malaya (UM) volunteered to UMcoordinate the Seminar/Workshop on “InstitutionalRepositories (IRs)”. Major organizing costs includingcost for facilitators, venue, accommodation, meals andtransportation indicated in the Seminar/Workshop UBDwill be borne by UM except the air tickets. The AUNSecretariat suggested UM seeks financial support fromJapan Foundation in Malaysia for Cambodia, Laos,Myanmar and Vietnam (CLMV countries). He alsorecommended Chairperson of the AUNILO Secretariatto report the details of the Seminar/Workshop to the24th AUN-BOT Meeting for possible suggestion onfinancial support.10 P a g e

The Meeting noted that Proposal for a PostgraduateCertificate Programme in Intensive English is acooperated module for Seminar/Workshop on “BestPractices in Academic Libraries”. This can beconsidered as one of the modules for best practices incommunication. In relation to get financial support,Universiti Brunei Darussalam (UBD) would consultwith their Vice Chancellor and inform the outcome tothe AUNILO Secretariat and all members later.5.Matters Arisingfrom the AUNSecretariatThe Meeting noted the AUN Secretariat and UBD will Notificationco-organize the 2nd AUN Rectors Conference and 24thAUN-BOT Meeting which will be held on 30th – 2ndDecember 2008 in Brunei.One of the sessions is The teaching collaboration: e- AUNILOlearning strategies and the support from member Secretariatuniversities. In this regard, the Chairperson of theAUNILO Secretariat will be invited to the conferenceand to report the progress of AUNILO Network at the24th AUN-BOT Meeting.6.Reports6.1) Report from the AUNILO Secretariat(Appendix 6)The Meeting noted the report presented by theChairperson of the AUNILO Secretariat.NotificationThe Meeting noted the Secretariatship under USM wasextended. The Meeting also took note on theappointment of Mr. Mohd. Pisol Ghadzali as the newChairperson of the AUNILO Secretariat.With regards to the absence of University of Yangon, AUNILOMyanmar and Institute of Economics Yangon, Secretariat andMyanmar, AUN gave opinion regarding the situation AUN Secretariatin Myanmar communication with others. The AUNSecretariat would advise the contact detail of theRector, University of Yangon to the AUNILOSecretariat later.11 P a g e

6.2) Report from the AUNILO PortalUniversiti Malaya (UM) hosts the AUNILO Portal and UMalso coordinates communication facilities such aslistserv, mailing list, discussion groups, andnewsgroups. The AUNILO portal was set up in July2004. Starting from 19th November 2008, the url .com and still in the process ofupgrading. The change was made to facilitate easycollaboration among members.A few suggestions were made for the Portalimprovements such as:----Institutions’ address links to make linkage totheir own websites.Chief Librarians’ email addresses andinformation/caption from each memberlibraries will be added to the Portal.Plan to create social network on the internetsuch as Facebook which would be registeredunder AUNILO account in order to facilitatecommunication between members.All presentations, papers, proceedings andphotos from the 1st Meeting to 5th Meeting willbe uploaded into Portal (for the 5th Meeting,only presentations and papers which havecopyright statement signed by the owner willbe uploaded).The AUN Secretariat aims to explore thefeasibilities of sharing e-learning courses andresources from member Institutions throughthe use of AUNILO Portal as a gateway serverin pooling the materials.7.InstitutionalReportsBased on the presented institutional reports on Notification“Services of AUNILO: Towards Integration” by 17AUNILO members, it was concluded that:- Member libraries have plannned andimplemented the digitization and institutionalrepositories projects- Most libraries participated in resource sharingprogrammes(eitherinconsortiaor12 P a g e

-collaboration programmes)Most libraries have plannned on open access tothe library materials(Note: These reports will appear in the Proceedings ofthe 5th Meeting of the AUNILO Committee which willbe prepared by VNU-HCM.)8.Promoting AUNILOat theINTERNATIONALLEVELThe Meeting noted the first draft of AUNILO poster AUNILOadvertisement prepared by AUNILO Secretariat. SecretariatSuggestion was made to participate also in paperpresentation as well as poster presentation at the IFLAConference (INTERNATIONAL FEDERATION OFLIBRARY ASSOCIATIONS and Institutions) andCONSAL (Congress of Southeast Asian Librarians).9.Host for the 6thMeeting, 2009The proposed details of the 6th Meeting are as follows:Host for the 6thMeeting of theAUNILOCommittee (2009)Date:University of Indonesia(UI):VenueTheme::Accommodation:last week of October2009 (to be confirmedlater)BaliAccess to ASEANCollectionsto be informed laterUI, AUNILOSecretariat andAUNSecretariatNew format of the 6th Meeting:It was agreed that starting from the next AUNILOMeeting, the host country will be the Chairman for theBusiness Meeting. The session of the 6th Meetingshould be conducted in a panel discussion formatrather than institutional report presentation to get amore concrete direction and plan. The resolutionshould be presented at the end of the meeting.Common approach and format should be topic basedrather than institutional based and come out with theresolution for further implementation.13 P a g e

10.Closing RemarksMr. Mohd. Pisol Ghadzali expressed his appreciationto the VNU-HCM for hosting the 5th Meeting of theAUNILO Committee. He also presented token ofappreciation to Assoc.
